Volunteer descriptions

NOTE: an asterisk (*) delineates volunteer positions needed ONLY at home meets.

*Announcer  Announces all information pertinent to meet including event number and heat number. Should have strong, clear voice and be able to read and pronounce a wide range of last names. Should feel comfortable maintaining the  pace of the meet.

Awards  Gets the award labels from the computer person, placing them on the ribbons, and filing awards in appropriate team bins. There are two time slots for this position. One works the first half of the meet, the other works the second half and stays until all awards are done and in bins.

Bullpen – Takes (6&u, 7-8, 9-10) or sends (11-12, 13&o) swimmers to the appropriate lane for their event and lines them up in heat order. Volunteers will be provided with heat sheet to help organize swimmers. Bullpen parents are not babysitters. Parents need to supervise their younger children at the swim meets.

*Head Timer – Helps out with timers and provides backup stopwatches if needed.

*Hospitality  Serves snacks and drinks to coaches, officials, and other volunteers working at the meet.

*Meet Set Up – Assists with setting up for the meet. Will help with organizing chairs, setting up table, organizing stopwatches and clipboards.

Positive Check-In – Volunteers post list of meet participants for positive check in. Positive check-in closes 20 minutes into warm ups. They must stay with the posted sheets, and monitor signatures/highlights of swimmers as they enter the meet. Volunteers take positive check-in results to meet managers so final heat sheet can be printed. 

*Runner   Quickly collects all the slips of paper sfter the timers record swimmers' times on a sheet of paper and runs them to the computer table. This requires someone who can move quickly and keep the pace of the meet on schedule.

Timer  Operates stop watch and records times.  Must attend Timers' Meeting 15-20 min before start of session.

Volunteer Coordinator Checks in volunteers, explains the job requirements to them, and make sure the volunteers are doing what is needed.
