Practice Monitor

Managing Swim/Dive Team to Day Camp check in roster and ensuring campers leave the pool area with Sunset Hills Day Camp Counselor at their pick up time.
Day Camp Check in clipboard is kept in the pool office.  Please place a clipboard with pencil on the concession stand leaning on the window. Upon arrival to practice parents will sign the name and the time the last practice ends of their swimmer/diver who will be attending Sunset Hills Day Camp.  Upon completion of practice, day campers are to gather under the yellow umbrella on the main pool deck to wait for their camp counselor.  Beginning at 9am and at the end of subsequent practices counselors from camp will meet the campers in the pool area to escort them to camp.   Check off names off campers from the list as they leave with Sunset Hills camp counselors.  After the last pickup the clipboard can be turned into the pool office.

Monitoring pool entrance gate to keep all swimmers/divers inside the gated pool area while waiting for rides.

All swimmers and divers must stay inside the gated pool area when waiting for pickup.  Please keep close watch on entrance especially during practice transition time and if any swimmers/divers are waiting in front of the pool area or on bench, sidewalks or parking lot, ask them to return to the inside pool area where they may wait for their ride.


Time Trials Volunteer

At Time Trials swimmers are timed in different events so that the coaches know best how to seed athletes for the meet. This helps to place swimmers in heats so that they are swimming against others of similar ability. 

Volunteers at Time Trials will be timing swimmers in their lanes and recording those times. 
 

Pancakes Volunteer

Twice a season we serve pancakes to swimmers/divers after their age group practice. Volunteers at this event will set up and prepare pancakes.  Once the last age group has finished, volunteers will be responsible for cleaning up.  Must wear close toed shoes.

 

Special Events 

 

Dive Judge Training 

This training event will be held at Center of Clayton. Volunteers will learn the judging philosophy, areas to Judge, degree of difficulty, mandatory and voluntary deductions, how your score goes into the Dive award and what Dive numbers mean. 
 

Banquet Volunteer 

Banquet volunteers will set up and prepare/serve foof and clean up for Team Banquet held at the end of the season. This event is split into two volunteer shifts.
 

Pictures and Donuts Day Volunteer 

Volunteers will assist the photographer during the photo session as needed and to distribute donuts and drinks to team members. 
 

Dive Meets

 

Volunteer Coordinator/Alternate Worker

Write out volunteer name tags, ensuring all volunteers are in place to begin Meet on time. Will serve as an alternate worker for any volunteer job if needed.

Announcer
Reads divers’ names, announces dives and scores.  Will need to work with the Dive Rep for specifics.  This job is only for home meets. 

Calculator Operator 
Uses calculator to total dive scores 

Dive Bullpen

Dive Bullpen is located poolside.  This volunteer will assist in locating divers in the bullpen area and send to the board when their group is diving.  
 

Dive Judge

Experience is preferred but not required.  Evaluate dives, assign scores based on lead Judge guidance.  Dive Judge Training Clinic will be held at Center of Clayton.
 

Hospitality

Help with set up/tear down, serve refreshments and back up other volunteers as needed.  This job is only for home meets.

Writes down Dive scores
 

Ribbon Writer

Writes names and scores on ribbons.

 

Swim Meets

 

Announcer

Announces the event that is on the starting blocks.  Reports results in addition to any other important information.  Must be comfortable speaking into a microphone.  Must remain team neutral when reporting scores.  This job is only for home meets.
 

DQ Recorder

Using the forms provided records any swimmer name and disqualification error as directed by the swim official.  

Keeping the event number updated, and assists the starter as requested. This job is basically a sitting job, at the starter table located at the poolside.
 

Bullpen

This job is in the holding area for swimmers called the bullpen. You will be under the direction of the Bullpen Corral Master. You will be directed in your duties to organize swimmers for their assigned races and heats according to the “heat-sheet” and send the swimmers to the block area in time for their races. It is not the job of the bullpen to search for swimmers missing from the bullpen. This is a standing job, with walking, and communicating closely with the children.
 

Bullpen Corralmaster
Experienced Swim Parent {double credit job}. Supervises the bullpen and is responsible for keeping pace with the events that are on blocks so swimmers do not miss their events.  Must be comfortable giving directions and using a megaphone. 
 

Bullpen Scout
Reads names of swimmers from the provided list needed for an event.  Gathers swimmers for each event and sends them to the Seater.
 

Bullpen Seater
Receives groups of swimmers from the Scout and organizes {seats} them in the order they will proceed to the blocks.  When a group is ready they will leave with a Transporter.  

Bullpen transporter
Walks {young} swimmers from the bullpen to the chairs behind the diving blocks.  Responsible for making sure swimmers stay in lane order.  

Bullpen Monitor
G
eneral supervision of swimmers in the bullpen and redirecting any swimmers with food to the concession stand area.  Per City of Sunset Hills there will not be any food or drink other than water allowed in bullpen pool deck.

 

Lane Director

This job uses the “heat sheet” to help swimmers brought to you from the bullpen get into the correct lane order and heat at the clock. You will be assigned as the “director” of a specific lane. This is especially helpful for the young swimmers needing direction to get up on the block for their race. This is a standing and walking job at the poolside.

 

Timer

Three timers are required per lane with the duties on each lane split between the two competing teams. All timers start their watches on the flash and buzz of the starter’s strobe and stop their watches when the swimmer in their lane touches the wall. Timers should verify the swimmers name either before or after their race. The team will provide stopwatches. One of the timers will act as the recorder and write all three of the times on the lane timing sheet provided on a clipboard at each lane. After the timing sheets are completed “runners'' will collect them. If one of the three timers on your lane doesn’t get their watch started for some reason, they should raise their hand and yell for the back-up timer to come to that lane and step in to capture the end time. This is a standing job at the poolside in an assigned lane.

 

All timers, Lane directors, Runner and DQ recorder must report for the timers meeting before the meet with the swim officials. This usually occurs at 5:30 at an announced location (for home meets it is by the diving boards). The swim officials will provide additional instructions on timing and how the meet will be run.

 

ALL STOPWATCHES AND CLIPBOARDS SHOULD BE RETURNED TO THE VOLUNTEER COORDINATORS AT THE CONCLUSION OF THE MEET

 

Back-up Timer

These timers stand to the sides of the pool and start their watches for every race on the signal of the strobe and buzzer from the starter. The back-up timer will be alert to signs from the lanes that they are needed and should go quickly to the lane where the lane timer is indicating a need for back-up. They then stop their watch when the swimmer touches the wall and report the time to the recorder. Back up timers also frequently need to check with the lanes to relieve assigned timers for brief bathroom breaks. This is a standing and walking job at the poolside.

 

Runner

Your job is to collect the timesheets after each even-numbered event from the back of the lane rows and “run” or turn them into the timesheet judges in the computer area. It is important to collect these frequently and deliver them timely to keep the results flowing. This is a standing, walking job around the pool and building area.

 
Timesheet Judge

This individual receives the time sheets from the runners, sorts the sheets by the event number, and either checks that the middle time has been circled by the lane timers or circles the middle time. This job is usually away from the pool deck, it is a sitting job and sometimes it is in an air-conditioned space (depending on meet location and practice of hosting pool).

 

Computer Entry

Helps coordinate entry of times into the computer, moving paperwork from the time sheet judges to the computer and then to the time entry checkers, and making sure results are posted in a timely manner. This is an administrative assistant type job and general helper. This job is only needed at home meets. This job is away from the pool deck, it is a sitting job and sometimes it is in an air-conditioned space.

 

Time Entry Checker

This job receives a computer printout, checks that all times have been entered correctly by verifying against the actual time sheets and then informs the computer entry person if any changes need to be made. This job is usually away from the pool deck, it is a sitting job and sometimes it is in an air-conditioned space (depending on meet location and practice of hosting pool).

 

Set Up

This job starts at 4:45 and checks in with the volunteer coordinator. Table and chair set up, general meet organization, setting up supplies, starter table,  gathering supplies and general meet prep duties as directed by the coaches, hospitality, computer coordinator and meet coordinators are needed. This is an active position requiring walking, standing and maybe light physical duties. Once the meet is running smoothly this job duty is complete. This job is only for home meets.

Hospitality

The hospitality workers serve water or other provided drinks to all meet workers, coaches and swim officials throughout the meet. They are also policing the area for trash and cleaning up messes as needed. This job is very important, especially on hot days! This job is only for home meets.

 

Alternate

You will be required to check in with the volunteer coordinator no later than 5:15pm. You will help volunteers as needed. You must be flexible, as you may have to work any position as needed if someone does not fulfill their volunteer duties. If there are no needs and the meet is running smoothly, this job duty is complete.

 

Meet Clean Up

You will need to check in with the volunteer coordinator before the meet, so they know you are present for your job. You will obtain trash bags from the concession stand in the later part of the meet and start picking up trash and policing the area. Once the meet is complete you will help with take down of chairs, tables, roping, signage, and general clean up duties. All pool chairs must be returned to the concrete and pushed together and flattened. The pool area must be returned to original condition for opening the next day. Lost and found items will be collected and turned in. If all assigned workers are present this job usually takes no more than 30-40 min after the meet completion. This is a physically active job involving lifting, bending, walking, and carrying. This job is only for home meets.

 

Bullpen Clean up

This job is for away meets only. You will need to check in with the volunteer coordinator no later than 8:30pm.  Will be responsible for picking up trash in Sunset Hills bullpen, returning any pool furniture to proper location and collecting any items left behind for lost and found.

 

Chick Fil A runner

Picks up sandwich order from Chick Fil A Sunset Hills and delivers to the concession stand area of pool. May require additional trips to Chick Fil A during the meet as needed.
