Communication- email is the best. Coaches email - hanovercoach@gmail.com and Board email - [email protected]. Weekly emails will go out each week with the week’s schedule and important items. If you have an older child that wants to get these emails directly then you can add them to your account as a secondary email. Physical Mailboxes (file folders) will be located at the Hanover Pool and are used to distribute ribbons and other information that requires papers. Please have your child check their mailboxes every week.

Swim Practices - Next week will begin in the morning outdoors starting next week, June 10, 2023:
MONDAY - FRIDAY
7:00 - 9:00 am 11 & Over
9:00 - 10:00 am 10 & Under
Practices are mandatory on meet days.
*** If your child is still in school the week of June 10th, but is able to be at the meet on Thursday, June 13th please email Coach Evan so that he is aware. The child may still be eligible to swim in the meet. Coach Evan will advise. ***
4. Swim Meets are Mondays and Thursdays and are posted on our website as well as below. If your child can’t make a meet you will need to sign out your swimmer(s). You do this through the website. Instructions below. Please make sure to do this as soon as you know (ideally at least 2 days before) to allow coaches enough time to plan.
ARRIVE by 4:45pm for HOME meets. Team Warm-ups are 5:00pm.
ARRIVE by 5:15pm for AWAY meets. Team Warm-ups are at 5:30pm.

5. Volunteering: Each family is required to volunteer for a minimum of four (4) spots throughout the year. Type of volunteer activities include stroke & turn judge/starter (must be certified), timing (note at home meets feet will get wet), zoo-keeper, runner, water cooler duties, ribbon writer, computer person (can be trained), as well as Friday snack provider. Job Signup will be completed through the website and will be opened Friday, June 7th. Please make sure to sign up for your required spots. There is an associated volunteer fee that will be charged if you don’t complete your four spots. See below for instructions on how to sign up on website. We do rely on volunteers to run our meets, so please help out when needed. Volunteer jobs will be released for all options starting on Wednesday, June 5th
We need a snack stand coordinator for our home meets. If you volunteer for this, this will count as all four of your volunteer spots for the year as this requires additional efforts. You will need to coordinate donations from the team, set prices for items, manage workers and work with the board on any additional items needed. All families will be required to donate food items for snack stand at each home meet. The team will communicate the items by last name to ensure the snack stand has a variety of items.
6. Apparel - If you ordered clothing apparel through BSN sports, it will come in the week of June 10th. We are working hard to make sure it’s here before the first swim meet.
If you ordered the team suit or personalized swim caps through D&J link (ordered by May 15th), the team received this order and was distributed at practice last night. If you weren’t there it will be available at practice. If you ordered suits through D&J after May 15th you will need to contact them for your own pick up.
With registration, each kid will get a t-shirt. They are available at practice for pick-up.
7. Snack Stand - During our home meets we use our snack stand as a way to fundraise for the team. Each home meet we will ask each family to bring an donated item. The team will specify the specific items for donation based on the families last name.
We do still need a snack stand coordinator for the summer. We are looking for 2-3 people who are willing to run the snack stand together for the year. This would fulfill the full volunteer requirement for the year. The job will require you to keep inventory of items at the snack stand, coordinate volunteers (volunteer jobs will be part of sign ups for meets but you will need to ensure they are aware of position), help set prices for items sold, manage donations, etc. If you have questions regarding this volunteer opportunity please let us know.
8. Other Important Dates:
BINGO - Thursday June 6th - Hanover Township Community Center. Doors open at 5pm and games start at 6pm. You will receive a 10 game pack with a monetary donation of any amount to the swim team.
Pictures - Friday, June 21st - During Practice, exact time and additional info TBD
Team Picnic- Thursday, July 18th - Place and Time TBD
How to Sign out your swimmer from a Meet/Event:

Sign in to our website: bethlehemhanoverswim.org.

In the side menu click Events & Competition > Team Events. If you are on the main website page and already signed in then click ‘Swim Meet Schedule’.

Next to each meet you will see an ‘Edit Commitment’ button. Click the button next to the meet which your child will not be in attendance. (If you are not signed into your account this button will be labeled ‘Attend/Decline’ and when clicked will ask you to log in.)

Click the name of the athlete whom you wish to sign out.

Use the drop down to select ‘No, thanks (swimmers name) will NOT attend this event. Then click ‘Save Changes’.

Repeat for any other athletes or events.
***You only need to do this if your swimmer will NOT be at the meet.***
How to Volunteer/Sign Up for Jobs at a Meet/Event:

In the side menu click Events & Competition > Team Events. If you are on the main website page and already signed in then click ‘Swim Meet Schedule’.

Next to each meet you will see an ‘Job Signup’ button. Click the desired event’s Job Signup button. (If you are not signed in, it will require you to sign into your account.)

Check the boxes by the job you will work. Note the end times listed are estimates and really depend on the length of the meet.

Click Sign Up.

In the popup box, optionally enter any contact information or if someone else besides yourself will be doing the job and click Sign Up.

Repeat for any additional job signups.
