The Hampton Dolphin Swim Team, like all USA Swim clubs, is run entirely by volunteers, with the exception of coaches who are paid staff. Parents are strongly encouraged to volunteer, and there are myriad opportunities for parents to lend their time, talents, and abilities to the club.

Hampton Dolphins Membership Dues, Registration Fees & Cancellation Policy

Non Refundable Fees

1. $65.00 Hampton Dolphins registration fee and 2 team caps with HD logo. The USA Swimming registration must be done separately as part of the registration through Team Unify. The USA Swimming registration fee is $92.*
2. $30.00 Concession Fee per family (required) – we will be hosting an age group open on November 8 9, 2025, bronze champs on January 31 - February 1, 2026, and an age group open on May 30 - 31, 2026.
3. $100.00 Non-Hampton Resident Fee per family, if applicable * Registration and Concession Fee, Swim Cap, Team Suit Size, Non-Resident Fee (if applicable) and 1st payment are required at the time of initial registration.

**Returning swimmers must register with their assigned groups for the year.

Payments   

Payment must be made through the Hampton Dolphins' website. A valid credit card must be on file and kept current. No checks/cash are accepted. Accounts are billed on the 1st of the month as described below.

• Seven payment billed accounts will be charged on the 1st of the month.  First payment made at registation then on Oct 1, Nov 1, Dec 1, Jan 1, Feb 1, and Mar 1.  You are responsible to make all 7 payments.
• Semi annual is charged upon registration and January 1st.  You are responsible to make both payments.
• Paid in full is charged upon registration.

Accounts will be charged for any pending balance on the 1st of the month. This includes the next payment for registration fees as well as other charges incurred like meet entry fees.

*Fees will not be prorated for any reason (for example other high school team/club commitments).

* HS Pre-season is from September to mid-November, HS Post-season is from March to July, and HS Year Round covers swimmer from September to July. Swimmers can swim in Allegheny Mountain Swimming meets and their families must put in volunteer hours for each home meet.

Changing Swim Groups During the Season

If your swimmer is moved up to the next practice group mid-season, the following month the swim dues will be adjusted accordingly to reflect the new swim group.  The adjustment will be based on if seven payment, semi annual or paid in full was selected at registration.  If seven payment, the new group fee will be charged, if semi annual or paid in full a prorated adjustment for the new swim group will be charged. Changes to swim group are at the coaches discretion only.

Refund and Cancellation Policy 

Returning swimmers have until 11:59 PM on September 16, 2025, to cancel their membership with the Dolphins. If you cancel by end of day on September 16, 2025, you will only be responsible for 2 months of dues plus all non-refundable fees, including registration fee, team caps , concession fees and non resident fee. Cancellation and acknowledgement must be via email to [email protected]. New swimmers to the Hampton Dolphins have until 11:59 PM on October 8, 2025 to notify via email at [email protected] to cancel their membership with the same refund policy.

There will be no refunds available after September 16, 2025 for returning swimmers and October 8, 2025 for new swimmers. You will be responsible for all remaining payments.

Delinquent Accounts 

If accounts are 14 days delinquent, due to an expired, denied credit card or any other reason, the family's swimmer(s) will no longer be permitted to participate in any aspect of the program including practices, meets or other club functions. No swimmer will be entered in a meet if the family’s account is not current.  

Prior to annual registration all delinquent accounts must be paid in full.  If a family has a remaining unpaid balance they will be automatically billed the overdue amount at registration checkout.  This amount will automatically be charged to the credit card on file.  If you have a financial hardship and therefore are unable to pay your fees at the time they are due, please contact our Team Treasurer at [email protected] immediately to arrange a payment plan. 

Meet Fees

Meets will be registered through the Team Unify system and billed on the first of the month billing cycle following the close of entries for each meet. Meet fees are NON-REFUNDABLE once the entries have been sent to the host team. These fees are in addition to your monthly dues.  The cost per event is $5 - $8 but can be more for some meets (additional information for each meet can be found in the meet announcement on the AMS website).  Swimmers can compete in up to 8 events at each meet.  Additional charges may include a swimmer surcharge from the facility and relay events. Parents are responsible for monitoring their meet fees by using Team Unify monthly.  

Multi-Swimmer Discount 

There is a 12% discount for membership dues for any family with more than 1 swimmer.

Fees for Higher Level Meets

The Hampton Dolphins are committed to helping our swimmers qualify for and attend higher level meets such as Zones, Sectionals, Futures, Junior Nationals, etc. The Hampton Dolphins will do their best to send a coach (schedules permitting) or will coordinate with another AMS team to secure a coach to represent all swimmers that qualify for and attend these meets throughout the season.

Reimbursements
Swimmers who qualify for Zones, Sectionals, Futures, Juniors, or Nationals, may be eligible for reimbursements by AMS.  Please refer to the AMS website for details. 

Volunteer Policy 

Each family is required to work at least two sessions at every meet the Dolphins host (whether that family has a child swimming or not). You will be billed ($200 per session) through Team Unify if you don’t meet the required volunteer sessions after each meet. Please review volunteer requirements during upcoming orientation for additional details.  Note that if you or a family member are sick/covid exposure etc. and are unable to fulfill your volunteer requirements you are responsible for finding a replacement for your sessions or you will be billed for the missed sessions.  

As part of the SafeSport initiative rolled out by USAswimming last year, all persons age 18 and over that will be volunteering with any activity that has direct contact with a child must obtain the following clearances:

1. Report of criminal history from the Pennsylvania State Police (see: http://www.keepkidssafe.pa.gov/resources/clearances/pspcrimck/index.htm). There is no cost for this report.

2. Child Abuse History Clearance from the Department of Human Services (see:

http://www.keepkidssafe.pa.gov/resources/clearances/pachildhistory/index.htm).  There is no cost for this report.

3. If you have been a continuous resident of Pennsylvania for the past 10 years you can submit the included PA Resident Verification (no charge)  OR  you must submit a fingerprint based federal criminal history through the Pennsylvania State Police FBI (see: http://www.keepkidssafe.pa.gov/resources/clearances/fbifinger/index.htm).  The fee is $22.60 for fingerprint verification.

These clearances must be obtained for all adults and high school students age 18 and older before that adult/student is permitted to volunteer at home meets.  The clearances are current for 60 months.  If you have already obtained these clearances for another volunteer activity, such as school events, scouts, soccer, etc. then you can submit a copy of those clearances PLUS the Verification or fingerprint criminal history to the Hampton Dolphins.  If you submitted the clearances to the Hampton Dolphins previously and they are current, you do not need to submit clearances again.

Proof of your clearances must be submitted in paper form.  DO NOT EMAIL A COPY OF YOUR CLEARANCES.  The paper documents will be maintained in a locked safe in a storage unit.  The documents will not be shared with other individuals or entities.

In accordance with USA Swimming Rule 305.3 and Safe Sport Best Practices, the use of audio or visual recording devices, including a cell phone, is not permitted in locker rooms, changing areas, rest rooms or on deck behind the starting blocks.

BANQUET

While all swimmers are invited to attend the banquet hosted by the Hampton Dolphins in the spring, only swimmers that are registered for the entire year whether seven payment, semi-annual or paid in full, for developmental, state, regional, national and high school year round will be allowed to attend  the banquet and receive a gift at the banquet.  Due to the timing of ordering and customizing the swimmers gifts, high school swimmers that sign up for preseason and/or post season only will not receive the swimmers gift.  Swimmers that join the Hampton Dolphins in developmental, state, regional and national after the gifts have been ordered will not receive a gift at the banquet.
