Volunteers Needed for Time Trials and Many Updates!
Hi Swim Families,
We have many updates for you here – and lots of asks of you to volunteer and sign up for various items.
We are looking forward to seeing many of you this weekend :)
Volunteers Needed for October 25-26th Time Trials
We are in desperate need of more volunteers for this weekend’s Blow the Dust-Off Time Trials. We have plenty of timer spots for parents who are new to officiating!
A nice benefit of volunteering is you can be on deck during the races, so you get a great view of the swimmers!
Please reach out to Jane Ann to sign-up at [email protected]
Saturday, October 25th
- Session 1: 7:15am warm up / 8:00am racing begins
- Session 2: 4:15pm warm up / 5:00pm racing begins
Sunday, October 26th
- Session 3: 9:15am warm up / 10:00am racing begins
Volunteer Roles – Travel Coordinator & Fundraising Director
Travel Coordinator. We are looking for someone to take on the role of Travel Coordinator, including taking on swim meet planning items like getting hotel block bookings.
Fundraising Director. We have several folks stepping up to take on various fundraising coordination roles to support the Club (thank you!). We are still looking for someone to take on the Board role of Fundraising Director.
Coordination of Pumpkin Lane – we are urgently looking for someone to take on coordination of volunteers for lighting Pumpkin Lane on November 1st & 2nd
If you are interested in any of these roles or have any questions, please reach out to any Board member (or reply to this email)
Hay River Swim Meet – November 29-30th
This event is recommended for: Gold, Silver, Bronze, Cubs, Sharks, Belugas, Dolphins 2 & 3
- Session 1 - Saturday 12:00pm warm-up, racing at 1:00pm
- Session 2 - Sunday 7:00am, racing at 8:00am
Fees: $8.00 per event, up to 7 events + 2 relays per athlete.
It’s highly recommended to book your hotel room ASAP if you are planning to attend because Hay River will also be hosting a hockey tournament the same weekend and we are hearing hotel rooms are tight.
We’re also investigating options to rent school space (e.g. kitchen and classrooms for sleeping). We would be asking for interested volunteers to help as chaperones and to do food prep and serving.
If you're planning to attend the Hay River Swim Meet, please sign your swimmer(s) up here for planning purposes:

This weekend’s Time Trials will be a great time to share interest and ask questions!
Notice of 2025/26 Change to Meet Fees
Starting this year, the Club will be charging Meet Fees to our members at a cost of $7.50 per event (e.g. the max fees would be $45.00 if a swimmer is entered in the maximum 6 events for this weekend's Time Trials).
To streamline our accounting and reimbursements of travel fees, this year we will also be charging families for their swimmer’s Meet Fees at the time of swim meet attendance.
The standard practice is that any scratches are free of charge until heat sheets are printed. Once heat sheets are printed, athletes would be charged for the events they signed up for.
