A. Swim Meet Volunteer Jobs
Officials
- Starter MUST BE TRAINED BY ISL. Morning & Afternoon shifts usually covered by the same person
- Judge MUST BE TRAINED BY ISL. This requires ISL training. Morning & Afternoon shits. Use Walkie Talkie to inform head judge of DQs from your 3 lanes.
Head Table
- Announcer Announces meet events and announcements during the meet.
- Runner - This is high energy teamwork based job which is vital to the flow of the meet. Deliver swimmers' cards for each race from swimmers to timers then upon heat end to head table. We schedule 3 runners covering to cover 3 areas during 25 yard events.
- Lane Slip Sorter Once all heats for events are complete sort swimmers cards by times. Determine all heat winners, Places & DQ's for each event.
- Score Keeper Helper Assist Statistician. Note DQ's (swimmer, DQ code and description) on DQ pad to be given to Head Coach. Hand write Heat winner & team record ribbons.
On Deck
- Timers - 2 timers & 1 timer/writer in each lane will time racers in their lane and record times on swimmers card. Job requires you to be on your feet. Refrain from using cellphones during shift.
- Ready Bench Get the swimmers sorted by event, heat, lane and get them their cards then deliver them to chairs behind blocks to wait for race. Keep swimmers in their event/heat and prepared to swim and keep the entire meet flowing.
- Floater - This is fill in where needed position. You must check in and provide a cell phone contact so we can contact you for assignments. Typically extra volunteers assist with the snack bar.
Snack Bar Team
- Ice Buyer Go to Smart & Final and buy ice for snack bar. Contact Snack Bar Coordinator for quantity of ice needed.1/2 credit job.
- Pizza Buyer Go to Costco to purchase & pickup pizza to sell at the snack bar. Plan with Snack Bar Coordinator for pick up time and pizza quantity. 1/2 credit job.
- Snack Bar Buyer Purchase snack bar supplies & deliver to home meets by 7am. Contact Snack Bar Coordinator prior to the meet for the shopping list.
- Snack Bar Sell and prepare food items throughout meet. Help maintain a clean clubhouse and snack bar. 1st shift will be responsible for setup and food prep. 3rd shift must stay until snack bar is completely torn down and the clubhouse is clean.
- BBQ Grill Master Grill master will start BBQ's and prep items for grilling. Supervise all Grillers during snack bar hours and oversee shut down of grills. Ensure the area is clean and ready for the next neighbor event.
- BBQ Griller Works BBQ's grilling hamburgers and hotdogs for snack bar sale. Keep grill area, grills and utensils clean.
- BBQ Grill assistant Assists BBQ grillers, prep vegetables, runner. Clean grilling utensils, grills, and cement tables. Ensure the area is clean and ready for the next neighbor event.
Setup & Tear Down
- Set Up/Tear Down Supervisor Supervise set up and tear down. Lead group to set uo, organize, tear down and clean up around the pool area. Check-in with Snack Bar Coordinator if additional help is needed. Tear Down- ensure the pool, grass area, and clubhouse is clean and ready for the next neighbor event.
- Setup Requires strong abled bodies. Set up tents, ready bench, starting blocks, lane lines, perimeter flags, head table, starter box, etc. Assist with Snack Bar set up by bringing in equipment from storage and into the club house, fill coolers with ice, etc. Check-in with Set Up and Snack Bar Supervisors for additional duties.
- Tear Down Requires strong abled bodies. At the end of the meet, tear down all equipment-tables, tents, blocks, lane lines, etc. Store all Snack Bar equipment into storage room. See Tear Down and Snack Bar Supervisors for further instructions.
- Clean Up Periodically empty out and replace bags for all Trash and Recycle bins on deck and in bathrooms. By the end of the swim meet, ensure that the clubhouse kitchen, bbq area and grills, lounge chairs and all bathrooms are cleaned and in good standing.
B. Supporting Directors
These positions are larger jobs which typically covers volunteer obligations due to the required time commitment and expertise required to be responsible for these areas.
- Statistician: Keep track of all the times and prints ribbon stickers.
- Ribbon Writer: Assign stickers to appropriate ribbons, hand write heat winners.
- Sponsorships: In charge of soliciting team sponsorships.
- Party Coordinator – Plan & coordinate events with Board approvals. Events such as: Age group parties, Wild Rivers, Beach Day.
- Picture Day Coordinator- Sets up photographer for team and individual portraits on Picture Day.
- Apparel / Spirit Wear Lead – Responsible for creating or obtaining designs, board approvals and ordering. Works with vendor(s), orders swim suits, caps, coaches shirts and spirit wear and distributes to team. Leads sales & distribution.
- Apparel Assistant: Assist with distribution & sales at various events.
C. Board of Directors
- President: Runs the Board meetings and handles all the day-to-day details of the swim season. Keeps the members informed and is generally the go-to person in the event of any problems. Attends ISL meetings.
- Vice-President: Runs the meetings in the event the President is not there. Would assume all the duties of the President if the President was unable to do so. Historically has been the liaison with the Association, in charge of the Fourth of July Raffle or Snack Bar although this is not specified in the by-laws.
- Treasurer: Keeps the books and expense records, writes the checks, prepares reports for the Board meetings.
- Secretary: Keeps the minutes for the meetings and will provide them for the Board. Takes care of any letters or correspondence that may be requested of them. Historically has been in charge of Social Activities.
- Registrar/Membership: In charge of all aspects of registration. Keeps track of swimmers and their eligibility.
- Director-at-Large: Will attend meetings of the Red Hots Board as called and may (but are not required to) fulfill other duties such as, but not limited to, Meet Manager, Events, Dinners or Snack Bar Coordinator.
- ISL / Championship Representative: attends ISL meetings, can vote if President is not in attendance. Will represent the team at all Championship planning meetings and acts as a liaison to the Red Hots Board regarding such meetings.
- Snack Bar Coordinator: Supervises all aspects of the snack bar.
- Meet Manager (Board Member): Coordinates logistics and head table for Swim Meets. Responsible for supplies and just in time training for volunteers.
- Volunteer Coordinator: Volunteer checking, assignment of floaters and assist with job setup for events on the web site.
