Season Long Volunteer Job Descriptions
Computer Operator: The Computer Operator prepares the computer system for all meets, runs reports, prints timecard labels and ribbon labels, sets up and merges meet selection before meets start and prints meet sheets. They also enter data into the computer during the swim meets such as swimmer times and disqualifications (DQs).
Concessions Coordinator: The Concessions Coordinator organizes shopping, manages concessions assistants and manages concessions during meets. You will perform this role with Concession Assistants so you can see your kids swim during their events.
Donuts Coordinator: The Donuts Coordinator places advance orders, picks up donuts, and distributes donuts along with donuts helper at most Friday morning practices.
Donuts Helper: Works with Friday Donuts Lead to distributes donuts at most Friday morning practices.
End of Season Banquet Coordinator: Plans and manages team banquet with support from helpers.
End of Season Banquet – Helpers: Work with the Banquet Coordinator to plan, set up, and clean up team banquet. Must arrive early and stay until the end of the banquet.
End of Season Banquet – Slide Show: Collects photos throughout the season and creates the slide show shown at the team banquet.
End of Season Banquet – Trophy Coordinator: Orders, picks up, and sets up end-of-season trophies. Must stay until the end of the banquet to help with trophies distribution.
Little Flipper Olympics Coordinator: Works with the Swim Board and Head Coaches to plan and manage Little Flipper Olympics with support from helpers.
Little Flipper Olympics Helper: Works with the Little Flipper Olympics Coordinator to plan, set up, and clean up Little Flipper Olympics.
Pancake Breakfast Coordinator: Plans and manages pancake breakfast with support from helpers.
Pancake Breakfast Helper: Works with the Pancake Breakfast Coordinator to cook and serve pancake breakfast.
Picture Day Helper: Collects order forms and money, assists photographer, and organizes/distributes photos when they arrive.
Picture Day Photographer: Takes individual and team pictures, collects money, and orders photos for team.
Popsicle Coordinators: For only afternoon practices while school is in session, provide popsicles to swimmers after each age group/little flipper practice. Multiple sessions available.
Ribbons Coordinator: Places ribbons in swimmer folders after each meet.
Root Beer Float Coordinator: Plans and manages the Root Beer Float Social with support from helpers.
Root Beer Float Helper: Sets up, serves floats, and cleans up at the end of the event.
Social Events Chair: Works with the Swim Board and Volunteer Coordinator to provide Event Leads with event-specific information (e.g., how-to tips, budget, helper contact information, etc.) and ensure adequate support at social events.
Social Media Coordinator: Works with Swim Board to manage team Facebook and Instagram channels, collect photos from families.
Sweet Treat Night Coordinator: Plans and manages the social with support from helpers.
Sweet Treat Night Helper: Sets up, serves treats, and cleans up at the end of the event.
Swimmer Folder Coordinator: Organizes swimmer folders with the updated roster at the start of the season. Updates as needed throughout the season.
Swimsuit and Spiritwear Coordinator: Works with Swim Board to coordinate orders and distributes team suits, caps, t-shirts, and spiritwear.
Swimsuit and Spiritwear Helper: Assists Coordinator with fittings and orders; distributes suits, caps, t-shirts, and spiritwear.
Volunteer Coordinator: Works with the Swim Board to ensure that all volunteer slots are fulfilled for all Meets. Training will be provided.
Website Coordinator: Updates and maintains team website throughout the season.
