Team Volunteer Opportunities
Blue Heron Families,
At our beginning of the season potluck we discussed how volunteering is important to our sport. You can be actively involved in your child's swimming program and can also be instrumental in strengthening swimming from our city through to the whole United States. With a positive attitude and a willingness to lend a hand, you will also have a great impact on your child's athletic environment, and love of swimming. A few members asked for a listing of volunteer opportunities be put out/posted, so below is a list of volunteer opportunities available for our swim team/booster club. NWAC-BHBC Volunteer Opportunities
Blue Heron Booster Club (BHBC) Board positions:
- Vice-President - The Vice-President shall act on behalf of, with all the powers of, the President should the President be unable or refuse to fulfill his/her obligations. Shall serve as direct coordinator of meets, congruently with Meet Representative, for meets conducted at the NWAC home pool, John Vanderzicht Memorial Pool, during his/her term of office. Shall coordinate and maintain volunteer participation and fundraising commitment records pertaining to the general membership.
- Treasurer - Shall keep accurate and full accounting of receipts, disbursements, collect and deposit all monies and other properties and effects in the name of and to the credit of BHBC in such depositories as the Board may direct. Shall work with the bookkeeper, should one be employed or under contract to BHBC, to maintain accurate accounting, 501(c)(3) filings and records. Shall render to the Board, upon request, an account of any and all transactions and provide monthly the financial condition of BHBC. Shall serve as ex-officio member of all standing committees that have control over any funds of BHBC.
- Secretary - The Secretary shall always perform all the duties inherent to the office of the secretary of the corporation subject to the direction and control of the Board of Directors. Shall record and maintain all minutes of all BHBC regular, special and closed Board of Directors and General Membership meetings. Shall conduct the general correspondence of BHBC. Shall, in coordination with the Treasurer and New Membership Representative (if one is currently appointed), maintain a current list of members with email, mailing address and telephone contact information to ensure proper notification of BHBC communications. Shall maintain all BHBC Board records and files.
Fundraising:
- Swim-a-thon Coordinator – Plans, coordinates and directs the annual team swim-a-thon (usually held late May through the end of June). Will require communication with the Board of Directors, USA Swimming, TeamUnify, swim families, the pool, etc. as necessary. Optimum planning for this event takes approximately six months.
- Pizza Card Coordinator – Plans, coordinates and directs the annual Papa Murphy’s pizza card fundraising event (usually run during the month of February). Will require communication with Papa Murphy’s, the Board of Directors and swim families as necessary.
Meet Officials: Swim Officials play a key role supporting the operation of a swim meet. Without Officials, a swim meet cannot take place. Technical officials are the people in white who are responsible for ensuring that the rules of swimming are upheld and that all swimmers can compete fairly in whatever events they swim. Monthly Swimmer Birthday Cupcake Coordinator – Responsible for coordinating monthly swimmer birthday cupcakes. Communicate with all swim families to assist with having cupcakes made/bought once a month – big cupcakes for swimmers with birthdays during the current month and smaller cupcakes for all other swimmers. Additionally, communicate with swim families about any dietary restrictions of swimmers to accommodate. Set a date for each month to have the cupcakes available after practice (starting at approximately 5:30 pm). Communicate with the Board of Directors to get a list of swimmer birthdays for each month.
Team Photos Coordinator – Responsible for communicating with photographers, vetting photographers and coordinating annual swim team photos (usually held in February after any OHHS boys swim team participants return). Communicate about the dates/times of photos, ordering of photos and any other information with swim families, swimmers and coaches.
Team Towels Design/Purchase Coordinator – Will be responsible for finding, communicating, vetting and ultimately choosing a vendor to design and order swim team towels from. Will benefit from working with swim families for design of team towels. Communicate with Board of Directors about use of logos and files as needed.
Team Gear Design/Purchase Coordinator – Will be responsible for communicating and coordinating team gear design, team store front creation and purchasing from Ashley’s Design and Letterman Jackets (established) or another vendor. Communicate with swim families about possible gear desires/designs, team store opening/closing, links, etc. Communicate with Board of Directors about use of logos and file as needed.
Personalized Team Caps Purchase Coordinator – Will be responsible for communicating with and coordinating the design and purchase of personalized team caps from SwimCapz or another vendor. Communicate with swim families and collect order information, communicate with vendors and provide information as needed, communicate with the Board of Directors regarding logos/files and billing information.
