Below you will find the requirements for new and returning volunteerz. Some of these documents need to be completed yearly, some only once.  A description of each volunteer role is also provided at the end.

We are a community team and parent involvement is necessary to our success. Our meets are run by parents and volunteers. From helping to set up and break down equipment, to welcoming swimmers and families, getting all the swimmers to their heats on time, fundraising and keeping our swimmers and families nourished, to those who time the races and support the timer-table and those who officiate, and especially to those who coach ... it takes our entire community of volunteers to host a meet.

The more volunteers we have, the lighter the load and the more fun we have! 

The staff, coaches, and swimmers all thank you in advance for volunteering wherever, however you can!

 

To host a meet we need volunteers for the following positions:

  • Timers, to help time the races
  • Bullpen, to manage and escort swimmers to and from the pool
  • Concession Stand, for food and beverage sales and fundraising
  • Welcome Center, to welcome and sign-in swimmers, families, and volunteers
  • Timer-table Support, to help run the score board and distribute heat sheets/timer sheets

 

We are always looking for more volunteers to become certified as Swim Meet Officials as well. The SENECY League provides scheduled, in-person training for free to anyone who wants to learn to become a swim official at any level. Additionally, we always welcome volunteers for our Swim-A-Thons, pasta nights, car washes, and other fundraiser events.

 

We are a Safe Sport organization and our swimmers' safety is our priority. As an organization we require all volunteers who are in an authority position over your athletes to submit a background check (BCI) and complete a short child abuse prevention course online. 

 

Swim Team Volunteer Requirements:

  • *NEW & RETURNING* Timer/Concessions/Timer Table Support:  
    • Background Check
    • 15-minute online Child Abuse Training
  • *RETURNING* Bullpen: 
    • Background Check
    • Valid Red Cross Certification
    • 15-minute online Child Abuse Training 
       
  • *NEW* Bullpen:
    • Background Check
    • Volunteer Application with Reference Check
    • Volunteer Handbook Signed
    • 15-minute online Child Abuse Training
    • 60-minute online Sexual Harassment Training
    • CPR/AED/O2 Certification (can be scheduled and provided by the Y for free)
       

Please Note: Due to the sensitive nature of this request, the background check process is done electronically through our vendor Intellicorp. You will receive an invitation via email to complete it. The link will expire shortly after, so please complete it as soon as you receive it.

Volunteer Role Descriptions

1.)     Timers (BCI required annually, 15-minute online Child Abuse training annually)

  • We need at least 14 volunteers for each meet. 
  • This is a relatively simple job and a short training session is provided at each meet. 
  • AND you get to be on the pool deck when your athlete is swimming. 
  • If we have more than 14 timers we can substitute as needed for breaks and so you can cheer for your swimmer(s).

2.)     Concession Volunteers (BCI required annually, 15-minute online Child Abuse training annually)

  • Our concession stand is open for the whole meet. The goal is to have enough volunteers (8-10 total) so that we can schedule shifts and provide opportunities to watch your swimmer(s). 

3.)     Bullpen Management & Escorts (BCI, volunteer application, two online training courses, free in-person CPR certification scheduled by and provided at the Y)

  • We need 8 bullpen volunteers for each meet. 
  • Swimmers and families will be in the gym so we use the gym as our bullpen.  We must organize, announce, and escort swimmers to the pool. 
  • We’ll need two people in the gym and two in the pool area who will coordinate with wireless radios to line up swimmers for their races and heats. 
  • We also need at least four more people to escort the children from the gym, through the locker rooms, and into the pool area.

4.)     Welcome Center Volunteers

  • We need 2 for each meet
  • Responsible for warmly welcoming swimmers and families from both teams, taking swimmer and volunteer attendance, and helping to direct traffic as people arrive.​

5.)     Timer Table Assistants/Runners

  • We need 2-3 for each meet
  • Distribute heat sheets, collect timer sheets, and/or help run the score board.
