Executive Role Descriptions: (as per the Bylaws)
President: The President shall be the Chief Executive Officer of the club, call all meetings and preside at all board meetings; be a member of the Board of Directors; sign all documents requiring the president's signature; be on all standing committees; not vote on montion from the floor, but have the deciding vote in the event of a tie; and have the right to vote in an election. The President shall be the official spokesperson for DDSC, be primarily responsible for Club communications (including the website), and receive and delegate complaints, disputes, appeals, and matters of discipline to the appropriate individual. The President shall also represent DDSC by attending ASSA Region B meetings and the ASSA AGM, unless an alternate can be appointed.
Vice-President: The Vice-President shall be vested with all the powers of the President and shall perform all the duties of the President in the President's absence, disability, or refusal to act as President, and have such powers and duties as may from time to time be delegated and assigned to them by the Board of Directors. The Vice-President shall be responsible for the documentation of all ammendments to the DDSC Bylaws, submitting any approved changes to the Alberta Registries for filing, and will serve as the Club Officials Administrator (COA).
Secretary: The Secretary will record and have charge of the minutes of the Club's General Meetings and Meetings of the Board of Directors; sign such documents that may be required; and keep duties as the Board may from time to time require of them.
Treasurer: The Treasurer shall have the care and custody of the funds and securities of the Club, as outlined in Bylaw 8, and may, with other signee, sign all cheques, drafts, notes and orders for the payment of monies pertianing to the club fund and shall make and dispose of the same under the direction of the Board; will at all reasonable times exhibit those books and accounts to any other persons upon application; will sign or countersign such doucments as require his signature and shall perform all duties incidiental to his office or that are properly required by him by the Board; such statement shall be presented to the members at a a general meeting. In addition, the Treasurer shall provide regular financial updates to the Board, and prepare and submit the Society Annual Return to Alberta Registries.
Registrar: The Registrar is responsible for conducting all swimmer registration activities under the direction of the Board, including the formal activation of swimmers, and coaches, with ASSA.
Meet Manager: The Meet Manager is required to stay up to date on the expectations and requirements of ASSA and Region B as to the operation of swim meets, and is responsible for the planning and facilitation of our home swim meet, including but not limited to liaising with the Town of Devon, securing a referee and officials, working with the COA to coordinate volunteers, sanctioning the meet, and ensuring all materials and equipment are prepared and available.
Team Manager: The Team Manager is responsible for inventory and ordering of team equipment, apparel, and awards, coordinates our swimwear sizing evening, and is responsible for all bookings under the direction of the Board.
Fundraising Coordinator: The Fundraising Director is responsible for planning and operations of fundraising projects approved by the Board of DDSC, along with grants, sponsorships, and donations; will serve as chair of the Fundraising Committee, should one be established.
Additional Roles: Additional roles may be assigned to Directors based on strengths of the individuals on the Executive, and/or, if approved by the Executive, by other members of DDSC. If a committee is established, a Director will be assigned as the Committee Chair. Note that the roles of Secretary, Registrar, and Team Manager have the most flexibility for taking on supplementary roles.
Hospitality Coordinator(s)/Committee: Responsible for planning and purchase of food and serving items for our social events and coordinating hospitality avenues for our swim meet (coaches, volunteers, officials, concession), under the direction of the Board of Directors.
Social Coordinator/Committee: Responsible for planning fun events and social activities, under the direction of the Board of Directors.
Website Coordinator: Responsible for updating the information, news, and pictures on the website, as well as maintaining the calender of events, under the direction of the President.
Fundraising Committee: Responsible for providing assistance to the Fundraising Coordinator in securing sponsoriships and the planning and execution of fundraising events and activities.
