CCAQ Billing Policy
(Effective November 2024)
New Registration
Dues will be prorated by 50% if joining after the 15th of the month. If joining before the 15th, full monthly dues apply.
Dues are reduced to $60 per swimmer starting with the third swimmer in the family (discount applies to the lowest level).
Monthly Dues
Dues are due on the 1st of the month and considered late after the 15th of the month. If dues are sixty (60) or more days delinquent, the swimmer will not be allowed to practice until the account is current.
Online Auto Pay (Mandatory)
All payments are withdrawn on the 1st of the month. If you sign up for automatic withdrawals between the 1st and the 20th of the month, auto-pay will not be effective until the following month.
Late Fee
CCAQ reserves the right to charge a $20 late fee on past due accounts. An account is considered past due when a previously invoiced balance remains unpaid after the 15th of the month.
Non-Sufficient Funds Fee
Members are responsible for any bank charges incurred due to returned checks for non-sufficient funds.
Meet Fees
Meet entry fees will be charged to each member's account once the final meet entry is confirmed. Delinquent meet fees may result in the swimmer being suspended from meet participation until the account is current.
Leave of Absence
A Leave of Absence allows a swimmer to remain on the roster without being charged monthly dues but requires the family to fulfill service hours, including working at home meets. Leave of Absence can only be taken for the following reasons:
- Illness (with a doctor’s note)
- High School Swim: February 1 – May 31
- High School Water Polo:
- Boys: August 1 – November 30
- Girls: November 1 – February 29/30
High School Swim Season (February – May 31)
There are three options during high school swim season:
- Continue Swimming with CCAQ: Pay $80 per month for a maximum of 3 practice days per week.
- Take a Leave of Absence: Remain responsible for service hours, including home meets.
- Continue as Usual: Pay regular monthly dues.
If opting for a Leave of Absence, notify the Head Coach, Treasurer, and Secretary. CCAQ will hold the swimmer's spot on the roster and suspend dues until the high school season ends. The swimmer must notify the team of their intention to return by June 1. If no communication is received, the swimmer will be removed from the roster. Rejoining the team after this time requires the $75 registration fee.
If a swimmer is absent for more than one month, their spot on the team is not guaranteed unless monthly dues are paid. After one month of absence without communication, the swimmer will be dropped from the team. To rejoin, they must re-register, pay the $75 Family Registration fee, and settle any outstanding balances. If no space is available, the swimmer will be placed on a waiting list in the order requests are received.
Leaving the Team
If a swimmer decides to leave the team, notification must be given in writing (email the Head Coach, Business Manager, Treasurer, and Secretary) before the 1st of the month. Otherwise, monthly dues will continue to be charged. There will be no refund of dues once if notification is not received prior to the first of the month. A swimmer's spot cannot be held without paying monthly dues. If they choose to return, the $75 registration fee will apply.
Credit Card Refunds
A $5 processing fee will be charged for any credit card refunds.
Team Gifts
If a swimmer leaves the team within 30 days of receiving a gift, the family must either:
- Decline the gift at the meet
- Return the gift, or
- Reimburse the team for the gift's value.
