Family Commitment
The Sleepy Hollow Swim Team is a family program! When you sign your swimmer(s) up for the team, you are also joining a wonderful family community and committing to help run the swim team.
Every swim meet requires 100+ parent volunteers, and parents also organize and lead many fun team activities throughout the year. This is what makes our community unique and our team so successful! Most families make life-long friendships and find the swim team volunteer experience immensely fulfilling and rewarding. Swimmers also greatly appreciate growing up around so many kind, fun, and encouraging families, all of whom are pouring their hearts into such a great organization and sport! That said, unlike many other recreational sports, the swim team is a significant family time commitment and we understand that it might not be for everyone.
We expect all families to work at a MINIMUM OF 5 SWIM MEETS (or other team activities) throughout the season, as well as a shift at the All Star and end-of-season Champs Meet (if your swimmer is participating). High school families are not required to volunteer during the regular season, only at All Star and Champs meet (if participating).
Once your swimmer(s) is accepted onto the roster, you will receive a google form, where you will rank your volunteer role preferences. Your volunteer role will be assigned on a first-come, first-serve basis, but also consider your rankings, prior SHST experience, and/or unique assets or skills you can bring to the SHST volunteer community. We will do our best to accommodate your preferences, but appreciate your flexibility! Once your volunteer category is assigned, you will receive additional information and Sign-Up Geniuses to sign up for specific shifts, if applicable. Once the volunteer schedules are finalized, it is up to parents to make arrangements and find coverage if they cannot work a shift. We observe a strict “Late or No Show” policy. Failure to meet the parent work obligations will result in a $150 fine and may result in your child being disallowed from swim meets.
Volunteer Job Categories:
- Awards Committee: prepares ribbons and other awards for swimmers during meets and for Champs Dinner
- Fun Committee: plans and organizes social activities and fun events throughout season (not just meet days)
- Snack Bar Committee: purchases, prepares and works the Snack Bar during home meets including our grill
- Meet Officials (prior experience a plus but training can be provided): starters, referees, head timer, announcers, stroke & turn judges (prior experience and/or training required), day-of volunteer coordinator
- Meet Set-up & Take Down: sets up and takes down equipment before (early AM) and after home meets
- Traffic Duty: manage the drop off circle off Butterfield and crossing guard at the start of home meets (7-9 AM)
- Poolside Jobs (no experience needed): timers, runners (after each event, collects heat sheets from each lane and runs results to the tech desk), clerk of course (helps line up 8U swimmers), marshall (ensure only swimmers are behind the blocks)
- Clean-up: pick up trash on grounds, manage trash, and keep bathrooms tidy throughout home meets
- Timing Desk: works on a team to help run our timing and records system
- Medical: be on call medical provider for first aid needs and emergencies at meets (EMT, RN, NP, PA, MD required)
- Photographer: take photos at meets and fun events (amateur or professional photographer preferred)
- End of Year Champs Dinner Event Planning: plan and execute our end of season "Champs Dinner"
- End of Year Video: create the end of year video to be shown at the end of season banquet
Optional Non-Working Fee: while we hope all families can contribute volunteer shifts and our team has jobs that can be adapted for working parents, those with small children, and/or other unique family situations, we do understand that there may be extenuating circumstances that may prevent a family from fulfilling its commitment. Families that absolutely cannot commit time to the team do have the option of adding a $750 Non-Working Fee (per family) at registration, which excuses them from all regular season volunteer shifts (but not their All Star and Championship Meet Commitments). This can be paid for at registration.
Family commitment is what makes our community and our team so warm and strong! Our swim team, nor the entire Marin Swim League, could exist without the help and commitment of our families. Please take this time commitment into serious consideration before signing your swimmer(s) up for the team.
