In order for our team to have a positive experience, each family is required to participate by contributing their time throughout the season at events and meets. This is also how we keep our costs to a minimum so the experience is affordable to many.

- If the required number of swim meet and/or snack bar duties for a family are not completed by the end of the swim season, the $350 VOD Check will be deposited in lieu of the volunteer obligations.
- Suppose a swimmer chooses not to participate in meets or quits the team after the season begins. In that case, the family is still responsible for fulfilling all originally required volunteer obligations by the end of the swim season or the $350 VOD Check will be deposited in lieu of the volunteer obligations.
MEET VOLUNTEER POSITIONS AND RESPONSIBILITIES
The following positions require prior certification by the MCSL. Anyone interested in these positions should contact Scott Zimmerman.

Head Timer/Assistant Head Timer
The head timer will review the timer’s responsibilities before the start of the meet. The head timer/assistant head timer will each be assigned to 3 lanes to cover during the meet and will be responsible to start their watches upon the start of each event. In case a timer did not start their watch at the start of the event, the head timer/assistant head timer will either finish the timing of the event or will give their stopwatch to the timer in need.
Head Timer/Assistant Head Timer will earn one volunteer obligation.
Timer
Timers are responsible to report 30 mins before the start of the meet. Timers will be assigned to a lane for the entire meet. Timers are responsible for starting their watches on the flash of the starting strobe and stopping their watches when any part of the swimmer’s body touches the wall. If a timer did not start their watch at the start of the event, they should raise their hand and notify the head timer/assistant head timer. Timers are not responsible for determination of legal strokes; this is the responsibility of the stroke and turn officials. Three timers are assigned to a lane; one timer will be responsible to write down each recorded time. The middle of the three times is the official time and should be circled. If there is a double (two timers having the exact same time), or even a triple (all three timers having the exact same time), that “double” or “triple” time is the official time. Experience is required to time an A Meet. No experience is necessary to time a B Meet.
Timer will earn one volunteer obligation.
Scorer
The scorer helps the automation manager to enter official times into the scoring system. One scorer will read the times to be entered to automation and one scorer will double check the times after submission. They work closely with the runner, meet rep and automation to guarantee accurate time entries.
Scorer will earn one volunteer obligation.
Results Poster
This person is responsible for posting the meet results on the outside wall of the bathhouse between the water fountain and the women’s locker room entrance. Automation will continually print event results as the meet progresses. This poster will take these printouts and post them in the appropriate location.

Clerk of Course
Clerk of Course are responsible to report ½ hour before the start of the meet. Each Damascus swimmer must report to the Clerk of Course before their event. The Clerk of Course will check-off each Damascus swimmer on the program and inform them which lane they are scheduled to swim. For A meets, contact the Assistant Coach when a swimmer has not reported to the clerk of course. The Assistant Coach will locate the swimmer. For B meets, 3 parents will work as the Clerk of Course. The Assistant Coaches will bring the younger swimmers for check-in. Since there are multiple heats for each event, the swimmers will be seated by heat on benches next to the Clerk of Course. One parent will bring a group of swimmers to sit in the chairs at the starting end of the pool while the other parent will remain and check-in the swimmers.
The clerk of course will earn one volunteer obligation.
Ribbons
Responsible for placing the labels from the swimming event on the appropriate ribbon. Once labeled, volunteers will file finished ribbons into provided boxes and prepare for pick up (B meet) or hand off to head coach (A meet). Ribbon workers are required to report at the start of the meet.
Ribbon workers will earn one volunteer obligation.
Runner
Responsible for collecting all time/relay cards from the lane timers after the completion of each event. Lane timer sheets should be placed in chronological order with lane 1 sheet on top, down to lane 6 on the bottom. The runner should verify that the official time is circled on each lane timer sheet. The runner should bring the lane timer sheets/relay cards to the scorer located in the pavilion.
Runner will earn one volunteer obligation.
Meet Set-up
Responsible for setting up home meets. Duties include but are not limited to the following: set up team tents, hang banners, set up chairs, set up ropes, remove diving board, hang backstroke flags, set up clerk of course area, raise American flag, etc.
Set-up workers earn one-half a volunteer obligation.
Meet Take Down
Responsible for breaking down the home meets. Duties include but are not limited to the following: taking down and storing tents, return chairs to proper locations, take down barrier ropes, set up diving board, remove backstroke flags, etc.
Take down workers earn one-half a volunteer obligation.
Parking
Responsible for directing cars to parking spaces at both A and B home meets. Drivers should be directed to open parking spaces before directing drivers to the grass lot behind the basketball court. The lower grass field will need to be used during some B meets, relay carnival, and divisionals. Drivers of large vehicles should be encouraged to park on the grass on the other side of the curb on the hill. Drivers should not park above the fire hydrant on the upper hill by the townhouses. Make sure drivers leave space for emergency vehicles.
Parking workers will earn one-half a volunteer obligation.
Meet Snack Bar Worker
Snack Bar workers are responsible for helping set up, sell, and clean up the snack bar at home meets. They work closely with the Snack Bar manager and staff to keep the lines moving. Snack bar workers will also prepare, set up and clean up the refreshments for officials/volunteers at the meet’s break.
Meet Snack Bar Worker meets one volunteer obligation.
Grill Helper
Responsible for helping set up the grill area, cooking the snack bar grilled food, and clean-up after the cooking is complete. This volunteer will work closely with the Grill Coordinator to ensure the food is properly prepared and packaged for sale at the snack bar.
Grill helper will earn one volunteer obligation.
Team Tent Transport
This volunteer will be responsible for picking up 2 team tents from the pool before away A meets, transporting them to the away pool, entering with the team to set up the tents in our designated team area, properly putting the tents away at the conclusion of the meet, and returning the tents to Damascus pool. The 2 away tents should be picked up anytime on Friday and returned by Monday after the meet. This requires a pickup truck or SUV. Tents are 6 ft in length when packed for transport.
Tent transport will earn one volunteer obligation.
Team Party Food Helpers
These volunteers assist the party coordinator with our pasta dinner, pancake breakfast and ice cream social. These slots do not occur during a meet but are considered towards your meet obligation requirements. Tasks include but are not limited to arriving before the party starts to set up tables, organizing food donations as they arrive, preparing plates and utensils, and cleaning up after the party.
Food Helpers will meet one-half a volunteer obligation.
NOTE!!!
“Daily Snack Bar” positions are not during a meet, but during the regular daily snack bar hours of operation for pool members. This position has its own separate sign-up and schedule. The Meet Snack Bar worker is a meet obligation position and happens during home meets.
OTHER TEAM VOLUNTEER POSITIONS
These positions are either part of or assigned by the board.
Snack Bar Manager
This volunteer is responsible for all snack bar management and coordination. Responsibilities include choosing snack and food menus for daily snack bar and meet sales, shopping and delivering all supplies, liaison with the county regulations, food service certifications, safety training and bank deposits.
The snack bar manager position fills all meet obligations for the family.
Beverage Manager
Responsible for timely procurement, delivery, and stocking of beverages per Snack Bar Manager requests.
Beverage Manager position fills all meet obligations for the family.
Announcer and DJ
These positions work together to present announcements, communications, and music during all home meets.
These positions fill all meet obligations for the family.
Ribbon Coordinator
Responsible for ordering, preparing, and delivering all team ribbons and medals. Necessary ribbons are delivered to the B meet and handed to the ribbon worker for the evening. After the meet, this volunteer picks up the ribbons and organizes them for proper distribution at practices. This volunteer will also make sure the team ribbon box is kept organized and available during practices.
The Ribbon Coordinator position will fulfill the obligations for one swimmer for the season.
Grill Coordinator
Responsible for coordinating the grill activities for the swim meets. This includes ordering the food (cheeseburgers, hot dogs, hamburgers, bread, ketchup, mustard, etc), setting up the grill area, and cleaning up afterwards. The grill coordinator is also responsible for ensuring enough inventory is available for the upcoming meets.
Grill Coordinator fulfills all family meet obligations.
Automation
The Automation position is responsible for all meet data entry and management of the timing software. This person will enter all times directly into the system during the meet, prepare labels for ribbons and print the results sheets for posting.
The Automation volunteer position fills all family meet obligations.
A Rep/B Rep
These positions are vital to the organization and proper running of a team home meet. They are the direct contact to coordinate schedules and info with the opposing team, manage timers and officials, represent our team through MCSL and a wide variety of other necessary tasks.
A Rep/B Rep fulfills all family meet obligations.
Volunteer Coordinator
This position will manage all volunteer recruitment, signups, obligation tracking and communications.
Volunteer Coordinator will fulfill all family meet obligations.
Party Coordinator
The party coordinator is responsible for planning and implementing team parties. Responsibilities include shopping for supplies, preparing a sign up for food donations, set up, management, and take down of each party.
The party coordinator position fulfills one obligation per party planned.

OPENING SNACK BAR
- Sign-in and count cash bank- record starting balance in Snack Bar Money Log. Any discrepancies should be recorded in the discrepancy log.
- Open and enjoy your day
- NO ONE UNDER 18 CAN RUN THE SNACK BAR OR HANDLE MONEY! NO EXCEPTIONS!
- No wet children in the snack bar ***Floor is very slippery when wet***
- Adult swim is very busy…be ready
- IF you wish to stay open beyond your time, please feel free.
- LONGER TIME = MORE MONEY!
We operate on an honor system- YOU MUST PAY FOR WHAT YOU EAT OR DRINK
CLOSING SNACK BAR
- Re-Stock all refrigerators with drinks and all chips and candy. Be sure all freezers are & refrigerators are closed and seals are tight.
- Store candy under counter- all chocolate stays in freezer.
- Wipe counters and sweep floors.
- Do not throw away plastic containers, store under counter.
- Empty trash & recyclables, put in proper dumpster/receptacles in parking lot.
- Refer to 3-ring binder within snack bar for cash deposit instructions.
- Lock all windows and doors. If you have a problem locking up, get a lifeguard to help you.
- Turn off all lights and fan.
