Volunteers
We can’t run a successful swim meet without our volunteers! It’s an all hands on deck approach, so everyone can enjoy the morning. Volunteers are needed for serving in administrative roles, event coordinating, and running swim meets. Volunteering is a great way to get to know other swim team families and to create a fun, supportive, and lasting experience for each swimmer.
Most volunteer positions do not require any experience. Any training needed is provided by the league. Team Managers coordinate the volunteer signup process on the website for each event. See a description of each volunteer position below and please talk to a Team Manager if you have any questions.
Clerk of Course: Coordinates swimmer check-in prior to the meet starting. Writes event (E), heat (H), and lane (L) numbers on swimmers hands/arms like this. Clerks should be ready to check swimmers in at least 15 minutes before warm ups begin.
Concessions: Sell refreshments and food at home meets. First shift will help with set up and last shift will help with clean up.
Donuts & Coffee: Responsible for picking up donuts and coffee prior to arriving to a home meet. Must be delivered by 7:00am.
Deck Captain: Also known as Chaos Coordinators, organize swimmers on deck by event, heat, and lane with an emphasis on the younger swimmers.
Head Timer: The head timer will time each event in a back-up capacity; if a timer doesn’t start their watch on time, the head timer would provide a watch that was started on time to that timer. All timers should arrive at least 30 minutes before the start of the meet to attend the timers’ brief.
Timer: Times swimmers in their assigned lane. For dual meets, there should be one home team and one visiting team timer per lane. All timers should arrive at least 30 minutes before the start of the meet to attend the timers’ brief. Timers have the best seat in the house!
Heat Winner: Distributes a heat winner ribbon to the swimmer who touches the wall first for each heat.
Runner: After each heat, collect the time sheets from the timers and deliver them to the data person. Wear comfortable shoes!
Referee: The home team usually supplies the Referee for every dual meet. The Referee has authority over all officials and assigns and instructs them before each meet as well as resolves all matters relating to the conduct of the meet. Training is required and held in May; must have at least one season of experience as a Stroke & Turn Official.
Starter: The visiting team usually supplies the Starter for every dual meet. The Starter is responsible for starting each heat, making announcements, and recording the order of finishes for each heat. Training is required and held in May; must have at least one season of experience as a Stroke & Turn Official.
Stroke & Turn Officials: Officials ensure the competition is fair and legal by observing swimmers for compliance with USA Swimming and CNSL rules. Each team needs 4 officials per meet. Training is required and held in May.
Tech Support/Data Entry: During swim meets, responsible for imputing times for each event and running final reports (place and score). Training is provided by CA.
