Meet Volunteer Job Descriptions

 

Announcer: Announces relevant meet news (ie., warm-ups beginning, national anthem, score updates, concessions, etc.) to ensure that the meet runs according to schedule.


Assistant Head Timer: This position is for away meets and backs up the home team Head Timer.  Please reference the Head Timer position description. 


Card Collector/Runner: Collect completed event/heat cards from all lane timers and bring them to the meet table. For 25 Meters/Yards events, collect swimmer cards and distribute to timers before each heat. 


Clerk of Course: Line up swimmers in lane order according to the meet sheet and escort all swimmers to their assigned lanes.


Clerk of Course Helper: This position is for away meets and assists the home team with Clerk of Course duties.


Concessions Assistant: Works with the Concessions Coordinator to manage the concession stand and sell food at the meet. Must arrive early to assist the Coordinator with set up before the meet and clean up at the end.


Concessions Assistant – Burritos: Works with the Concessions Coordinator to order, purchase, and pick up burritos for Saturday home meets. 


Concession Assistant – Donuts: Works with the Concessions Coordinator to order, purchase, and pick up ordered donuts for Saturday home meets. 


Concession Assistant – Pizzas: Works with the Concessions Coordinator to order, purchase, and pick up ordered pizzas from Costco for Wednesday home meets. 


Concession Assistant – Grill Master:  Works with the Concessions Coordinator to prep the grill and grill hot dogs and burgers for sale at Wednesday home meets.


Deck Set Up – Home Meets: Set up the pool and deck area. This includes arranging pool deck furniture and tents, hanging lane numbers, getting clerk of course ready, roping off the Officials area, placing parking cones, etc. For Saturday A meets, setup begins on Friday night approximately 30 minutes before pool closing and early Saturday morning. For Wednesday B meets, setup begins at 4 pm. 


Deck Break Down – Home Meets: Stay after the swim meet is over and put everything back. The pool must be ready for standard operation. Saturday meets end around 11 am and Wednesday meets end between 8 pm and 9 pm.


Floater: Available for miscellaneous assignments during home meets. See Volunteer Coordinator for specific task. No experience required.


Head Timer: Distributes stopwatches, gives a scripted briefing before the meet on the correct procedure for timing, and assigns timers to lanes. Starts a pair of extra watches in case a timer misses the start or has a malfunctioning watch. The home team is required to provide one Head Timer. The away team is required to provide one Assistant Head Timer.


Heat Winner Ribbon Distributor: Distributes heat winner ribbons to heat winners. This position is specific to developmental B meets. 


Meet Table: Manage team ribbons, help with swimmer cards & DQ slips. Volunteers sit at a table under an umbrella or tent.


Swimmer Card Distributor: Distributes cards to our team swimmers. 


Timer: Must arrive at least 30 minutes before the start of the meet (7:30 am on Saturdays and 5:30 pm on Wednesdays) to participate in a timer briefing and get a lane assignment. Captures times for each lane swimmer and records results. Saturday morning meets have one shift, so volunteers must stay and time the entire meet. There are two timer slots for Wednesday evening B meets; the first shift times the first two strokes, and the second timing shift times for the third stroke until the end of the meet.


 

Meet Volunteer Jobs that Require CSL Certification

 

Referee: Makes sure that the league rules are followed in running the meet. The home team provides one Referee for the meet. 


Starter: Starts each heat after making sure that swimmers and timers are ready. The away team provides one Starter per meet.


Stroke & Turn Official: Verifies that the swimmers are swimming legal strokes, including turns and relay starts. Each team is required to provide at least two Stroke & Turn Officials per meet.
