SENT  06/29/2025 Subject: PHSC Team Update Week #5
How are we at Week #5 ALREADY!?  This season has been so AMAZING - parents have been so supportive and that means the world to us!!

BUT…..We still have work to do….both in and out of the water.  We are so grateful for your support of the coaches and your swimmers this summer - it’s such a FUN but QUICK season!

This is a SHORT week for our swimmers - Practice will be Monday- Thursday – NO PRACTICE on Friday for the holiday.  ONE Meet on Tuesday at Woodhaven Swim Club (WHSC).  But with the short week, the Coaches have a lot of work to get done before the holiday weekend with our dual meet entries and CHAMPS entries, too.  PLEASE DECLARE your swimmers for 2 EVENTS at both meets so we can get those entries complete.

Divers have 2 meets this week: Monday at BOSC, a make up meet and CHAMPS at BOSC on Wednesday - they would LOVE to see familiar faces cheering them on!

It’s hard to believe  this week we have our LAST swim meet, before champs. Our schedule for the week is below.

  • DECLARE for WHSC Meet 
  • DECLARE for CHAMPS - PICK 2 EVENTS for your swimmer
  • RELAYS at Champs will be LIMITED - to save on time and to allow swimmers to focus on their individual events, too
  • Entries for Champs are DUE TO SSA BY MONDAY 6/30;  the sooner you can declare your swimmer, the more time we have to get entries completed in time!
  • Warm up assignments for all three sessions will go out Wednesday 7/5. 
  • The heat sheets for Mon/Tues will be sent out by Sunday morning 7/6 for review.

Top Times for our Big Teams in SSA are attached - please check for your swimmers and let us know if you have any questions, concerns or corrections  (Our league is divided into 2 divisions - small and big teams).  You can also use this to help your swimmer decide what events they want to swim at Championships or check their current times to make goal times for them to achieve by the end of the season.

CHAMPS Meet Information is also attached for your reference.

VOLUNTEERS : We are so thankful for our volunteers, we can’t run our season or our events/meets without you.  We still have some families who have NOT met their volunteer requirement: when you registered you acknowledged your need to support our team in this capacity. We have open spots still in our last 2 meets as well as champs to sign up for. Meeting your requirement will also help you to avoid financial penalty or a delay in signing up your swimmer(s) next season. Please reach out if you have any questions. Emails have been sent to families that have not yet met their requirements. THANK YOU for your support!!

We are so bummed the meet was cancelled tonight - we hope you all found something fun to do with your free night!

Reminder, NO practice Friday morning (tomorrow) so the coaches can work on the Champs Line up.

Swim A Thon Update:

We’re thrilled to share that our recent Swim-A-Thon raised just over $1,700! Your support made a big splash—every swimmer and donor helped drive this success.

To celebrate your hard work, we have prizes for participating familiesCane’s Chicken certificates (in your folders) and PHSC cups are ready for pickup. Just stop by the front desk, find your name on the clipboard, and grab your cup from the prize box.  One cup per famiy, please.

With funds raised, along with our Kona Ice fundraiser, we hope to add a storage shed for all of our team equipment and office needs. Our past fundraisers have already helped us replace our lane lines, equipment rolling cart, our announcer podium, a new speaker, laptop and printer. Our lane line reel was our most recent & exciting purchase.

Championships are UPON US!!  How did this season fly by?! 
Next week is our LAST week of normal practice!!

  • Each swimmer is allowed to swim only 2 events at Champs; we will try our best to put as many relays together as we can!
  • Please double check that your swimmer is registered and has the events they want to race; our coaches may make changes based on their chances to get an award!   Top 16 swimmers in each division will get awards
  • Coaches have until Monday June 30th at MIDNIGHT to change ANY entry!
  • NO changes can be made once the heat sheet is shared by the league on Saturday July 5th.
  • Relays will be announced/shared by the morning of your champs session.  If, for any reason, your swimmer CANNOT be on a relay, please let Angela know ASAP!!

Monday July 7th  we will have our 2nd Annual PEP RALLY at PHSC during morning practice times - details to come soon - plan to come with your PEP and PHSC Spirit!  We will meet in the parking lot to decorate our cars and hang at the pool while we "PUMP UP" our swimmers!  If you can’t join us, let us know and we will set aside some decorations.

Last week was AWESOME and so rewarding!!  Results were sent out last week so you can check out your swimmer’s times and standings in your TeamUnify account.   We have THREE more Swim Meets until Champs, it’s a QUICK season!

 

This week is a DOUBLE HEADER - Home meet Tuesday and AWAY meet on Thursday - see updates below for dates and times.

 

We had 2 great guest coaches from KEY YMCA and WTRC Sharks; we have 2 more coming from Coffman YMCA and Tidalwaves.  If you are interested in information about their teams, please reach out to Angela.

TOP TIMES for the league are attached; calculated after the 2nd meet in SSA.  We should get another one this week, after our meets.  Once I get the file, I will share it!

Parents: we need your help!!
We NEED your support with some unacceptable behaviors we have seen at practice and meets.  To support safety and a positive atmosphere, we’re asking swimmers & divers to follow these expectations while in the pool area and locker room:

  • Follow coach instructions at all times—no exceptions.
  • Respect the facility: No running, pushing, or horseplay on the deck. 
  • Be on time and ready to swim when practice starts.
  • Let’s keep our locker room safe and respectful—no hanging on equipment or rough play - this will not be tolerated and will result in immediate consequences.
  • Use appropriate language—no swearing or negative talk.
  • Encourage teammates, don’t criticize.

SENT  06/13/2025 Subject: PHSC Team Week #3 Update

WE ARE SO PROUD of our team - this was a LONG week with 2 swim meets, a dive meet and FIVE practices!  SHEW, we all deserve a restful weekend!

The coaches and I have been SO excited to see the sportsmanship, the comradery and the hard work our swimmers and divers are putting in!  It’s showing both IN the water and on the deck.  We are also THANKFUL for parents and your support!  This season is off to an AMAZING start! We are making CORE memories that will last a lifetime.

This isn’t as long as past emails - but please check out the dates below for upcoming events and times.  The last 2-3 weeks go by fast with deadlines approaching soon for Champs entries along with the rest of our swim meets, not to mention a couple of mornings off!

Thank you to all the JR Coaches who are working so hard to support our swimmers in and out of the water!  Please make sure you tell them when you see them helping our youngest swimmers!

Guest Coaches from Club Teams

Many families have reached out about winter swimming options; we will have 4 teams guest-coach at our PHSC practices from the following teams: Coffman YMCA, KEY (Kettering YMCA), WTRC Sharks & Tidal Waves (Kettering Rec).  Each coach will work with our swimmers at practice and will be available after for parent conversations.  

Encouraging Team Spirit & Good Sportsmanship

  • Cheer for Everyone! Swim meets are a great opportunity to learn new names and build friendships. Please encourage your swimmers to cheer for all teammates, not just their friends!
  • Stay Focused on the Meet: Swimmers should avoid playing on the playground or basketball court during the meet—let’s keep our focus on supporting one another!
  • Coach Feedback After Races: Swimmers are encouraged to talk to their coaches after each race to get valuable feedback and improve. (and get their Lollipop!)

Team Support & Meet Etiquette

  • Stay Until the Last Relay: Whenever possible, we ask all families to stay until the final relay events—we need everyone’s support to cheer on our remaining swimmers and help clean up our team area.
  • Sportsmanship in the Water: Swimmers should remain in the pool until the last swimmer in their heat finishes their race. We'll reinforce this during practice as well!
  • Relay Participation: Swimmers should stay with their relay teams until the race is complete.
  • Medley Relay Reporting: If your swimmer is in the medley relay, they should check in with coaches when butterfly races begin—this helps us ensure smooth transitions to those races!
  • DQ Slips Are Learning Opportunities: If your swimmer receives a DQ slip, please encourage them to talk with a coach about how to improve their mechanics. These moments are key for growth and skill development!

Hello!  I am Julie Armstrong, parent of Ellis (11-12s) and Mary (non swimming 10 yr old cheerleader).  I will be capturing photos throughout the season at meets and special events.  (I am tall with blond/gray/brown curly hair in case you are wondering who the lady is taking pictures of your kids!).  In order to share these photos, I have created a Google drive folder that everyone should be able to access and easily use to download or screen capture photos.  
 
To access photos:  Click on link below.  Even if you do not have a Google account, you should be able to access photos.  It would be helpful to have Google drive app on your phone, but if not the link will take you to an internet browser where you will access photos.  
 
After clicking on the link, you should see multiple labeled folders.  Click on a folder to access photos from that day.  
 
To download a photo:  Once you open photos, you will see three dots in upper right hand corner.  Click here to download.  
 
To add photos to share using app:  make sure you are in the correct event folder.  Click on the + in bottom right hand corner.  Select “upload file” then “photos and videos.”   Select the photos you wish to share.  
 
If you have photos you want to share and it is not working for you, you can send me photos at   [email protected] and I will add them.  Please also direct and questions you may have to this email.  
 
Please note:  Be respectful of the nature of photo sharing and use photos for personal use only.  A good rule of thumb is to never share photos on social media of kids that are not yours w/o permission of their parents.  We are hoping this can be an easy way to share the special moments of the season, but given that this is our first attempt at this, we will adjust as needed if there are issues.

PHSC Swim Team-Spirit Earrings - CRAFTING

Monday June 9th during practice (9:30-11:30), parents can meet under the shelter to paint earrings to wear during our swim meets.  Each pair will cost $3 (cash please); you are welcome to make more than one pair - and even make an extra for us to sell to parents who are not able to make it our practice time tomorrow.  THANK YOU Julie Armstrong for planning this event; we hope to have more of these soon!

PHSC Swim Team New Parent - Swim Meet Prep    

Anna Keirn, our New Parent Host will be offering a swim meet prep meeting during practice on Tuesday.  She will go over how to read the heat sheet, how to mark your swimmer, what to pack and what to expect for your first swim meet.  Join us under the shelter.

Swim Meets This Week:

  • Families will receive emails for each meet - you will need to click on the link in the email to be directed to the meet information page
    • From this page, you will see your swimmers names and will need to click on each swimmer to “DECLARE” them for the meet (directions are in the email for reference).
  • PLEASE DECLARE YES OR NO - you will have received  an email from Teamunify with details, if your swimmer is NOT DECLARED (yes or no) we will NOT enter them in the meet and will be unable to be added.
  • It takes about 5 hours to complete meet entries and create the Heat Sheets;  we appreciate your help in making this process as efficient as possible for the coaches and volunteers who put these meets together.
  • Parents & Swimmers can CHOOSE TWO EVENTS to swim at each meet.  
  • There will be meets where we may need to change your chosen strokes; coaches reserve the right to change any races entered based on team entries.  
  • It will be our goal to have every swimmer swim at LEAST 3 events each meet, combination of individual and relay events.
  • Coaches will enter swimmers in relays -- Relays will be posted by 4pm of the DAY OF THE MEET
  • Leave us a NOTE if your swimmer has a special request or has a schedule conflict.  (you can mention they will be late, can’t swim a stroke, or need to leave early, these notes help us A LOT!)

Reminders for your Swimmers during swim meets:

  • Please encourage your swimmers to cheer for their teammates, not just their friends! Swim meets are the best time to learn new names and make new friendships
  • PLEASE encourage them NOT to be on the playground or bball court!
  • Encourage your swimmers to talk to the coaches after each race they swim for feedback.

SENT  06/01/2025 Subject: PHSC Swim & Dive Team Update Week #1

HAPPY SUMMER 2024!

This week will be SO FUN –  to see everyone back on the pool deck for summer, hearing all the greetings and seeing all the reunions…It’s the BEST time of the year!

 

Swim Team and practices can we OVERWHELMING for many reasons: new to the team, new swimmer, absence from swimming since last summer, new friends, new coaches, new to learning strokes, conditioning and more.  There are a lot of NERVES during the first week for EVERYONE , even for the coaches!

 

Please be PATIENT with your swimmers and our coaching team as we work through our first full week of practice jitters. There may be instances we need to move swimmers around, please give us grace during this process as we evaluate swimmers for ability and safety.

 

We will be working on one stroke per day in addition to dives this week in preparation for our first swim meet next week.  

Weather looks interesting this week, we will host practice UNLESS there is significant LOW temps or thunder/lighting.  We will communicate if we cancel practice with an email and a post on our FB page; if you don’t hear from us, we have practice!

  • Volunteering - Each family is expected to volunteer for a number of work opportunities to help run the meets (which includes the SSA championships). For ALERTS to your PHONE please make sure BOTH adults on your account have an updated email AND phone number in your Team Unify account; you will need to see “VERIFIED” next to your phone number to ensure you receive alerts from the team.  If you have any questions, please reach out to Angela.  We will send out a Communications Email Reminder this week.

Volunteers

Volunteers are VERY important to the success of the team.  Each family is expected to volunteer for a number of work opportunities to help run the meets (which includes the SSA championships). The required number of volunteering opportunities per family depends on the number of families involved in the team.We will require all families to work 2-3 opportunities per family.  Our events require a lot of support from our families: many hands make light work!

HAPPY SUMMER Fighting Fish! 
Summer has officially started; I was so excited to see so many swimmers at the pool this past weekend!   And it was fun meeting new faces too!  Starting a new season can feel overwhelming—whether it’s adjusting to new teammates, coaches, strokes, or conditioning. The first week brings nerves for everyone, even our coaches!

First Practice – Friday, May 30th

  • Our first practice is this Friday!  PHSC Practice & Meet Schedule
  • All swimmers should report to their assigned age group practice time. 
  • If adjustments need to be made, we will handle them after the first week.
  • We will have practice NO MATTER what Friday –depending on weather we may NOT get in the water,
    • 9:30-10:00am    6 & Younger - Group 1  (needs LITTLE/NO assistance IN water)
    • 10:15-10:45am   6 & Younger - Group 2 (NEEDS assistance IN water)
    • 11-11:30am - 4 year olds
    • 9:30-10:15am     Age Group 7 & 8

Patience & Adjustments During the First Week

We have a large team this season, and we couldn’t be more thrilled to welcome so many swimmers! As we navigate the first few practices, we ask for patience and understanding while our coaches work to find the best groupings for each swimmer.

As we kick off the season, we ask for patience—both for swimmers and our coaching team. First-week nerves are completely normal, and our goal is to ensure every swimmer finds the right fit within their practice group.

There may be times when adjustments to swimmer placements are needed to provide the best experience for everyone. We appreciate your understanding and flexibility as we evaluate swimmers for ability and safety.

Thank you for your support in making this a fantastic start to the season!

Practice Area, Parent & Sibling Guidelines:

  • If you need to speak with a coach or lifeguard, please wait until practice ends.
  • Coach Angela & Coach Lynn will be available most days after practice, and email is always a great way to reach them.
  • To help our coaches and lifeguards stay focused, we kindly ask families to avoid sitting behind the blocks during practice. You’re welcome to claim a table, but please keep the back area clear.
  • Siblings and parents should avoid being near the pool’s edge during practice—our guards and coaches need to focus entirely on swimmers in the water.
  • Setting Swimmers Up for a Great Season

To ensure a safe and successful summer, we need swimmers to be ready to focus and listen:

  • Encourage your swimmer to respect their coaches and lifeguards on duty.
  • While fun is key, safety is our top priority—initial practices will focus on lane etiquette, stroke development, and technique.
  • Returning swimmers—lead by example! Help create a positive, welcoming environment for new teammates.
  • Sportsmanship and Team Spirit are essential—we’ll talk a LOT about this during practices and before meets.
  • We’re looking forward to an amazing season ahead—thank you for your support in making it a great one!

Weekly Updates & Communication

We will provide regular updates throughout the season to keep families informed.  Please check your Team Unify account this week to ensure all family emails are current. Updates will also be posted on the website (Link to Swim Team Updates).  We hope to send the weekly email update on Fridays this summer.

Junior Coaches

  • Junior Coaches play an essential role in the success of our swim team. As coaches in training, they provide hands-on assistance in the water, working alongside our Assistant Coaches to support swimmers.
  • We ask that all swimmers respect the responsibility these Junior Coaches have. 
  • They are here to help, encourage, and make a difference—please recognize their dedication and take a moment to thank them when you see them!
  • However, junior coaches are limited to the 8 & younger swimmers ONLY.  We respectfully request you communicate with our coaches if your swimmer needs more support than we can offer.
  • Junior Coaches should arrive at practice on Friday at 9:20 AM as swimmers begin arriving. Please be ready to get in the water by 9:30 AM to assist the 7/8 age group.

Looking Ahead - Week # 1 Schedule 

  • Monday - Thursday 6/02-6/05 Normal Practice 
  • Friday 6/06 - Team Donuts and Team Photos
  • 9:30am Team Donuts for ALL Swim Team & Dive Team

    • Donuts and juice for ALL Swim Team -- we did not plan for non-swim team siblings, we are sorry!

  • 9:30-10:30am  INDIVIDUAL Team Photos with Photographer

    • Please come with form filled out and payment ready

    • We will make a line for individual photos, photographer will get to everyone, even if AFTER team photo

  • It will be a very BUSY morning around the pool.
  • We will NOT allow swimmers in the pool during donuts & photo time.

**not required but are highly recommended if NO swim team experience**

Creating a Safe & Supportive Swim Experience!

To ensure a positive and safe season for all swimmers, coaches, and lifeguards, we are offering Swim Evaluations for new swimmers ages 7 & older who have no prior swim team experience.

While evaluations are not required, they are highly recommended to help us assess each swimmer’s comfort, technique, and endurance. This allows us to place swimmers appropriately and provide the best support for their development.

Important Reminder: Swimmers must be able to swim a full length of the pool independently or with minimal assistance to participate on the team. If your child is still building confidence, we’re happy to explore other options to support their progress.

If your child has limited swim experience, please inform us before the first practice. This helps us group swimmers by ability, ensuring they receive the guidance they need in lanes where assistance is available.

Above all, we are committed to fostering a fun and safe environment for all participants. With an increasing number of swimmers and our available resources—including pool size and coaching capacity—we want every child to have the right foundation to grow in confidence and technique while being safe in the water..

We will be sending weekly email updates to families based on the information you provide. To ensure you receive these updates, we highly recommend that each parent enters and verifies their email in their profile.

Additionally, we encourage all families to verify at least one phone number for SMS alerts—this allows us to send immediate notifications when necessary.

Each family will receive two emails from PHSC Team Unify/Sports Engine:

  1. Prompting them to update their information and use our mobile app (Sports Engine). 
  2. Requesting Mobile/SMS Verification - to receive Text messages from PHSC (used for weather communications.

We are still working out details for this group (with a record number of swimmers registered); We may need to add a 3rd practice time for our youngest swimmers.  We will send out an email to all families affected ASAP

Dive team still has spots left! Dive team is for any PHSC Member 7-18 years old.
We are so excited to Welcome Coach Lilly and Coach Nick to our PHSC Family.

 

Our Team Schedule is posted in TeamUnify with meets and team events (of course, changes are possible), so this will be the BEST way to have the MOST UP-TO-DATE information for ALL PHSC Swim & Dive Team Events.

If your family uses a digital calendar, we have attached directions to import this year’s calendar of events to your digital calendar.  This is a newer feature, NOTHING is perfect, so if you have any issues with this process, please reach out to Coach Angela at PHSC Fighting Fish Coach

Open House & Team Suit Up
Sunday May 18th 3:30-5pm at PHSC Parking Lot
Parrott Sports will be at PHSC with our team suit and other swim/dive necessities.
Tshirts will be handed out on Monday June 1st at practice and available for pick up after practice. (Sorry for the delay, Angela’s fault).  We encourage families to stop by for other team gear, meet the coaches and check out the new features at our pool.  


Team Suits can be purchased at Parrot Sports
Our team will continue to wear the royal blue suit with the PHSC logo imprint this season.  Team Suits are available for purchase at Parrot Sports for team suit fitting. Purchases can be made online or in the store.

You may also go to Parrot Sports (located in Hot Springs Spa on Wilmington Pike) and have your swimmer try on suits.  They have our suit in stock!  Just be sure to check the hours online, they are different daily.

  • PHSC Swim suits are ROYAL BLUE and can be in any style comfortable to the swimmer.

NEW Dive Team this summer!

PHSC is EXCITED to announce we have 2 Dive Coaches offer to coach our *NEW* Dive Team at PHSC - SO EXCITING to add a new opportunity for our swimmers!

Here are the details - there are still some details we are working out, so please be patient with us!  We will know more once we know how many divers are interested in joining the team.

PHSC Fighting Fish Coach

  • Practice times are not set, but will be DURING the swim team practice time of 9: 30-11:45 Monday - Friday (practice every day!)
  • Practice times will either be before or after your swimmer’s swim practice.  
  • Once we know the interest and number of divers we will set our practice schedule for the dive team; dive practice will not interfere with swim team practice.
  • 2 coaches will lead our divers 
  • Cost: $50 per diver  (no discount for multiple family members)
  • Ages: Divers need to be at least 7 years old and be able to swim unassisted.
  • Volunteer Hours- if you have a diver on our team, families will be asked to help at a few dive meets 
  • 4 Dive Meets - hosted on Wednesday nights; Warm Ups at 5:30, meet at 6:30. 
  • PHSC will host one meet. Dive meets usually last less than 2 hours..
  • Diving Championships Wed July 2nd; warmups start at 4pm. With meet to start at 6 or 6:30pm

Registration Deadlines

Please register by May 1st to guarantee your swimmer/diver will get their shirt at the OPEN HOUSE on Sunday May 18th.  

If your swimmer is not registered by May 1st, they will receive their shirt by Team Pictures day on June 6th.

Introduction, Team & Season Info / Schedule
I am Angela, the Head Coach of our swim team; this will be my 9th year coaching the Fighting Fish and my family and I are VERY excited to get back on the deck with all of our friends and teammates!  

PHSC Swim Team: Our emphasis at PHSC is becoming stronger swimmers while having fun and swimming faster!  We encourage ALL swimmers to join us, even those with very little experience.  On Swim Team, the emphasis is on the swimmer: swimming is an INDIVIDUAL sport with a TEAM result!  We  DO NOT focus on place-finished, but on the swimmer's individual finish time: as they get stronger & more confident, they get faster!  It's a great accomplishment to start the season only being able to go half way, and ending the season swimming a WHOLE length -- WHILE your teammates CHEER you on!!  Joining Swim Team your swimmer will have MANY opportunities for success & having fun while learning to be SAFE & STRONG in the water.  

Swim Team is for youth ages 4-18 years old.
(Must be 4 years old by May 1st and be able to work in the water independently with our coaches; up to 18 years old or the summer after their senior year of High School).

Assistant Coach Hiring
We have several assistant coaches returning this season; we are planning to hire 1 additional assistant coach and would like 6 junior coaches.

Assistant Coaches MUST be age 15 by May 31, 2025
        (a lifeguard certification is HIGHLY recommended).

Team Event & FUNdraiser
Dayton Dragons Game Sunday 04/27/2025 at 1:05pm
Dayton Dragons vs. West Michigan Whitecaps
Game starts at 1:05pm, with gates opening at 12:00pm (noon).
$7 from every ticket sold will go back to the swim team.

 Deadline to order tickets is Friday, April 18.
