RHCC SWIM VOLUNTEER 2025 PARENT JOB DESCRIPTIONS

SIGN UP JOBS

TIMER (5 Points):  Sits at the finishing end of the lane and is responsible for pushing the timer button when the swimmer touches.  One timer will be asked to use both the push button and the mechanical stopwatch. The other Timer will also act as a Recorder to verify, and if needed, change the name of the swimmer on the lane sheet.   There will be 3 Timers per lane.

**SPECIAL NOTE TO TIMERS – Timers need to not have distractions while working this job (no cell phone or other electronics). If you are asked to step away from your timer job because you appear distracted, the "unfilled job penalty" of $250 will go into effect.

The Timing job requires participation throughout the entire meet.  You are welcome to share your shift with a family member.  A relief timer will be on call to support a brief break.

RELIEF TIMER (3 Points): This is an on-call resource for RHCC Timers and Runners to provide support for breaks (5 minutes max) as needed.  The Relief timer must provide their cell phone and must be immediately available to cover Timing breaks as needed.  Timers will text or call to request assistance.  Please see Timer responsibilities in the Timer description above.

The Relief Timing job requires that you are on stand-by throughout the entire meet.  You will need to work when you are called in by a Timer to provide a break.  When you are not timing you need to remain close to the pool deck.

8 & UNDER LANE CLERK (4 Points):  At the beginning of each event (e.g. relays, breaststroke, backstroke), the lane clerk waits at assigned lanes for swimmers 2 lanes per clerk); keeps kids in order before race and takes note if a child is missing.  A clip board with your lane and swimmers will be provided for you. PARENTS are responsible for taking their kid(s) to the staging area after event is announced.  Clerks stay with swimmers until the last heat of 7-8 swimmers has started their race (boys/girls). Members who have swimmers in this age group should fill this job. Clerks are alert during the entire meet. 

The Lane Clerk job requires that you work when the 6U and 7-8 swimmers are summoned to the pool deck for their race, until the end of the 7-8 event. The Clerk Facilitator will ring a bell to alert you to go to the deck with the swimmers.

CLERK FACILITATOR 8 & Under (4 Points):  Minimum of 1 year on swim team and clerking experience preferred.   Clerk Facilitator is in charge of ringing the bell to get the swimmers moving towards their lanes.  Clerk Facilitator then checks in with each lane clerk to make sure all swimmers are present and find those that are not.   Also assists clerks if needed during age group swims.  Clerk Facilitator helps with the relays at beginning and end of meet as well. **Note - same as Lane Clerks this job will combine 6 & Under AND 7/8 swimmers.

The Clerk Facilitator job requires that you work when it’s time to summon the 6U and 7-8 swimmers to the pool deck for their race (typically when the 13-14 boys are in the water) until the end of the 7-8 event.  

RUNNER (5 Points):  Collects lane sheets from the Timer/Recorders and runs them to the Placer at the officials’ desk. Collects lane sheets from Timers/Recorders and turns them in to the Placer; Posts heat and lane assignments as directed by Coaches.  Requires walking and comfortable shoes; reports to check-in table 30 minutes before meet start time.  This person will also start a stopwatch at the beginning of each race to provide a back-up if a timer’s watch does not work.

The Runner job requires participation throughout the entire meet (you will need to collect lane sheets after each age group event but can sit in between).  You are welcome to share your shift with a family member.  A relief worker will be on call to support a brief break.

HEAD TIMER (5 Points):  This person is stationed near the computer tent  will start 2 stopwatches at the beginning of each race to provide a back-up if a timer’s watch does not work. 

The Head Timer job requires participation throughout the entire meet .You are welcome to share your shift with a family member.  A relief worker will be on call to support a brief break.

HEAD OF DESK / PLACER (5 Points):  This person arrives early, gets all the meet sheets together onto the clipboards, and gets the Stroke &Turn clipboards ready.  During the meet, sits at the Officials’ Table with the Computer Operator.  Takes lane sheets from Runner; checks names, heats and events against seeded sheets provided by coaches and against Colorado Computer printouts; ensures Colorado printout recorded 3 times and a final for every swimmer/lane; denotes disqualifications on Colorado sheets and attaches to them, along with lane recorder sheets; hands off to label printer after DQ’s are input to computer.  

Head of Desk job requires participation throughout the entire meet.  You are welcome to share your shift with a family member.  A relief worker will be on call to support a brief break.

RIBBON ORGANIZER (4 Points): Validates number of labels printed versus event results; ensures ribbon labels are printed out correctly; hand-writes labels not printed or printed incorrectly; attaches labels to ribbons.  Job starts 1 hour after the meet begins and will extend up to 1 hour after the meet is over. 

The Ribbon Organizer requires participation about an hour after the meet starts.  You may need to stay after the conclusion of the meet to finish out.

SEASONAL JOBS:

**These pre-assigned roles are primarily worked during the season, but may require pre-season work and will be exempt from the required swim meet job obligation; will work League meet relative to assigned role.  If you are interested in any of these roles, please contact the Jobs Chairperson.

ASST. SPIRIT COORDINATOR**:  Coordinates with Spirit Director in creating and implementing team spirit functions during swim meets and on practice days, creates motivating incentives for swimmers during meets and at practices. 

ASST. JOB DIRECTOR**:  Works with Jobs Director for all volunteer related job needs, sends out meet job reminders 2 days before meet, assists at meets for check-in related questions, troubleshooting at swim meets, coordinates clerk aprons/clipboards for home and away meets, works with Swim Entries Clerk.

ASST. COMPUTER DIRECTOR:   Assists in all swim team computer related tasks during all home swim meets.  Sits at Officials Table during all home meets with the oversight of the Computer Chairperson.   Training will be provided.

ASST. MEET DIRECTOR Assists Meet Director with all operational /technical issues during swim meet including set-up.  Coordination of Head Timer, Stroke & Turn and Starter/Whistle officials at swim meets. Assists with season meet schedule and coordinates logistics with opposing teams’ meet director.

AWARDS COORDINATOR**:  Oversees and manages logistics relating to Awards including swim meet roles, Ribbon Coordinator and Achievements Coordinator. Orders patches in March. Orders trophies/name placards, hot shot trophies, team towels, and specialty trophies (high point, golden goggles, etc.) in late June.  Obtains coaches swimmer selection of specialty trophies after league for End of Season Celebration. Works with award banquet helpers for setting up trophies at End of Season Celebration and places ribbons/medals in swimmer files from league. Distributes actual patches at the End of Season Celebration in swimmer files. Obtains ribbons/medals from Invitational/County Coordinator to place in swimmer files after meets.  

CTS (Colorado Timing System) OPERATOR:  Sits at the Officials Table during home meets only, operates the race timing system and scoreboard (mostly automated); prints results for each race.

EQUIPMENT & TENT SET UP:   Arrives 2.5 hours before the start of the meet and sets up Family Tents along with meet facility tents along with equipment to support the meet

  • Time Trials: TBD based on start time
  • Wednesday Meets: 2:30pm
  • Saturday Meets: 6:30am

EQUIPMENT TAKE DOWN HOME MEETS: Arrives 15 minutes prior to the END of meet and requires staying after meet for approximately 1 hour; disassembles and stores timing system, scoreboard hook-ups, side lane roping and head of desk equipment. All equipment must be put back in proper spots.  Guidance on what to do will be provided by the Meet Director.  Preferably strong people or able to lift 50 pounds. 

The Equipment Take Down requires participation after the meet ends. Plan for 1 hour.

ACHIEVEMENTS COORDINATOR**:  Works with Data Reports Coordinator at tracking updated goal achievements after each meet (patches, new county swimmers, and record breakers). Communicates updated county qualifiers and record breakers after each meet to Communications Chairperson for posting on team website.  Updates display case and records board within two days after achievements (county/record breakers).  Obtains record breaker ribbons from Ribbon Coordinator to distribute to swimmers within two days after achievement.  Manages all patches earned after swim meet and places an “achievement card” in swimmer files. Works with Aquatics Director after County to prepare Season Highlight swims and document by September 1st.  Provides document to Communications Chairperson for immediate posting on website along with season results for team.

DATA REPORTS COORDINATOR**:  Receives meet result list from Computer Director. Updates goal achievements from each swim meet and prints off swim roster with updated patch, county, new records status. Printouts go to Goal Achievement Coordinator for implementation of achievement cards. 

INPUT/DATA ENTRY**:  Assists Computer Director with all input/data entry for all swim meets, invitationals, and county.

STARTER & WHISTLE:  These meet officials are league trained by attending one pre-season short update clinic. The Whistle Official blows the whistle to get the swimmers to and on the block; the Starter then starts the race with the CTS buzzer. A good starter team keeps the meet running on time!

STROKE & TURN JUDGE:  These meet officials are league trained and certified each year. Stroke and Turn judges are parents that have general knowledge of all four strokes including IM turns and are trained on the specifics. You must attend the Stroke and Turn training at Round Hill in May.  During the meet, a Stroke & Turn official walks the length of the pool to check strokes, turns and relay starts of the 2-4 assigned lanes/swimmers. If there is a stroke of turn infraction it is marked on a sheet and turned into the runner to return to the head desk.

CHECK-IN COORDINATOR:  Arrives 30 minutes prior to warm ups to set up check in table.  Checks in all parent volunteers for their jobs and explains job positions if needed.  Must stay at the check in desk until after first event to make sure all jobs have been covered.
