Sign-Up & Event Selection

1. How do I sign up for a meet?

  • You’ll get an email when a meet is open for sign-up. It will include the deadline.

  • Log in at www.bbaswimming.org.

  • Under Upcoming Events, click Attend this Event for the meet you want.

  • Some meets have qualifying times or are for certain skill levels/age groups.  Ask your coach if unsure.


2. How do I know the days and sessions for events?

  • On the sign-up page, check the Day and Session columns:

    • For example, Day 1 = Friday, Day 2 = Saturday, Day 3 = Sunday. Session 1 = Friday evening, Session 2 = Saturday morning, etc.

  • The meet packet (linked under the meet name on the website) lists:

    • Age groups

    • Morning/afternoon sessions

    • Warm-up times and start times


3. How long is a swim session?

  • Typically ~4 hours plus ~1 hour of warm-up.


4. Do swimmers have to do every meet or every session?

  • No. You choose which meets and sessions to attend.


5. How do I choose events and sign up?

  • Click your swimmer’s name and select “Yes” or “No” for attendance.

  • If “Yes,” check the events you want (limits per session apply).

    • Review Day and Session to avoid conflicts.

    • Meet packet lists all events by day/session.

    • Add special notes for coaches (e.g., “Can’t attend Sunday” or “Skip 200 Free”).

  • Click Save Changes when done.

  • Coaches will review and confirm final entries.


6. Do I enter my own entry times?

  • No. The system uses the swimmer’s fastest legal time from our database.

  • If no time exists, coaches will enter “NT” (no time) or an estimated time.

  • You can suggest alternate times (e.g., from a high school meet) in the Notes section.


7. How do I see which events my swimmer is in?

  • After entries are approved, a meet entry list is posted under Forms & Documents for that meet.

  • Check your swimmer’s events for accuracy and contact the coach if there’s an issue.


8. How does my swimmer get on a relay?

  • Most meets do not have relays, but if they do, Coaches assign relays.

  • If your swimmer can’t stay for a relay, tell the coach early or note it during sign-up.

  • Relay lists are posted under Forms & Documents for that meet.


9. How are meet fees paid?

  • Fees are automatically billed to your account the next month.


Preparing for the Meet

10. What should my swimmer eat before a meet?

  • The night before: avoid fatty foods, eat carbs and protein for energy.


11. Should my swimmer know their events before arriving?

  • Yes. Write event numbers and names on their hand (younger swimmers especially).

  • Add heat/lane info from posted sheets at the meet.

  • Keep a Sharpie in the swim bag.


12. What should we do when we arrive?

  • Arrive 15 minutes early.

  • Check warm-up start time (usually 1 hour before the meet).

  • Check-in: Have your swimmer highlight their swimmer’s name and all events on the check-in sheet (near locker rooms).

  • Double-check relays (if applicable)

  • Missing check-in = no swimming in that session.


13. What happens after check-in?

  • Head to pool deck ready for warmups (suit on, goggles/cap ready), find Atlantis team on pool deck

  • Tell coaches you’re there.

  • Parents sit in spectator seating—look for Atlantis families wearing team gear.


14. Can swimmers leave the pool deck?

  • Stay in the team area unless you ask a coach.

  • This ensures safety, readiness for events, and team spirit.


15. How do swimmers know when to line up?

  • Watch the scoreboard.

  • Get ready about 2 events before yours (adjust for race length).

  • Meet with a coach before and after your race for strategy and feedback.


16. What if we’re running late?

  • Contact another family in your session (phone list available).


17. What should swimmers bring?

  • Team shirt/warm-ups, team suit (or solid color black/red), Atlantis cap, goggles (+ extras)

  • 2 towels, Sharpie, healthy snacks, water

  • Change of clothes (don’t forget underwear)

  • Small activities for downtime (avoid messy snacks; no nut products)


18. What should parents bring?

  • Team spiritwear

  • Cash for admission ($5-$10) 

  • Optional: heat sheets ($3–$5), book/activities, camera (no flash during starts)


19. Do swimmers have to stay for the whole session?

  • No, but check with the coach before leaving—especially if relays are possible.


20. Will my swimmer get awards?

  • Check the meet packet for award details.

  • Some meets give ribbons, medals, or participation items.

  • Awards may be picked up at the meet or brought to practice by coaches.


Atlantis Hosted Meet - Volunteering Info

21. Do families have to volunteer?

  • Yes. Meets can’t run without volunteers and they help fund the team.


22. How much time is required?

  • Volunteer session requirements are set at registration.

  • $250 fee per unfulfilled session.

  • Family/friends can fill your spot; high schoolers can earn volunteer hours.


23. Do I have to volunteer during my swimmer’s session?

  • No, you may choose any session.


24. How do I sign up to volunteer?

  • Log in at www.bbaswimming.org.

  • Click Job Sign-up for the meet.

  • Select open positions, click Sign-Up, and your name will appear.
