Clinton YMCA Otters Swim Team Appoint/Committee List
Publicity Chairman
In charge of contact with participating local papers and radio stations. Committed to get the word out about the swim team, their accomplishments, and state qualifiers.
Awards Chairman
In charge of all the ribbons, heat awards, and trophies at local meets to hand out to all participating teams. Keeping an inventory list of all awards, trophies, and ordering when necessary. Making sure we receive all of our awards from participating away meets. Filing all awards to swimmers in the swimmer box from meets. Get together with Coaches if they want to do awards at the End of the Year Banquet.
Hospitality Chairman
The chairperson shall coordinate with program chairpersons to provide social functions such as home meets and end of the year banquet. The chairperson shall supervise the hospitality budget and supplies and shall develop a calendar of volunteers to set up and take down the hospitality area for events.
Transportation Chairman - As Needed Year to Year
Person in charge of transportation that is needed for team members from the Clinton YMCA to the meet and setting up van and driver. This is only available when the Chairman and Coaches seem necessary.
Official Chairman
An Official part of the Clinton YMCA Otters Swim Team. Be up-to-date on training, certifications, meets they’ve officiated, and participating at home and away meets. Help Recruit New Officials, Training Dates, and meets to Officiate.
Fundraising Committee (2)
Works with the Team Treasure to help run and finding new fundraising ideas. Help put together the 2 biggest fundraising events of the season: Apple N Pork and Reindeer Classic. Can also look into new ideas like swimming grants (YMCA/State Underserved Areas/BIG local Business (Exelon, Monsanto, Sygenta, ADM)).

Set-Up & Tear-Down Committee (5-6)
This committee is in-charge of set-up and tear-down of the timing equipment, meet supplies, and gym set-up for home meets. They should know where the supplies are located, put it together, run the system before the meet (usually set-up the night before). Tear-down will start after the last event is swum at the meet and everything should be put away in the correct way before leaving. There should be at least 3-4 people assigned to set-up or tear-down during each meet.
Spirit Committee (3)
This Committee is in charge of the bulletin board by the locker rooms, make sure the Team Banner is at all home and away meets, swimmer highlights, organizing the Parade Float, helps put together Christmas Tree, helps recognize State Swimmers at school, and in charge of any Spirit Challenges at Jr, Districts, and State. Also decorates the viewing room for the Reindeer Classic and any home meets.
Banquet Committee (3)
Works with the Team Treasure to set up the end of the year banquet. Responsible for finding the venue, food, date (within 2 weeks after State), swimmer gifts, and possible awards. Also finds candidates up for election on the BOD team and coordinating the event list with BODs, Coaches, and Aquatics Director.
USA Committee (3)
Oversees the requirements to make us a dual registered team. Meets after each parent meeting to discuss the progression, answer any questions that parents might have about USA swimming, look for upcoming meets that we could attend or meets that are Duel Registered both YMCA/USA meet, Keep up-to-date USA unattached swimmers with information a USA meet Entry Chair may need.
Computer Coordinator (1) - AS NEEDED PER SEASON
Works with the coaches to enter swimmers in each event they are swimming for each meet using Meet Manager. Also help in creating home meet on Meet Manager and receive all the entries from other teams. Also trained in SportsEngine, creating meets, meet director, host meet entries, host meet packets, uploading results, etc. Works with Coaches, AOs, and Parent Board.
