VSC Chaperone Policy
- A minimum of four swimmers traveling without their adults are required for VSC to send a chaperone. The four swimmers do not include the chaperone’s children. If fewer than four swimmers request a chaperone by the deadline, the parents requesting a chaperone will be notified that they will need to make their own arrangements for their children, with other parents attending the meet.
- Swimmer must be 9 & Older AND have attended a travel meet with a parent or guardian to be eligible for group housing.
- Group housing must be requested two weeks prior to travel to ensure that a chaperone can be provided.
- All swimmers traveling without a parent or a designated responsible adult are required to be chaperoned for a meet.
- Swimmers that are housing out are required to be chaperoned for the meet.
- The chaperone fee is $50/swimmer.
- Each chaperone will receive paid travel to the meet on the same flights or ferry as the traveling chaperoned swimmers. Chaperones will receive housing accommodations paid for by VSC. Chaperones traveling with their own children will be reimbursed for half of the cost of the hotel room.
- A chaperone is not required to pay a chaperone fee for his or her own child; however, the chaperone’s children do not count as chaperoned swimmers.
- A chaperone’s room must be able to accommodate a displaced swimmer on a bed, rollaway bed, or sleeping mat.
- The coach has the discretion to modify the chaperone rules to accommodate special or unique circumstances as long as the modifications are consistent with the VSC Handbook.
- Chaperone(s) must supply APT & Concussion certification proof prior to travel.
Chaperone Duties
VSC pays the chaperone’s airfare, rental car, and group house lodging. One chaperone is assigned for every 7 swimmers attending a meet without a parent or designated responsible adult.
The chaperone’s jobs include:
- Inform parents that she/he will be the chaperone for their child during the trip. The chaperone will also inform parents about arrival and departure times, what to bring, and how and where to reach the chaperone during the out-of-town meet.
- Responsible for carrying each swimmer’s food and spending money. (Chaperones do not make decisions for the swimmers on how to use their spending money.)
- Have immediate access to each swimmer’s permission/medical release slip (carried by head chaperone).
- Know where their assigned swimmers are. Make sure all are off the plane safely and take them to group housing.
- Chaperones attend all workouts, warm-ups, and events.
- Any swimmer in the vicinity of the chaperone is his/her responsibility at the time they are nearby.
- Make a sweep of the host team’s lost-and-found before returning home to retrieve any identifiable VSC items. (This is a courtesy to VSC parents—it is the swimmer’s responsibility to keep track of his/her own belongings.)
- Report any issues the swimmer may have to the Coach.
- Report any rule infractions to parents, either in person or by phone, as soon as possible.
- All chaperones must refrain from drinking alcoholic beverages or smoking in the presence of the swimmers.
- Check in with the coach for the pool schedules and bedtime/lights out schedule.
