MEET & INVITATIONAL JOBS
*please note that away meets and invitational jobs may have nuanced differences, these are general overviews of the task.
Head Timer
The Head Timer will operate 2 stop watches as backup for the timers.
If a Timer stop watch malfunctions, the Head Timer will trade watches so that an accurate time can be recorded.
Bathrooms/Trash/Hospitality
Responsible for checking bathrooms and emptying garbage & recycling cans around the facility every 30 minutes.
Checking the bathroom involves replenishing toilet paper in the stalls and replacing paper towels.
Garbages and recycling cans need to be emptied and taken to the dumpsters in the parking lot.
Will make sure that after the meet that all garbages and recycling will be emptied and taken to the dumpsters.
Will also notify the meet directors of any large problems – plumbing, accidents, etc.
Take lunch/dinner orders from computer desk, give to snack shack and they will prepare, and then deliver to desk (I would take these orders at the beginning of swim meet). Distrubute water and snacks (snack shack will prepare) and offer to timers twice during swim meet. Especially water on hot days.
Meet Organizer
Arrive to meet no less than a half hour early, gather timers and job check in sheet and set up at designated table. Check in both home and away meet jobs, handing out any necessary materials. Once check in has been completed you can enjoy the meet, the job concludes after the meet by gathering the materials, putting away in an organized fashion and storing in coaches office. While the job will read 5 hours, it is signifacntly less as it is simple the first hour and half of the meet and the last 45 minutes. Away meets you will simply arrive a half hour prior, check in our meet jobs and remain a floater for the remainder of the meet.
DQ/Desk Runner
Picks up slips from Timers/Stroke & Turn (for DQ Slips) and takes them to the desk for processing. Also picks up timer slips after each event and deliver to computer desk.
Relief/Floater
If there is an unfilled job or a no-show to a job, you will be placed in that position for the entire meet. BE PREPARED TO WORK ENTIRE MEET. This could involve filling in for a timer or a no-show to a job. If not filling a position for entirety of meet, you will provide breaks to the timers for the duration of swim meet. Timers should be offered breaks every 30 minutes and reminded that it's only a ten minute break. Relief is provided to Springbrook timers only.
At beginning of swim meet you will get lunch/dinner orders from Springbrook coaches. Have snack shack prepare those orders and deliver to coaches at the time they request. Please also offer water/drinks - especially on hot days.
Meet directors will fill these positions where there is need during the swim meet and at their discretion.
Ribbons
At home meets, ribbons will be filed directly into the family folders. Labels are provided by desk and ribbons are provided by Meet Directors.
At away meets, the ribbons will be filed into a portable file folder provided by the meet directors. This file folder is to be delivered back to the pool for filing into the family folders, no later than the following day of the swim meet.
Note that finishing the ribbons can go 30 minutes past the end of the meet.
Snack Shack Cashier *Must be at least 18 years old
Take orders and payments for Snack Shack orders -- does not serve food, only handles money.
Snack Shack Server - Set Up Shift *Must be at least 16 years old
The shift has a start time of either 8AM or 4PM, depending whether Sat or Weds evening. Early arrival to assist in setting up the snack shack and preparing food in anticipation of the meet starting.
Snack Server - Clean Up
This job starts at start of swim meet, either 9AM or 5PM and goes until 30 min after the end of the swim meet. Help with serving, preparing, orders, etc during the swim meet and stay after for clean up, putting food away and closing down snack shack.
Each snack shack worker has a 4.5 hr shift, you are able to briefly leave to watch your swimmers race. Snack Shack volunteers should be able to stand for the enitrety of their shift.
Timer
Timer is responsible for pressing plunger button as the swimmer touches the wall at the end of the race.
Timer will need to get up from chair in order to see the swimmer physically touch the wall.
Timer/Recorder
Is responsible for pressing plunger button as the swimmer touches the wall at the end of the race.
Timer will need to get up from chair in order to see the swimmer physically touch the wall.
Is also responsible for recording the stop watch time on the record sheet and verifying the name of the swimmer.
Timer/Stop Watch
Is responsible for starting and stopping a stop watch for each race and reporting the time to the recorder.
Is also responsible for pressing plunger button as the swimmer touches the wall at the end of the race.
Timer will need to get up from chair in order to see the swimmer physically touch the wall.
SOCIAL JOBS
Buddy Olympics Helpers
An iconic annual Hogs event. Volunteers are present to help faciliate the various activites at the pool as swimmers and their buddies spend an evening getting to know each other and partaking in the beloved cake walk, hogs spa, dunk tank and more. Volunteers should be engaged and ready to help all of the kids have a great time. Please note that is subbing out, subs should be engaging and able to assit with a variety of tasks.
Sundae Monday/ Root Beer Float
A sweet treat for swimmer after practice. Volunteers will scoop ice cream in preparation os an age bracket end of practice, help swimmers build their sundae/ root beer float, and assist in cleanup as they go.
Daddy & Me
Check in & Gate keepers: help families check in for the event and help watch the gate throughout the vening to ensure that non-swim team kids do not attempt entry and ensure saftey for all participants in the water balooon fight by not allowing them out the gates and into the parking lot.
Dinner server: Assist in organzing the pizza upon delivery and smooth process of attendees getting food. Help cleanup any remiaing pizza or dinner debri. Assist throughout the evening in safety and responsible behavior.
Clean Up Friday AM: Thanks to the invention of the mass-water balloon filling, this event has grown to the point that the pool is littered with water balloon shrpanel. We need volunteers to arrive early the following morning to help clean the entire facility, please be able to bring either a shop vaccuum, electrci leaf blower or ideally both. A great job to drag the kids to help with.
Coach Appreciation
Positions vary but gerneally include helping facilitate a wonderful week showing our coaches how much we appreciate them for all that they do. From helping the swimmers create cards after practice, to arranging for the fridge to be filled with their favorite beverages and snack. We need help in decorating the pool in their honor and purchasing gift cards to their favorites places with money donated by members.
Jr Coaches Lunch
Help arrange and set up a lunch for the junrio coaching program, often includes drinks, pizza, fruit and a sweet treat.
Spirit Week
Leading up the big end of the year meet, we try to create a spirit filled environment that includes fun activites each day. We need volunteers to helps throughout the week. Details are to be determined but an ability to engage with the swimmers and carry out games and crafts.
Pasta Feeds (Conference & County)
The long standing traditiona of Thursday night pasta feed require a myriad of help. Volunteers will range in tasks from helping serve food, replenish family-style salads, check in participants and help clean up.
Awards Night
SEASONAL JOB HOLDERS
Invitational Director (1 person, seasonal job)
Responsible for coordinating swimmer and team information for our invitational meets (Battle of the Ages, Crossing Challenge, County, and HOX Last Chance meet).
-manage communication between the host team and Springbrook and share that information with Springbrook swimmers
-manage registration for Springbrook at these events and payments needed for events
-manage any awards/ribbons from event for Springbrook swimmers
-communicate with coaches about events
-manage set-up/clean-up for events with help of our set-up team
-not responsible for swimmer meet entries
Computer Team: Desk/Labels/Ribbons ( multi-person team, seasonal job)
Responsible for printing labels for ribbons after the stroke is completed for all age groups, reviewing swimmers' final times, processing disqualification (DQ) slips, and organizing paperwork during the meet.
Meet Director Assistant (2 people, seasonal job)
Assist meet directors with check-in of volunteers at both home and away meets, help with communication regarding set-up of meet, help with communication with opposing team for both home and away meets.
DJ (1 person, half seasonal job)
Work the entire meet, create and play a playlist for swimmers while swimming. You will share this job with another person and work half of the home meets including Pentathlon. Must be comfortable with AV equipment or willing to learn.
Snack Shack (4 people, seasonal job)
Work with a team of three other people to help set-up, run, manage snack shack for all home meets including Pentathlon. Will need to be present at entire meet that you are in charge of. Home meets only.
Starters (multi- person team, seasonal job)
Responsible for announcing events, calling swimmers to blocks, and starting each heat. Work closely with the referee to ensure the meet runs smoothly. Must work the entire meet. Home meets only.
