Booster Club Roles

President

The major function of the President is to be the administrator of the Booster Club and be responsible for its operation. The President shall also be a coordinator, delegator, and “watchdog” to assure that the business of the Booster Club gets taken care of.

The President:

  1. Presides at the meetings of the Booster Club.
  2. Schedules board meetings for the following months:
    1. August (finalize the budget for the upcoming season)
    2. October (parent meeting)
    3. December (start off the season and plan for upcoming events)
    4. January (standard monthly business, upcoming events, and fund-raising)
    5. February (standard monthly business and annual banquet preparations)
    6. March (the final prep for Swim Banquet)
    7. May (wrap the prior season business, elect new officers, and prep for next season's budget)
  3. Reviews objectives and or issues with elected officers/members.
  4. Establishes the agenda for meetings and gives it to Secretary for distribution.
  5. Partners with Booster Board and Members to identify volunteers to lead events.
  6. Run annual election of open office positions.
  7. Acts as a liaison between the Booster Club and school administrators.
  8. Serves as one of two authorized signers for checks issued by the Booster Club.
  9. Meets with coaches on a regular basis to gain insight into needs – both present and future.
  10. Assists board members and Booster Club members in resolving issues and concerns.
  11. Works with VP on policy concerns and goal setting
  12. Posts monthly bank statements to Google site.
  13. Cuts check for expenses as directed by the treasurer. Replies to group email with check number.
  14. Leads or assists with at least one project.

 

Vice President

The chief function of the Vice President is to support all aspects of the Booster Club.

The Vice President:

  1. Provides input to the budget for the new season.
  2. Assists the Board President with agenda formation, policy concerns, and goal setting.
  3. Presides over the Board meetings in the absence of the president.
  4. Serves as one of two authorized signers for checks issued by the Booster Club.
  5. Routes communications to swimmers and their parents as determined by the Board.
  6. Posts key dates to the team website.
  7. Withdraws petty cash, when needed, for invitational meets or special events.
  8. Functions as one of the Meet Directors for the Invitational Meet.
  9. Leads or assists with at least one project.

 

Treasurer

The Treasurer attends to keeping the accounts of the Booster Club, collecting revenues, receiving invoices, and directing the President and Vice President to issue payments.

The Treasurer:

  1. Maintains the accounts of the Booster Club, including general ledger and membership records.
  2. Audits bank statements to ensure reconciliation with the general ledger.
  3. Collects mail from the post office.
  4. Collects all revenues and deposits funds in the name of the Booster Club.
  5. Provides direction on disbursements.
  6. Files income tax as required by the IRS.
  7. Maintains records in accordance with IRS requirements.
  8. Completes and submits annual renewal with Minnesota Secretary of State (MN-SOS).
  9. Monitors expenditures.
  10. Tracks all fundraising proceeds and issues receipts.
  11.  Bring to the Board any abnormal expenses or excessive expenditures out of line with the budget.
  12.  Prepares budget summary sheet for six-monthly Board meetings and whenever it may be deemed necessary.
  13. Tracks team inventory (e.g. caps and towels) and the proceeds from the sales of those items.
  14. Leads or assists with at least one project.

 

Secretary

The major responsibilities of the Secretary include taking notes during Board meetings.

The Secretary:

  1. Distributes the agenda provided by President. 
  2. Prepares board meeting minutes in an understandable format and shares those minutes at the following meeting.
  3. Sends reminders for action items within one week of meeting and reminders for next meeting, one week prior to the meeting.
  4. Keeps a running list of all motions approved by the Board so they can be put into action.
  5. Serves as the contact who all Booster Club members will contact if they need to discuss an issue.
  6. Leads or assists with at least one project.

 

Volunteer Coordinator

The chief function of the Volunteer Coordinator is to manage all elements of volunteering needed to support all aspects of the Booster Club.

  1. Works with the Board to create a list of jobs for meets.
  2. Posts volunteer opportunities on Team Unify Job Signup.
  3. Emails swim parents about volunteer opportunities.
  4. Monitors gaps in volunteer sign-ups and sends out requests to fill open spots.
  5. Sends out email reminders the night before an event, to those who signed up for volunteer spots, regarding their task for the next day.
  6. Greets volunteers at meets.
  7. Checks to make sure all volunteers are present.
  8. Trains new volunteers on the roles they are to complete.
  9. Fills in if there is a no-show or cancelation.
  10. Leads or assists with at least one project.
