East Carolina Aquatics Service Policy

Effective for 24/25 Season

All USA Swimming meets are hosted by Volunteers and require a great deal of
personnel to run effectively. East Carolina Aquatics is hosting five meets for the 2024-
2025 Short Course season, with two additional Home Long Course meets hosted at the
beach. Not only do these meets provide opportunities for local swimmers, they are also
invaluable to help us meet our yearly operating budget.  Without Home meet revenue,
our monthly dues would have to double to cover team expenses.

 

 

Timer Incentives:

At the annual banquet, all timers will be asked to stand and be recognized.  Additionally, we will track and honor volunteers in the following manner

  • Bronze Level - 3+ sessions - $25 ECA credit at the end of the year 
  • Silver Level - 5+ sessions - $50 ECA credit at the end of the year
  • Gold Level- 10+ sessions - $100 /eca credit at the end of the year
  • Platinum Level - 15+ sessions - $150 ECA credit at the end of the year\

 

  • At our June meet, when all ECA meets have been completed, we will hold a raffle for $500 ECA credit + $100 Amazon Gift card
    • Each session worked = 1 ticket in the raffle

 

Please note: All scholarship athlete families are required to reach the SILVER level. Furthermore, scholarship families are NOT eligible for the leveled incentives, however, they are eligible for the raffle.
 

Meet Officials Policy

 

Meet Referee - the meet referee is a requirement for all USA Swimming meets. The referee conducts meetings with coaches and officials while also ensuring the meet follows the meet information.  The meet ref is in charge of the function and fairness of the entire meet.  The amount listed will be distributed in gift cards or ECA account credits.

  • Incentive Program for Meet Referee
    • Intrasquad meets - $50/day
    • Rock the Blocks - $250 + Hotel
    • Southeastern Classic - $350
    • ECSL Championships - $500
    • Beach Invitational - $250 +Hotel
    • Fun in the Sun - $125/day
  • Incentive for Meet Referee Apprentice
    • Intrasquad meets - $25/day
    • Rock the Blocks - $50/day
    • Southeastern Classic - $50/day
    • ECSL Championships - $50/day
    • Beach Invitational - $50/day
    • Fun in the Sun - $25/day

 

Incentives for other jobs at ECA home meets:

  • AO - $25/day
  • Starter - $25/day
  • Judges - $10/day

November 8th-10th, 2024 – East Carolina Aquatics South Eastern Classic 

December 14th, 2024 –East Carolina Aquatics Intrasquad 

February 9th, 2025 - East Carolina Aquatics Valentines Qualifier

March 28-30th, 2025 - East Coast Swim League Championships

 

LCM Season

May 2025, - East Carolina Aquatics Beach Meet

June 2025, - East Carolina Aquatics Fun In the Sun

 

 

It takes a full team effort for us to host meets, and thus we have a big need for parent workers and officials.  Below is a breakdown of the required volunteer spots for the season.  As you can see, there are 1,758 spots required just to make our home meets happen.

Below are examples of typical Service jobs that need to be filled at each meet.

 

Timer
Use a stopwatch to get a back-up time for each swimmer in your lane. This job is easy and is close to the action!  Timers account for over 50% of all Service spots.

Relief Timers
Relieve the timers when they need a break by using a stopwatch to time each event in a lane.

Head Timer
Supervise the timers.

Hospitality
Maintain the Hospitality Room, which provides coaches, officials and Services with food and refreshments throughout the meet.

Heat Sheet & T-Shirt Sales
Work the desk that sells heat sheets & t-shirts to parents and swimmers.

Ribbon Makers
Put stickers with printed meet results on the ribbons that get handed out to the top 8 places in each event

Runner
Take back-up timers cards from the competition pool to the meet director

Service Coordinator
Make name tags and register all Services.
