2026 Welcome Letter and Rules to use the FHCC Facility!

Welcome to the 2025/26 season! As many of you know, we will be starting the official season on Tuesday, September 2nd, but we will still be getting our feet underneath us in many ways…so if things seem chaotic, just know that it is going to smooth out and we are going to have an amazing season! If you feel like you got this email as a mistake, please just let Dana know ASAP to remove you from our website.
Changes to your account, including monthly v quarterly payments need to get to Dana by Sunday (8/31) at noon so that she has time to make these changes.
1- We are about to go over some SERIOUS rules for the season, if you want to be exempt from a lot of these rules, please look into joining FHCC. Members enjoy a lot more freedoms than nonmembers. If you are looking into joining an area Club, please contact Gary at [email protected].
2- Construction! As many of you know, FHCC is currently undergoing a major renovation project, so access to bathroom facilities, parking and deck space will be severely limited this year. This means, we are still asking people to park in the lower lot when dropping off or picking up. See below. Those planning on staying in for practice MUST park in the Equestrian Lot. Again, for those interested in Membership, we are doing a membership drive at this time to accommodate the Construction project and this is a great opportunity to join this AMAZING Club.
The rest of these bullet points will be further explained below:
3- 9/2-9/5: WE WILL NOT HAVE PRACTICE ON MONDAY, 9/1- due to the Holiday. We are asking swimmers in Red, JV, Junior 1, and Junior 2 to only come to practice on Tuesday and Thursday OR Wednesday and Friday this week- explanation below.
Starting Monday, (9/8) our practice schedule and pool usage will settle and people can come when they would like after that date.
4- Please read all the information provided. Including the attached Packet of information which includes a Parent Contract, please read the packet, sign this and return it to your coach.
5- When arriving, pleaseTURN right and park along the construction fence for Drop Off and Pick Up. Those wishing to stay MUST park in the Equestrian Lot and walk down through the tennis Courts.
6- Due to the private nature of the Club, we ask that NONMEMBER PARENTS DO NOT WAIT ON DECK. If you must be on deck, please sit back under the Gazebos away from the pool deck.
6a- Please do not bring your swimmers to their lanes or go to the end of the lanes to pick them up. Your swimmer is capable of walking to the coaches when their group is called and taking their equipment back to you after practice is over.
7- Non Members are not allowed in the locker rooms other than to use the restroom facilities. This year this will not be an issue, but this rule will not change in future years.
7a- FHCC has built outdoor showers for the PASA Swimmers that would like to rinse off after practice, but we ARE NOT to use the locker rooms. This is not negotiable. Swimmers and parents that ignore this rule will be removed from the team.
8- Team Website (HERE): please make sure you turn in your Registration Form to receive a login for our team website as this is how we will do payments, communicate with groups, and provide any additional information.
9- Payments- you will receive an email regarding signing up for Automatic Payments, please follow the instructions in this email. Payments are done automatically through the website on the 1st of each month. Any changes must be made 2 weeks in advance so Coaches can complete the request.
10-Equipment List: Swimmers must provide their own equipment for practice. Please follow the link to our Team Store.
11- If a parent needs to talk to one of the coaches, please start with an email that CLEARLY defines what you would like to discuss with the coach and when you are free to discuss it.

Thank you for taking the time to read this. We value our relationship with Fremont Hills Country Club and will not put that relationship at risk. We ask that all of our families help us preserve this relationship as well. At the same time, we pledge to provide the best LONG TERM teaching, skill building and training that we are capable of. Our greatest pleasure is when our swimmers go all the way through our program, accomplish amazing things both in and out of the pool, head to colleges that fit their lifestyle and goals, swimming or not, and then come back and work with us in the summers and swim masters with us when they graduate. We have amazing long standing relationships with so many of our athletes and we hope to create that relationship with your athlete as well!
Explanations:
1 and 2- If you are interested in joining a local Club, please consider FHCC. I LOVE it here and there are so many amazing programs, people, amenities and freedoms that Membership entitles you too. Including our AMAZING Aquatics Facility when it is completed.
3- Due to the Holiday, as well as the weather and Club Usage, we are asking swimmers in specific groups to come to only 2 days/ week for the first week of the season. This will allow the coaches to go over rules, locations, drills, lingo, etc with less swimmers to ease the transition. This will also help us ease the Club Members back into having PASA on the deck.
4- We try to provide a lot of information upfront, please take the time to look at it and refer back when questions arise.
5- Many parents will choose to wait during their swimmers practices, by parking away from the main entrance it allows for Club Members to park closer to the entrance to use their Club. ALL SENIOR SWIMMERS THAT DRIVE THEMSELVES WILL PARK IN THE EQUESTRIAN LOT!
6- We realize that this is the biggest ask of all. As parents ourselves, we realize that parents want to support and be there in case their swimmer needs help. This being said, your swimmer is strong, capable, and intelligent. Our coaches are caring, helpful and observant. By allowing your swimmer to take responsibility for their own stuff and their own swimming, you are giving them a great gift. You are telling them that they are capable and that you believe in them. Parents that choose to stay in the gazebo area, please allow your swimmer to feel that you trust them and believe that they are capable. Please DO NOT try to communicate with your swimmer during the practice. You can tell the coach something to tell your swimmer if something comes up. I know this one is hard. I have a 3, 7 and 9 year old, but I promise that when your swimmers get out and you give them a big hug and praise for being independent, it will be worth it.
7- Locker rooms- Due to construction this year, this will not be an issue, but it will continue to be a rule once the new facility is built. If locker room usage is important to you, you MUST join FHCC to use the Locker Rooms.
This information is from last year, but will remain the rule: Due to the sensitive nature of the locker rooms, nonmembers are NOT TO USE the locker rooms at FHCC other than for restroom facilities. Outdoor showers (with better shower heads, hot water, and water pressure) are provided on the lane 8 side of the deep end as well as 2 structures for changing (boys and girls). Please DO NOT put the coaches in the position of policing the locker rooms. The fastest way to get PASA removed from this facility is to start using the Locker Rooms, so this will not be tolerated.
8- Team Website- this is crucial, turn in your registration sheet so that you can get an account and a login. This will track ALL payments, charges, have the team calendar and any important or relevant information.
9- Payments are due at the beginning of each month. We ask parents to choose whether to pay monthly or quarterly and then not switch between the two methods. Please note that coaches salaries, insurance, lane space, etc is all done based on numbers at the start of the month. As stated in the parent contract, ALL CHANGES must be made in writing at least 2 weeks in advance to ensure that it takes place. An example I often use is, if you paid for a semester at school, but then chose not to go, you would not get a refund from that school.
10- Equipment List- we have limited equipment at FHCC, please purchase your own and LABEL it with stickers or write your name in large letters with permanent ink. This is how we will be able to get it back to you. Even if not required, getting an equipment bag is pretty helpful as well.
11- When needing to talk to a coach, please start with a clearly worded email and schedule a time. An example we have used for years is that if each parent only wants 5 minutes of the coaches time and there are 20 swimmers in a group, then that is 100 minutes which is longer than most of our practices. Coaches would love to speak with you, but please arrange a time and allow the coaches to be properly prepared..
As always, if these rules seem to be too much please let us know and we will set you up with a neighboring club that might be more into what you are looking for. As comparisons, LAGCC PASA requires member sponsorship for nonmembers and Foothills does not allow for any nonmembers in their locker rooms in any capacity at all.
