2026 Policies, Waivers & Agreements


Liability Waiver

By registering my child(ren) with the Briarhill Swim Team, I agree to participate (or allow my child(ren) and family members to participate) in the Briarhill Swim Team program. I hereby release Briarhill Swim Team, its directors, officers, agents, coaches, and employees from liability for any injury that may occur to me (or to my child(ren) and family members) while participating in the Briarhill Swim Team program, including travel to and from practices, swim meets, or other scheduled team activities.

I agree to indemnify and hold harmless the above-mentioned organization and/or individuals, including their agents and/or employees, against any and all liability for personal injury, including injuries resulting in death, or damage to property belonging to me, my child(ren), or other family members, arising from participation in the Briarhill Swim Team program.


Medical Release Waiver

I certify that I am the parent or legal guardian of my child(ren). I give permission for any supervisor, coach, or team administrator associated with the Briarhill Swim Team to seek and provide appropriate medical attention for my child(ren) in the event of accident, injury, or illness. I understand that I am responsible for all costs associated with such medical care.

I hereby waive, release, and forever discharge Briarhill Swim Team and associated supervisors, coaches, and administrators from all claims for injury, loss, or damage to person or property sustained during participation in Briarhill Swim Team activities, whether or not such damages result from negligence. I acknowledge that my child(ren) is/are physically fit and capable of participating in all swim team activities.


Team Code of Conduct Agreement

Eligibility

Any swimmer who has not reached their 19th birthday or started college by June 1, 2026, and who has not participated in a USA Swimming team since January 1, 2026, is eligible to participate.

I, AS A PARENT, WILL:

  • Encourage good sportsmanship and provide positive support to swimmers, volunteers, coaches, and officials.

  • Be a respectful fan and refrain from contesting officials’ or coaches’ decisions.

  • Place my child’s emotional and physical well-being above personal desire to win.

  • Support coaches and officials in creating a positive experience.

  • Remember the sport is for the children.

  • Promote a drug-, tobacco-, and alcohol-free environment at all Briarhill events.

  • Ask my child to treat others with respect regardless of race, sex, creed, or ability.

I, AS A SWIMMER, WILL:

  • Maintain a positive attitude and follow this Code of Conduct.

  • Demonstrate good sportsmanship at practices and meets.

  • Attend practices and meets when reasonably possible and notify my coach if I cannot.

  • Listen to and learn from my coaches.

  • Treat teammates, opponents, volunteers, coaches, officials, and fans with respect.

  • Speak up if swimming stops being fun.

  • Participate in a drug-, tobacco-, and alcohol-free environment.

  • Encourage my family to be involved with the team.

  • Remember that sports are about learning, fitness, and fun.

Failure to comply with this Code of Conduct may result in removal from practices, meets, or Briarhill Swim Team events.


Refund & Cancellation Agreement

2026 Refund Policy

  • Each registration includes a $50 nonrefundable deposit per swimmer if you withdraw before May 1.

  • No refunds will be issued after May 1 of the current swim season.

  • No full or prorated refunds will be provided due to illness or partial participation.


Swim Team Parent Information Agreement

Communication

The Briarhill Swim Team Board of Directors works year-round to support a successful 2026 season. Questions not answered on the website (www.GoSwimBriarhill.com) should be directed to [email protected]. Please contact the Board—not the coaching staff—for team-related concerns.

Do not use the team email to report meet or practice absences; all attendance updates must be logged through the OnDeck App.

Tri-Valley Swim League rules and policies are available at the pool office and online. It is each family’s responsibility to know and follow these rules.

Coach Communication

During meets, coaches must focus on swimmers and races. Please do not ask swimmer-specific questions during meets. Questions may be emailed to [email protected] and will be addressed within 72 hours, typically during practice hours.

Participation Requirements

  • Swimmers must participate in meets to remain on the team.

  • Swimmers must attend at least 3 practices per week to compete in meets.

  • To participate in Championships, swimmers must swim in at least 3 dual meets.

Work Deposit

Registration is not complete until a $600 per family work deposit check is received.

Volunteer Commitment & Meet Job Sign-Ups

Families are required to complete 5 volunteer shifts (roughly 3 hours each) plus one Championship shift. The final point total will be determined after registration closes and is based on the number of families registered.

Meet job sheets will be emailed and posted before each meet. It is your responsibility to find a replacement if you cannot fulfill your shift.

Families unable to meet the volunteer commitment may forfeit the $600 work deposit.


Pool Rules

  • Swim caps are required at practice if hair exceeds one inch.

  • Swimmers must exit the pool immediately after the final practice each day.

  • Re-entry requires a Cabana Club pool key.

  • Babies and toddlers must wear swim diapers.

  • No bandages or open wounds are permitted in the pool.


Attitude & Sportsmanship

Briarhill values effort, improvement, and team spirit. While we aim to compete, our priority is fun, growth, and positive experiences for swimmers and families.


Fundraising

Team fundraisers include the Swim-A-Thon, Snack Bar, and other events. Participation is encouraged and appreciated.


Volunteering Agreement – Work Deposit Fee

Briarhill Swim Team operates entirely through parent volunteers. Each family is required to submit a $600 work deposit at the start of the season.

The deposit will be fully refunded if your family fulfills one of the following:

  • One full-season management role, or

  • A minimum of 5 volunteer shifts plus one Championship shift

Families who choose not to volunteer may opt out by paying the $600 work fee during registration.

Registration is not complete until the work deposit check is received or the opt-out fee is paid.
