PARENT WORKER RESPONSIBILITIES

 

Requirements

  • Our swim team works because of YOU, our parent volunteers. 

  • ALL families are required to work FIVE jobs during our summer season.  

  • IN ADDITION, you will be required to work the championship meet your swimmer attends, either Classic or City.  This is not included in your (5) jobs.  Assignments for jobs at championship meets will be posted at a later date. Buyout for the dual meet season does not buy out of this job – all parents of participating swimmers will be assigned a job at one Championship meet session.

  • All families will be required to provide another check for $100 at registration. If you fail to show up for a job, the check will be charged $100. If you miss another job, you must pay another $100, and your swimmer will not swim in meets until the payment is received.

  • To provide efficiently run meets, it is vitally important that all parents fulfill their job requirements. If you have questions, email the Volunteer Coordinator at [email protected].

 

Signing Up 

  • You will go on the White Eagle Swim Team website and sign up for FIVE jobs at home and away meets to work during the regular summer season. You may also sign up for no more than ONE volunteer job at Time Trials.

  • You will have one week at the beginning of the season to sign up for jobs. If you don’t sign up for five jobs, you will be assigned jobs.

  • For a description of the jobs, please see job descriptions below. 

  • You can view your job signups by going to the Sports Engine Motion App and clicking on Events & Jobs - Job Manager.

 

Expectations

  • BE ON TIME. Check in at 8:00 a.m. on Saturdays and 5:00 pm on weeknights.  If you arrive late, you will be considered as a no-show and will be charged $100. See below for more information.

  • Your job will not be over until the meet is over. Some jobs include putting things away after the meet.  Sometimes, your swimmer(s) will be done before your job is over.  Please do not leave early.

  • It is your responsibility to find a swim team parent to work for you if you cannot work a meet that you signed up for.  When you trade meets, please email the volunteer coordinator at [email protected]. Tell us your name and who you are trading with, the date(s) of the meet(s) you are trading, both of your cell  phone numbers and both emails. You MUST email us at least 24 hours before the meet you are trading. If you can not find another swim team parent to trade with you, you may hire a student worker. This student worker must be at least fourteen years old.  It is up to you to coordinate payment. Here is a sheet with possible student workers. The White Eagle Swim Team does not endorse or take responsibility for any worker listed.

  • If your swimmer is sick or you cannot work at the last minute, we still need you to take responsibility and find another swim team parent to take your place.  We realize emergencies happen but don’t want to encourage unnecessary late volunteer changes.  If you are unable to trade your job with another swim team parent, please immediately contact the volunteer coordinators via: [email protected].

 

Buy-out

You can buy out of all your jobs in advance for $500 payable at registration.  Do we want you to buy out?  No, our swim team doesn’t need the money; it needs swimmers, coaches and parents to make the season run smoothly.

 

 

 

VOLUNTEER JOB DESCRIPTIONS


 

TIMER - Three timers work in each lane and use a stopwatch to time the swimmers in the lane.  Times are recorded on timing sheets which are collected by the runners.  Timers must check in with the volunteer coordinator at 8:00am for Saturday meets and 5:00pm for weeknight meets. All timers attend the timers’ meeting which begins at 8:15am sharp for Saturday meets and 5:15pm sharp for evening meets in order to receive their timing equipment and clipboards. At the end of the meet, they must check out with the head timer to return their assigned timing device and clipboards.

RUNNER - The runner should start the meet at the computer table to pass out heat sheets. During the meet, runners collect DQ cards from officials and time sheets from timers after each event and deliver them to the computer area. Runners will need to check in with the scoring area to determine the area they need to cover. This job finishes after the final heat of the meet is complete and all DQ cards and timer sheets have been collected and turned in to the computer area.


SCORER - Sort DQ cards and time sheets provided by the Runners for input by the computer operations person. This person will assist in organizing the information for computer entry. This job finishes after all the timing sheets and DQ cards have been organized after the final heat of the meet.

BULLPEN  - Each Bullpen worker will help organize the swimmers ages 10 and under for their assigned events. Once they have them gathered in the bullpen area, they help line them up by heat and lane numbers. The Bullpen Supporter must stay until the last event for their assigned age group has been checked in and are behind the blocks.

 

FLOATER - The Floater is prepared to do any of the jobs where more support is needed. The floater should start by the computer table at the beginning of the meet to support passing out heat sheets. They are expected to stay until the end of the meet. At away meets, the floater ensures that the team area is kept clean. 

 

BAG TAG - This bag tag gives the bag tags to heat winners.
