Elected Board Positions
President - 2nd Year: Chris Torbeck
The President is the executive head of Sunset Swim Team (SST) and responsible for calling and coordinating all business meetings. This includes establishing meeting agendas, coordinating yearly budgets, reviewing financial reports, attending meets, and monitoring all club fundraisers and sponsored activities. The President monitors some practices and/or appoints a board member to do so. The President presides at the Meetings of the SST Board of Directors. The President may call additional meetings of the SST Board of Directors as deemed necessary. The President has the power to appoint committees not otherwise provided for in the Bylaws. The President is the liaison with the Valley Swim League or may appoint a Board member as a league representative. The President is responsible for acquiring Tournament Ribbons from the Valley Swim League. The duties of the President may not be limited to those responsibilities listed above.
Co-President 1st Year: (OPEN)
If no Co-President [Vice President] is appointed, the role of the President will remain as a single individual position until the Co-President role can be filled. It is the duty of the first-year Co-President to assume all duties of the 2nd year Co-President in case of disability or absence. They work alongside the 2nd Year President and assist with any duties listed above. The duties of the 1st year Co-President may not be limited to those responsibilities listed above.
Secretary: Erin Jones
The Secretary keeps records of the SST, records all minutes of all meetings of the Board of Directors, transacts all necessary communication, and maintains the team roster and waiting list. The Secretary is responsible for all team documents, such as contracts and agreements, approved financial reports, fundraiser records, official bylaws, rules and regulations, and the names and addresses of all current members. The secretary works with the Sunset Swim Board if any documents need to be drafted or amended.
Co-Treasurer - 2nd Year: Adair Spence
The Treasurer is responsible for all money due SST and for depositing this money in a commercial bank, withdrawing and dispersing all club funds as officially approved and countersigned by the Co-Presidents. All club checks are signed by any combination of two (2) of the above officers. The Treasurer prepares and presents to the Board the financial reports, which show and explain all deposits and withdrawals, at monthly board meetings. The Treasurer serves a two-year term. The Treasure is responsible for all post-registration communication with members.
Co-Treasurer - 1st Year: Caitlin Grant
It is the duty of the first year Co-Treasurer to assume all duties of the 2nd year Co-Treasurer in case of disability or absence. They work alongside the 2nd Year Treasurer and assist with any duties listed above. The duties of the 1st year Co-Treasurer may not be limited to those responsibilities listed above.
Website/Communications Manager: Jerry Spence
The Website/Communications Manager is responsible for creating and updating the website with current events and information. Sends out information via website communications (email), and/or flyers to families and coaching staff regarding events. Works closely with the Co-Presidents with regard to registration.
Board of Directors: Sarah Carder, Sandy Zucker, Kelly Pentico
1) Administer the affairs of the Sunset Swim Team including the management and control of the team funds.
2) Fill vacancies by appointments pending regular elections.
3) Contract services as needed to carry out the work of Sunset Swim Team in an efficient and productive manner.
Volunteer Coordinator: David Chopp
The main job of the Volunteer Coordinator is to coordinate all necessary positions during a swim meet and ensure they are fulfilled by parent volunteers. Positions include, but not limited to setup, parking lot, times, age group coordinators, snack bar, and clean up.
Fundraising Coordinators: Katie Hamilton, Megan Lassalle
The main job of the fundraising coordinator is to devise a yearly plan and fundraising goal. They will be responsible for establishing a committee to help run fundraising events such as the Swim-A-Thon or bake sale.
Spirit Coordinator: Alyssa Cruz & Tara Girling
It is the responsibility of the Spirit Coordinator to schedule themes for home and away meets. Prepare Buddy Lists. Coordinate and execute Special Events each Season. To name a few, Kick-Off Potluck, Team Picture Day, Friday Night Rallys, and Awards night. Spirit will be expected to liaison and partner with the Fundraising Coordinator. The Spirit Coordinator will also be in charge of the sale of any Spirit Wear for the team.
Volunteer Positions (non-voting, non-elected)
Computer Managers: Katrina Owens, Sarah Carder - we need 2 more!
Works on the computer using the Meet Manager Software. Before the meet, the computer operator will make any necessary changes. During the meet, the computer operator will collect timing and finishing sheets from the runners and will compare to the computer for any major discrepancies. At the end of each event, the computer operator will print the results to give to scorers and labels to give to ribbons. Must be trained and have access to a PC computer.
Document Printer: Chris Torbeck
Will print timing sheets for timers and heat sheets for coaches, officials, and announcers. Must be trained and have access to a PC computer. Will be reimbursed for paper and ink.
Social Media Coordinator: OPEN
The main job of the social media coordinator is to manage and run all social media platforms: Facebook and Instagram. They will be responsible for posting about registration updates, answering direct messages, and responding to comments. The social media coordinator will work closely with the Website/Communications Manager to ensure information is accurate.
Ribbon Manager: OPEN
Responsible for attaching labels to ribbons the week following a meet and organizing their distribution to swimmers in the family folders. This could be done by one or two parents who typically stay to watch practices.
Board Committees:
The Swim Team Board will designate and assign from time-to-time, various committees to carry out the business of the Association. The Committee(s) shall be headed by a volunteer parent, and shall be appointed by the Board of Directors (in quorum). At any given point in time, one person may not lead more than 2 committees at a time. Each Committee Chair will report to a designated Board Member.
