Meet Sign Up and Opt Out Instructions

 

Meet Types
  • A Meets are held Saturday mornings and generally swum by the fastest swimmers in each age group. You need to opt OUT of A meets.
  • B Meets are held Wednesday evenings and all swimmers are eligible to swim. These are the meets where swimmers can post times to become eligible for the A meet and demonstrate skills learned in practice. You need to sign UP for B meets.
 
Meet sign up and opt out can be done at any time on the Meets & Events page and is ongoing throughout the season.
 
 
A MEETS
For A meets, it is required to opt OUT of the meet by Tuesday at 5 pm of that week. If you do not opt your swimmer out, it is assumed that they are available to swim in the meet. 
 
Opt OUT Procedure
 
For each swimmer that is unavailable for the meet:
  1. Select the Meets & Events tab or go to the list of events on the home page;
  2. Click the Attend/Decline button for the meet. This will bring up a list of all swimmers registered on your account;
  3. Click on the swimmer's name in the Member Name column;
  4. Change the drop-down box labeled "Declaration" to reflect "No, thanks, (swimmer first name) will NOT attend this event";
  5. Click on the "Save Changes" button.
 
Why Is This Important?
 
Swim meet rosters must be submitted by the coaching staff to the meet organizers in advance before each meet. Coaches are permitted to change only very few swimmers after the deadline, so it is extremely important that swimmers let the coach know ahead of time if they will be unavailable for any meet. If a swimmer is scheduled to swim and does not show up, this is called a “scratch” and the lane remains empty for every event for which the absent swimmer was scheduled. This causes the team to lose points and takes away another swimmer’s opportunity to have swum in the meet.
 
 
B MEETS
For B meets, it is required to sign UP for the meet after the A meet roster posts and by Monday at 9 pm before the Wednesday meet. If you do not sign your swimmer up, it is assumed they will not be swimming.
 
 
Sign UP Procedure
 
For each swimmer that will be swimming in the meet:
  1. Select the Meets & Events tab or go to the list of events on the home page;
  2. Click the Attend/Decline button for the meet. This will bring up a list of all swimmers registered on your account;
  3. Click on the swimmer's name in the Member Name column;
  4. Change the drop-down box labeled "Declaration" to reflect "Yes, please sign (swimmer first name) up for this event";
  5. After you have committed to attend the meet, you will be able to check the eligible strokes the swimmer would like to swim at the meet;
  6. Click on the "Save Changes" button.
 
Why Is This Important?
 
It is very hard to add swimmers to the roster after the deadline because all teams participating in the meet begin preparations immediately after the deadline. The meet program is determined by the total number of swimmers and the variations by age and event that they are swimming, and any single change creates a domino effect that can complicate the organization of the entire meet. This applies to both home and away meets.
 
B Meet Eligibility

 

  • A swimmer may swim up to 3 individual strokes and the IM. 
  • A swimmer must be “legal” in the stroke they sign up for. If unsure, please ask the coach prior to signing up.
  • If a swimmer swims in the A meet the previous Saturday, they are only eligible to swim those strokes they did not swim on Saturday in the B meet the following Wednesday (i.e., if the swimmer swims freestyle in the previous A meet, they may not sign up for freestyle in the following B meet on Wednesday). The exception is if the swimmer is asked to “swim up” to an older age group on Saturday morning; then, the swimmer may compete on Wednesday in that same stroke in their own age group.
  • If a swimmer swims 3 strokes at the A meet, they may only swim as an exhibition swimmer at the B meet and will not be eligible for a ribbon. Exhibition swims are at the coach's discretion.
