Volunteer Job Information
The meets simply cannot run without our volunteers and we truly appreciate your help! Please note that all jobs with the exception of Parking, Heat Sheet Sales, and Computer Table Ribbons are only needed for half of the meet. All other positions will have a volunteer for the first half of the meet and a volunteer for the second half of the meet. This will be your choice when you sign-up to volunteer. Also, each family who has swimmers swimming in the meets is required to volunteer at least 2 time slots during our regular season meets. Volunteers are needed at both home and away meets.
How to Sign-Up to Volunteer
- Log in to the Harbour Seals website
- Under Events, click on the swim meet at which you would like to volunteer
- In the top right corner of the meet info screen, click on "Job Sign Up"
- Select the job you would like to sig up for and click save.
Volunteer Job Descriptions
Home and Away Meets
Timer - Volunteers for this position will be required to time half of a meet. Typically, parents with younger swimmers choose to time during the first half of the meet since younger swimmers often don't swim the last events and can leave earlier. Timers are needed at both home and away meets. Volunteers will time races using a Dolphin timer, which simply requires pushing a stop button at the end of each race.
Child Gatherer - Volunteers will be responsible for working with the assistant coaches to line up the swimmers in the appropriate heat/lane order and escorting the swimmers to the Clerk of Course. The swimmers are required to sit in a designated team and age group area during the swim meet. It will be an expectation from the coaches that parents help children follow this guideline. This guideline is in place to help the Child Gatherers easily locate the swimmers and get them lined up appropriately.
Clerk of Course - Volunteers ensure that all swimmers are brought from the Child Gathering area to the Clerk of Course area and place swimmers in the correct heat and lane for their events. Volunteers will need to coordinate efforts with the opposing team as well to ensure all swimmers are lined up correctly.
Home Meets Only
Runner - Volunteers assist with requests/communications from the computer operators and/or timers.
Computer Table Ribbons - Volunteers will assist in labeling and organizing the place ribbons for each team for the meet. This position is only needed for the second half of the meet. Please report to the computer table after the relays are finished.
Heat Ribbons - Volunteers will meet me at the computer table at the beginning of the meet to obtain the heat ribbons. There will be two heat ribbon volunteers during each half of the meet. During relays, it is best to have one volunteer on each end of the pool to make sure that everyone involved in the relay gets their ribbons. During events that do not have swimmers finishing on different ends of the pool, the two volunteers stay on the same side of the pool and hand out the ribbons to the swimmer who finishes each race first. In cases of close races, you may speak with the timers to compare the official times. However, in some instances, when the events are moving quickly, the volunteer must sometimes use their best judgment.
Parking - Volunteers are required to report to the pool at least 1 hour and 30 minutes prior to the meet start time. This will be 3:30 PM for our home meets. The visiting team will gain access to the pool deck at 3:45. Volunteers will be responsible to direct traffic and allow visiting team guests to park at or near the clubhouse. They will direct Harbour Swim Team families to park on streets farther away from clubhouse. There is to be no parking in front of the houses along Bay Port Lane.
Heat Sheet Sales - Volunteers are responsible for selling heat sheets at the home meets.
Concessions - Volunteers are responsible for selling and restocking all concession items as well as keeping the concession area neat and clean. Those who volunteer for concessions for the first half of the swim meet will need to be at the pool no later than 4:00 to help set-up and prep for sales to begin. Those who volunteer for the second half of the meet will be required to stay and help clean-up and break down the concession area.
