JOB DESCRIPTIONS
Parent Involvement Point System and Positions
As of 2024, each job is equivalent to points. Not all jobs are equal or have the same number of points and shifts. Families are required to complete 40 points per season. Whether you have 1 or 4 children on the team all families have to complete the same number of points. The point values assigned to jobs are designed to encourage participation during a meet. A vital part of making the Darryl’s successful is the parent’s commitment in running and staffing our swim meets. We cannot overemphasize how important it is for all of us to fulfill our obligations as parents to support the team events. We know all swim team members and families believe in establishing a fair method of cooperation. When you don’t do the job that you signed up for or arrive late, a replacement must be found which will result in a delay during the meet.
Families that do not satisfy their point requirement will be required to pay up to a $500 Participation Fee. Please remember, the swim team is not interested in collecting fees. Your participation is more valuable than the fee imposed.
Parents of swimmers competing in the Championship Meet are required by the East Bay Swim League to work one shift at the meet. The East Bay Swim League imposes a monetary penalty on the swim team for every job that is a ‘no show’. Champ league jobs do not accrue points.
Dual Meet Operations
SLST Lane Assignments for Dual Meets
- At dual meets, the home and away teams each provide 2 volunteers per lane
- The Home Team lane assignments for swimmers are 2, 4, 6 and 8.
- The Away Team lane assignments for swimmers are 1,3,5 and 7.
- In lanes 2, 4, 6 and 8:
- The Home Team will supply 1 Stopwatch/ Recorder and 1 Plunger/ Timer
- the Away Team will supply 2 timers
- In lanes, 1, 3, 5, and 7:
- The Away Team will supply 1 Stopwatch/Recorder and 1 Plunger/Timer
- The Home Team will supply 2 timers
(3) Plunger/ Timer
Each lane has two plungers. The two plunger times are started automatically when the buzzer is pressed. When the swimmer touches the wall at the end of their race, the plunger should be pressed. When the Timer presses the timer he/she should look at the scoreboard to ensure the time has stopped.
(3) Stopwatch/ Recorder
Each lane has one Stopwatch/ Recorder. The Stopwatch/Recorder person should look at the light on the top of the start device next to the Head Timer. When the buzzer is pressed and the light flashes, the Stopwatch/Recorder should start the timer. When the swimmer touches the wall at the end of their race, the Stopwatch should be stopped and recorded. The Stopwatch/Recorder should make sure that they record the correct swimmer's time by asking the swimmer their name. The Stopwatch/Recorder should make notes of any plunger, timing issues and swimmer issues on the Lane Timer Sheets. If the Stopwatch/Recorder doesn't know how to resolve the issue, then they should flag down the Runner for help.
Shepherd Team
(18) Lead Shepherd
The lead shepherd will manage the shepherd supplies and assure everyone (Shepherds) has the latest Lane Sheet
(4) Shepherd
The shepherd will have a copy of the Event by Lane Sheet for the 10 and Under swimmers, which will list the Events in order for a particular lane. The Shepherd is responsible for lining up the 10 and Under swimmers in the right Event, Heat and Lane prior to their race. If there is a mix-up in the Meet Sheet or the Event by Lane Sheet, they must have a coach inform the Colorado Timing System (CTS) person prior to the swimmer's Event. If a swimmer swims in the wrong Event, Heat or Lane, they should take note of the mix-up and have a coach inform the CTS person. It is best if you have a swimmer in this age group.
Volunteer Coordination (VC) Team
(18) V C Lead
The VC Lead is responsible for coordinating the VC Team throughout the season including Champs. The VC Lead works with the VC Team Unify Manager before the meet to assure all jobs are in the system and creates the volunteer check-in sheet and volunteer badges for the VC Meet Managers.
(18) V C Team Unify Manager
The VC Team Unify Manager inputs the volunteer positions for each meet. The VC Team Manager tracks the volunteers and points earned in the Team Unify System and assures all positions are signed up for each meet.
(18) V C Meet Managers 1 and 2
The VC Meet Managers work together with VC Check-Ins and arrive early to check-in volunteers at least 15 minutes before each meet. The VC check-In hands out and collects volunteer badges and assures all volunteer positions are filled before, during and after the meet using the volunteer check-in sheet. Must be present at Volunteer Check-In Table during shift change.
(4) VC Check-In
7:15- 7:30am arrival time required. Responsible for checking in Darryl volunteers with VC Meet Manager and handing out name tags, before each meet. Tag teams with VC Meet manager to assure all volunteer positions are filled before, during and after meet using volunteer check-in sheet. Must be present at Volunteer Check-In Table during shift change.
Home Meet Operations
(18) Head Timer [Home meets only]
7:30am arrival time required. Distribute and collect stopwatches to Timers
- Use two backup stopwatches
- Replace Timer's stopwatch if Timer misses a start or finish
(18) Announcer Home meets only
- Announce swim meet events and swimmer names
- Announce general information during meet
- Coordinate with the Starter to keep meet on schedule
- Must have training
- 1 volunteer per shift
(18) Starter [Home meets only]
7:00am arrival required. 1 Person starts and stops events throughout the swim meet and breaks down the speaker equipment at the end of a home meet.
(18) Colorado Timing System [Scoreboard] [Home meets only]
6:15- 6:30am arrival required. A team of 3 people in charge of operating the Colorado Timing System before, after and during the meet including, Set-Up and Take-Down of speaker used for starter.
(18) Computer Team
6:15- 6:30am arrival required. A team of 4-5 people managing the computer timing systems and team unify before, during and after each meet throughout the swim season.
(18) Computer Director
6:15- 6:30am arrival required. Responsible for communicating and managing the system changes from EBSL to the swim computer team throughout the season.
Concession Team [Home meets only]
Snack bar is a great place to work if you're not interested in watching the whole meet. Scheduled in shifts for 1st half of meet (includes set-up), and 2nd half of meet (includes clean up). Multiple workers per shift. Home meets only. No experience required. Note: Online scheduling - please select 4 time slots distributed over at least 2 swim meet dates. This is an important fund raiser for the team, as we raise money for end-of-the-season awards and other extras this way. You get to interact a lot with both kids and parents.
(18) Concession Buyer - plans and buys food for the snack bar
(18) Concession Lead - manages snack bar and cash box
(6) Concession Prep- preps food for sale
(6) Cashier- collects payments for food sales
(6) Server- serves prepared food
(6) Clean-Up- breakdown concession area including tables, canopy, coolers
(18) Grill Team
4- 5 people responsible for BBQ-ing (hamburgers, hot-dogs, chicken) throughout the home meets. No experience required. BBQ Set-Up 7am- 10:30am (3.5 hrs) - Preparing food during the meet in the BBQ area. Includes set-up, Clean-Up and Breakdown of the BBQ.
(18) 50/50 Raffle [Home meets only]
2 people required. This is a great way to meet everyone at the meet. This is another club fund raiser at home meets. You sell the lottery tickets during the meet and a drawing is held toward the end. The winner gets half of the money collected, and Darryls gets the other half. Two shifts [8am- 10am; and, 10am- 12pm]. Home meets only. No experience required.
Back-Up Positions
Must be available for entire shift. This position will allow you fill-in for any no shows throughout the meet. Points will automatically be awarded upon sign-up depending on the job. Full credit of points will be awarded for any job filled.
(18) Ribbon Coordinator
Responsible for labeling and sorting ribbons and jellybeans throughout the season.
