Team SURF - Service Descriptions
See below for specific task decriptions. Running meets is always the top priority.
- ~60 Timers shifts are needed in total at all meets; every family is expected to do at least one. More are encouraged.
- ~40 various shifts support concessions at our three home meets, working concessions is an alternative to timing.
- ~20 shifts support key meet operations: runner, recorder, awards, etc.
- Signing up for multiple of any of the above jobs (or below chair positions) can be requested with early priority.
- A/B Finals: All families must sign up for at least one job at one of these meets.
- 35 Marshal shifts are needed at dual meets and B finals from new and younger swimmer families.
- 50-60 meet day breakfast shifts are available. These short shifts are popular on dual meet mornings.
- 20 social event shifts assist with chaperone, spirit, and/or meal activities.
SURF Committee Chairs, Special Volunteer Positions, and SURF Jobs
There are a number of areas where we need someone to coordinate an activity (not performing the task necessarily) and receive service hour credit. If you are interested in finding out more, helping in general, or a specific position, please contact any member of the swim board to get signed up.
SURF Chair Requirements
Banquet Chair (12 points): Arrange this event with SURF swim board, including venue selection, decorations, menu, and social activity choices within SURF budget. Draft any parent assistance needed. Reports to the Social Board Seat.
Breakfast Chair: (12 points) Plans menus; stocks inventory; coordinates workers, oversees setup/cleanup. The chair is not required to work breakfast mornings, as breakfast workers should cover all tasks. Reports to the Social Board Seat.
Concessions Chair: (12 points) Plan menus, coordinate volunteers during meets, shop and/or prepare lists for shoppers, and manages/ counts cash and receipts. Two of the three home meets are back to back for easier planning. Vital to team finances and flexibility to run as chair chooses within budget, not required to work during meets other than hectic periods. Reports to the Internal Competetive Board Seat.
Fundraising Chair (12 points): Obtains sponsorships from local companies for SURF meets and Finals. SURF has packages already developed to be presented, lists of prior sponsors to work from. and target fundraising budgets. Reports to the Treasurer Board Seat.
Head Timer Chair: (12 points) Gets to six dual home & away meets 45 minutes early, coordinates timers with any training including timers from opposing team at home meets, prepares watches, handheld timers & clipboard with timer sheets at home meets, addresses any timing problems at meet with officials and timers, serves as backup timer with spare watch to give timers brief breaks as required. Reports to the Internal Competitive Board Seat.
Marshaling Chair (12 points): Coordinates the marshal volunteers at meets including any brief training. Gets and sets up marshaling supplies at home meets; and, takes the bin to away meets, including team sun tents, if needed (can get marshals for meets to assist). The chair only does marshaling to help start at meet, to provide breaks, and during hectic periods. Reports to the Internal Competitive Board Seat.
Pump Up Dinner Chair (6 points): Coordinate event with food ordering, parent workers, set up, and cleanup. Organize spirit activities as planned. Reports to the Social Board Seat.
Ribbons Chair (6 points): Organizes and sorts the ribbons after all home and away meets. Ensures we have enough ribbon supplies. Gather up unclaimed ribbons after meet in order to arrange delivery to opposing club and distribution to SURF swimmers at practices. Draft any parent assistance needed. Reports to the Internal Competitive Board Seat.
Spiritwear Chair (12 points): Coordinate with vendor the design and sale of spirit wear for the season. The spirit wear store will be accessed through the swim team website. Setup availability at the season start with samples of clothing, sizing assistance, and communicating item sale information. Reports to the Social Board Seat.
12 & Under Hangout Chair (12 points): Arrange this event with SURF swim board, including decorations, menu, and social activity choices within SURF budget. Draft any parent assistance needed. Reports to the Social Board Seat.
13 & Over Camp Out Chair (6 points): Arrange this event with SURF swim board, including decorations, menu, and social activity choices within SURF budget. Draft any parent assistance needed. Reports to the Social Board Seat.
Volunteers Chair (6 points): Reviews volunteer needs to ensure that all positions are filled. Reaches out to team families to request help when necessary. Ensures that all families who have not opted-out are meeting their required service obligations. Reports to the Internal Competitive Board Seat.
Special Volunteer Position Requirements
Boogieboards Liason (6 points): The Boogieboard swimmers are the future of SURF! The liaison plans the end of season Boogieboard event; the liaison may be either (or both!) a Boogieboard and/or SURF parent. Draft any parent assistance needed. Reports to the Internal Competitive Board Seat.
Computers (12 points): Run computer for meet; set up meet and entry files for SURF; load entry files from opposing team; seed meet and operate system to get accurate results & score. Print heat sheets for coaches, marshals and officials. Export entry file for away meets and send to opposing team. Operation tech position is ideal to learn this job. Interface with opposing clubs to send/receive results and post to TeamUnify website. Reports to the Internal Competitive Board Seat.
Computers Assistant (12 points): Assist in setting up timing system hardware, scoreboard, wireless handheld timers, starter strobe/buzzer unit with all cables/interfaced to laptop & printer. Assist in Computer Meet Operations - easy with some on the job training. Reports to Computers.
Meet Announcer (6 points): Welcomes teams to the meet, identifies swimming during the races via heat sheets, provides club service announcements, concessions promotions, and any sponsor shout outs. This is an ongoing commitment for three home meets. Reports to the Meet Manager.
Meet Manager (12 points): Responsible for execution of all home meets. Directs set up tables, tents, and ensures the event runs smoothly. Acts as a liaison between all meet operations, as well as with club management. Reports to the Internal Competitive Board Seat.
NSSL Representative I (12 points): Attend all regulgarly scheduled NSSL meetings, receive all NSSL communications, and act as the liason for the BHSAT Swim Team. Reports to the External Competitive Board Seat.
NSSL Representative II (12 points): Attend all regulgarly scheduled NSSL meetings, receive all NSSL communications, and act as the liason for the BHSAT Swim Team. Reports to the External Competitive Board Seat.
SURF Jobs Descriptions
Please note: Multiple parents on all task allows for breaks to watch your swimmer's events.
Breakfast Attendants (3 points): Dual-Meet Day Mornings only. Help set up, cook, serve, and cleanup breakfast after each competitive team age group practice on all six dual meet mornings, with two workers at all times, and four workers during busy overlap period. Reports to the Breakfast Chair.
**Concessions (3 points): Home meets only, numerous shift positions. Prep of food items & sales area, including grilling hot dogs, counter sales, cleanup; and ice pickup/deliver prior to meet. Reports to the Concessions chair.
Recorder (3 points): One Recorder at home dual meets. Assists meet Official in determining order of finish for final event heats only and gives to runner. Concerns regarding finish order or DQ's relayed to coaches immediately. Holds and starts backup watch as needed at home meets. Assist Runner in posting heat sheets prior to meet. Has stopwatch to backup timer stopwatches. Reports to Computers.
Runner (3 points): One Runner at home dual meets. Collects time sheets after each event from timers and finish sheets from Recorder. Takes sheets to computer room. Post swimmer lane and heat sheets for each dual meet team 45 minutes prior to meet and removes after meet. Post results sheets during meet, removes after meet. Reports to Meet Manager.
Marshals (3 points): Four per dual meets, both home & away. Marshals use heat sheets to organize 8u and 9-10 swimmers for their upcoming event heats near the pool, then lead them to the starting blocks. Two marshals cover 8u events and another two marshal 9-10 events. All marshals solicit team and help to locate any missing swimmers. Great job for new and younger swimmer families. Reports to Marshalling Chair.
Social Events Volunteer (3 points): Help chaperone, serve food items, and coordinate activities at 12 & under hang out, 13 & up camp out (which includes overnight campout chaperones), Pasta Pump-up dinner, and other social events, as designated by event chairs. Reports to named event chair.
**Timers (3 points): Six timers from each team at all dual meets, ideally with an additional one backup. One or two at some mini-meets and finals. Time all swimmers in lanes with stopwatch, stand over lane at race finish for accurate results, and verify correct swimmers. All families are expected to time at least once during each season, as it is a critical task. Reports to Head Timer Chair.
