Courtside Stingrays Swim Team

A swim meets needs swimmers, but it will not operate without the volunteers supporting it. The following are job descriptions for some key positions. Some positions are for the entirety of the season and fulfill the volunteer requirement. Some are for a period of time and fulfill only part of the volunteer requirement.

 

BOARD POSITIONS

President

Responsible for the leadership of the Northwood Courtside Stingrays Swim Team. Conducts board meeting, represents NCST before the Irvine Swim League and or other swim teams. Selects and coordinates swim meets with other ISL teams. This position has the support of both the ISL and other board members.

Treasurer

Develops budget and maintains financial records. Manages Stingrays finances, including depositing all cash receipts and processing payments for all expenditures. Responsible for all financial reporting with ISL and donors.

Secretary

Records and publishes minutes of the board. Assists the President in administrative matters including compliance with NCST Bylaws.

Statistician

Responsible for managing and maintaining team performance information for swimmers and team meets, home and away, including ISL Championship meet. Coordinates with dual/tri-meet teams prior to meets. Prepares and submits ISL reports after each meet. Responsible for maintaining team records, posting results on website and presenting coaches with performance data. Prints labels for swim cards on Friday and ribbons on Sunday.

Team Registrar

Oversees team registration, roster and swimmer eligibility requirements, per ISL rules. Communicates with parents and team regarding registration.

Meet Manager

Oversees swim meet preparation and meet management. Works with the Volunteer coordinator to ensure parents are signed up for meet duties. Works with Statistician to ensure swimmers are recorded correctly during the meet. Works with the Head Coach to verify swimmer attendance.

 

COORDINATOR POSITIONS

Volunteer Coordinator

Responsible for the sign up and management of volunteers. Manages attendance and performance at swim meets and team events. Communicates directly with parent volunteers regarding duties and assignments. 

Sponsorship Coordinator

Responsible for managing sponsorship and fundraising activities. Solicits sponsorships from members or outside companies. Collects logos for use on team t-shirts and website. Pursues procurement of monetary or in-kind goods donations for the team.

Apparel Coordinator

Responsible for the purchase, storage, sales and distribution of team apparel, swimsuits, caps, and specialty items. Purchase includes researching and negotiating apparel and prices, including sponsorship t-shirts for swimmers. Maintains records of sales and stock on hand.

Team Ribbon Coordinator

Works with the Statistician to prepare and manage meet entries, swim cards, ribbons and ribbon labels. Friday night coordinate with a volunteer to place labels on cards for the swim meet the following day and deliver cards to Meet Manager. On Sunday coordinates with a volunteer to complete ribbon labels and sort ribbons for distribution at practice on Monday. Coordinate ribbon distribution with the head coach.

Lap-A-Thon Coordinator

Plans, coordinates, and runs team lap-a-thon event typically 2nd or 3rd week in July. Pursues the procurement of either monetary or in-kind goods donations to the team. 

Team Photographer

Responsible for taking, posting and maintaining team pictures at meets and team social events. Creates slide show for end-of-season banquet.

Photo Day Coordinator

Responsible for contracting a photographer, organizing day of preparations, and checking in volunteers. Coordinate with social coordinator on food and agenda for afternoon.

Snack Bar Coordinator

Responsible for planning, purchasing and over-seeing the operation of team snack bar at all home meets.

Banquet Coordinator

Responsible for coordinating the food and number of people attending the banquet, collecting money and organizing day of preparations.

Trophy Coordinator

Plans, prepares, orders and distributes team end-of-season trophies and awards.

Champs Coordinator

Responsible for representing Stingrays at all ISL Championship planning meetings and acts as a liaison to the Stingrays Board regarding such meetings. Oversees Champs details, campsite, and team assignment. Works with Head Coach on congratulating swimmers who qualify for Champs. 

Social/Fun Coordinator

Oversees the planning and operation of team social activities; Fun Thursdays, Team Social/Photo day and other team bonding activities.

Coach Attendance Coordinator

Responsible for verifying assistant coaches’ attendance at practices. 

Communications Coordinator

Responsible for managing Stingrays’ Instagram, Facebook and website.

Equipment Coordinator

Oversees team equipment, storage and maintenance. Brings equipment to Courtside pool for Time Trials, Photo day, Lap-a-thon and end-of-season banquet. Brings equipment to “home pool” for home meet. Communicates with other teams regarding meets and family campsites.
