2025-2026 Short Course Meet Schedule (September 2025 - March 2026)
SWIM MEETS: HOW TO SIGN UP & MEET FEES
HOW TO SIGN UP: Members are responsible for checking the events section of the website to ensure swimmers are signed up for meets they wish to attend before deadlines pass. To sign your swimmer up for a meet on a computer, please log in to your account on our website and follow the directions below.
1. Click on “edit commitment” next to the meet you’d like to declare for.
2. Click on the swimmer’s name and use the drop down menu to declare “yes” or “no”
3. Use the notes section to tell the coaches any availability details (e.g. can only participate in one day of a two-day meet, will be arriving late, etc).
4. Scroll past the events (if they pop up) and hit the SAVE button. Your information will not be saved if you don’t hit this button.
MEET SCHEDULES: Meet schedules are created twice a year by our coaching staff. One schedule includes meets for September - March (finalized in July) and the second schedule covers meets from April - July (in March). The meet schedule will include names of meets, dates of meet, time standards needed to attend the meet (if any), groups eligible to attend, and the location of the meet. If you have any questions regarding meets that your swimmer is eligible to attend, please contact your child’s lead coach. The format of each swim meet on our schedule, including preliminary session/warmup information will be available to you before declaring for a swim meet, so you will know what you are committing to. You can access this information by clicking on the meet name on our website, and then clicking on the “Meet Information” attachment.
TRAVEL MEETS: Travel meets are highly encouraged. Championship meets are often in a different city, so it is always a good idea to experience away meets and different pools before you qualify for a state/sectional/national level meet. While it is the responsibility of individual families to make their own travel and hotel arrangements, we try to secure a block of rooms at a hotel with a discounted group rate; there is usually a limit to the number of rooms available, so early booking is suggested. Hotel blocks for upcoming travel meets can be found on our website, under the schedules tab, by clicking on “Hotel Information for Travel Meets.”
MEET FEES: Meet fees are charged in addition to membership dues. It is the responsibility of each family to understand the meet fees for each particular meet prior to registering for that meet. Because meet fees must be paid in advance, these fees will not be reversed if a swimmer fails to attend a meet for which s/he signed up to attend, regardless of reason (medical, etc). The meet host typically charges fees for use of the facility, individual swimmer entries (each individual race), and for their participation on relays (1/4 of total relay cost). These fees differ by meet and can be found in the meet information posted on our website. These fees are finalized and paid by our team in advance of the entry deadline posted by the host club, therefore, these fees are non-refundable if a swimmer registers and then decides not to attend, even for illness or injury.
Meet Fees consists of the following with all fees (excluding Coaches’ Fees) determined by the meet host:
- Facility Fee (usually $15-$20)
- LSC (NC Swim) fee (usually $3)
- Coaches Fee ($5-20)
- Fees for individual swimmer events (usually $6.00-$10.00 per event)
- Fees for relay events (usually $2.50-$5 per swimmer)
Coaches Fees to help cover coaches’ travel and other expenses for on-deck coaching at swim meets is shared by the club and the swimmers in attendance at those meets. Coaches’ Fees are determined by location, the number of days of the meet, and whether the meet requires overnight stay(s) for our coaches. Taking these factors into account, the Coaches’ Fees vary by meet and are determined using the following criteria:
- Charlotte area meet lasting 2 or fewer days - $5 per swimmer
- Charlotte area meet lasting 3 or more days - $10 per swimmer
- Meet outside the Charlotte area lasting 2 or fewer days - $15 per swimmer
- Meet outside the Charlotte area lasting 3 or more days - $20 per swimmer
