Volunteer Job Descriptions

 

CLERK OF COURSE (CoC) – Both home meets and away meets

We lovingly call this role the 8 and under wrangler. The role is to make sure the swimmers in your lane are lined up correctly and go off of the blocks at the right time. You will be supplied with the list of swimmer for your lane right before the meet starts.

Meet with Starter at 7:50am to go over ques and questions with the Starter. 

1st Shift

7:50-8am: lineup all girls/boys 8 and under at the starting block for your lane. When the 11/12s swim freestyle, lineup for Backstroke all 8 and unders at the shallow end of the pool by lane (opposite the blocks).

2nd Shift

Start to line up Breaststroke 8 and unders by the starting blocks when 13/14s are swimming Backstroke so they are ready to swim for Breaststroke. Then line up the 8 and unders for Butterfly and Freestyle Relays in the same way.

 

MARSHAL – Home meets only

Stand at the ropes on the grass side and keep parents from entering the lineups. Manage the flow of swimmers in and out of the lineups.

 

TIMERS – Both home meets and away meets

Timers should be checked in by 7:45am and ready to meet the Head Timer @ 7:50 AM (between the blocks and tech desk) for instructions, questions and get your devices. If you work the PM shift it is still a good idea to listen in on this. 

There are 3 timers per lane. Each timer has a timing device (called Dolphin system at SHST) and times each event. One of the timers will also have a manual stopwatch and one timer will have a clipboard with heat sheets, checking to make sure the name corresponds with the swimmer and writes down the time of the manual stopwatch.

Timing starts when the Starter buzzer goes off (this will automatically start the official timing devices) and ends when the swimmer touches the wall: This is when you stop the time! PLEASE LEAN OVER AND SEE THE SWIMMER TOUCH THE WALL!! DON’T GUESS WHEN THAT IS……Our swimmers work very hard to get milli-seconds of their time! SHST volunteers share the lane with volunteers of the other team. After your shift you will turn everything into the Head Timer.

 

RUNNERS – Home meets only

After each event, the runner collects the Heat Sheets from each Lane and gives them to the tech desk.

 

TRAFFIC CONTROL

From 7:15-9am – 3 People will manage drop-offs in the drop-off circle to ensure that swimmers crossing are safe and traffic moves smoothly.

  • Highest priority is pedestrian safety while directing traffic through the driveway.
  • Make sure people do not stop any longer than it takes to unload people out of the car. One minute max.
  • Under no circumstances can a car be left there unattended.
  • Hold cars in the driveway until the exit area is fully clear of pedestrians.
  • The job does not include helping people find parking, helping unload, directing them beyond the driveway, instructions about start times, how many donuts are left, or anything else meet related. It'll be important that they aren't distracted and can have all their focus on the task of moving cars safely through.

One volunteer at each end of the loop. Definitely always have one volunteer at the exit side right where the drive loop, bike lane, road, and crossing from Irving all come together.

 

MEDICAL

“On call” person responsible for leading the charge in case of an emergency. 

Please review Emergency Plan posted in the Lifeguard office. At the beginning of each shift please meet President and/or Medical Coordinator for a quick check in and for a Walkie Talkie. 

 

CLEANUP– Home meets only

Supplies are located in the equipment storage. There will be a “Trash Boss” assigned to both shifts which will have access to supplies and be the point person for all cleanup volunteers. Make sure to check in with the assigned Trash Boss at the start of your shift.

Bathrooms

  • Sweep Floors
  • Ensure Toilet Paper in all stalls
  • Tidy up locker rooms
  • Supervise bathrooms to make sure they are moving, and no one is waiting.

Grounds (Please help Sleepy Hollow move toward zero waste. We no longer have a dumpster.)

  • Offer help to Snack bar to help clean if needed.
  • Pick up and separate all trash/litter in the 4 correct receptacles:
    • Green for food waste and paper plates, pizza boxes and other paper with food on it.
    • Brown for cans, glass, hard plastic
    • Blue cans are for clean paper such as cardboard boxes. A small blue can will be behind the snack bar only. Large blue cans are in the north alley.
    • Black/dark gray for non-recyclable trash (plastic straws, cups with plastic liners, plastic forks, etc.). This will go to the landfill.

      If black can trash headed for the landfill exceeds capacity of the two black cans, place excess in large plastic bags, tie securely, and place with other cans in north alley.
