It takes over 40 volunteers to run every swim meet! The more volunteers we have, the less work it is for everyone. Plus it's a great way to experience the behind-the-scenes action of a meet!!
Please see below for a general description of each role.
Clerk of Course (1-2 Per Team)
• Checks in swimmers at the start of each meet.
• Notifies coaches of any issues such as missing swimmers, cards, etc.
• Make sure swimmers know their event #, heat, lane and assist them in writing it down
Concessions Manager (1-2 Per Team)
• Purchases supplies to sell at time trials and home meets (main source of team income)
• Purchases and maintains team concessions equipment such as, grills, griddles, extension cords, tables, chairs, etc.
• Directs volunteers selling refreshments at home meets Concessions Sales
• Prepares, sells and restocks refreshments at home meets
• Distributes free water to volunteers during home meets
Concessions Sales/Set Up (7-10 Per Team)
• Assist with purchasing ice, donuts the day of home meets/time trials
• Set up concessions table to prepare for serving
• Sell drinks and food throughout the meet
• Assist with grilling when needed
• Refill supplies, coolers, etc as needed
• Assist with break down & clean up after the meet
HyTek/Data Person (1 Per Team)
• Maintains the Team Hy-Tek Database with roster information provided by the League
• Sets up each meet, enters swimmers in the events selected by the coaching staff
• Works with coaches to resolve any issues – missing swimmers, event selection, etc.
• Seeds the meet and selects applicable heats and lanes for each swimmer
• Prints labels for the swimmer cards and gives them to the coaching staff or clerk of course
• CNSL Hy-Tek Training is required
Head Timer (1 Per Team)
• Assists the Meet Referee with assigning each timer to a lane
• Distributes two watches, a clipboard and pencil per lane
• Starts two watches for each race in a back-up capacity
Heat Winner Ribbon Runner (1 Per Team)
• Distributes a Heat Winner Ribbon to the swimmer who touches the wall first for every race
Line up Aides (2 Per Team)
• Lines up swimmers in the correct heat and lane for each event
• Works with Starter to establish the flow of the meet
Officials
• Ensures a fair competition for all swimmers
• Must attend CNSL Officials Training each year regardless of prior experience or USA Swimming Certification
• Must know the position responsibilities and changes to USA Swimming Rules and CNSL Rules & Regulations
• Must wear the CNSL Official Shirt received at training during meets CNSL Volunteer Job Descriptions
Officials – Deck Referee
• Must have one season’s experience each as a Stoke & Turn official and Starter
• Must attend the CNSL Starter & Referee Training
• Has authority over all officials and assigns and instructs them before each meet
• Resolves all matters relating to the conduct of the meet
• May double as the Starter or a Stroke & Turn official
• Briefs the timers and line up aides to organize and instruct how the meet will run
Officials – Starter
• Must have one season’s experience as a Stroke and Turn official
• Must attend the CNSL Starter & Referee Training
• Announces each event/heat and begins each race
• Announces any pertinent messages during the meet and team scores at the mid way point and at the finish
• Briefs the timers and line up aides to organize and instruct how the meet will run Officials - Stroke & Turn
• Must attend the CNSL Starter & Referee Training
• Observes swimmers for compliance with USA Swimming & CNSL rules
Relay Aides (1 per Age Group)
• Gathers younger swimmers for relay events and escorts swimmers to the start and finish end of the pool
Ribbon Writers (1 per team)
• Sticks labels on ribbons each week and organizes filing system to keep track of ribbons for each family.
Runners (2 Per Team)
• Collects cards from each swimmer and distributes to the timers prior to the start of each heat
• Collects cards from timers and sweep sheets and delivers to the scorer’s table at the end of each heat
Scorers (2 Per Team)
• Records the appropriate placement and official time for each swimmer
• Notes disqualified swimmers
• CNSL Scorer Training is highly recommended
Timers (8 Per Team w/2 Additional as Relief/Back-up Timers)
• Starts watch at the beginning of each heat and stops watch when the swimmer touches the wall
• Records two watch times on the swimmer card
• Confirms the swimmer’s name matches the card for the swimmer at the finish of the heat
• Must attend a Timer Briefing prior to the start of the meet to receive instructions from the Meet Referee and Starter
