Hilton Head Aquatics Financial Obligations and Considerations

Upon registration, the parent and swimmer agree to abide by the governing rules of USA Swimming, Inc., South Carolina Swimming, Inc, and Hilton Head Aquatics set forth in each organization's by-laws and policies and procedures. Failure to do so may result in termination of membership.

Team fees, dues and fundraising needs are determined by the projected annual expenses of H2A. Most of our expenses are fixed and are required to be paid regardless of the number of swimmers in the water. Therefore, H2A requires a full season swim commitment.

The following is a list of expectations and requirements that all parents must review and agree to before joining Hilton Head Aquatics Swim Team (H2A). The Annual Registration Fee is a one-time fee paid at the time of registration.

ANNUAL DUES
Annual dues are based upon your swimmer(s) group assignment. By signing this agreement, you and your swimmer are committing to the 2019-2020 annual season. Regardless of swim practice schedules or attendance, monthly dues remain the same for the agreed upon season, September 2019 through August 2020, that your Bronze, Silver, Gold, or Senior swimmer has registered for. Pre-team swimmers register for the annual season; however, Pre-team swimmers may withdraw at any point during the season without being subject to an Early Termination Fee but must pay any meet fees owed. In accordance with H2A policy, Bronze, Silver, Gold, and Senior Group members who wish to withdraw during the annual season will be subject to an Early Termination Fee (half of the total dues owed for the remaining months of the yearly contract) and must pay any meet fees and Family Fundraising Minimum owed.  In order to withdraw prior to the conclusion of the yearly season, the swimmer’s parent or guardian must submit an Early Withdrawal Form to the team’s Board Chair at least thirty days prior to requested withdrawal date. *Annual Dues Lump Sum payment provides for a 5% pre-payment discount for full dues paid by 09/30/19. The total annual dues amount shown above is without the discount. 

**Remember the Monthly Payment Option is a courtesy billing method which helps spread the annual dues payment over a 11 month period. *This does not reflect a pay as you swim billing method.

***The Annual Registration Fee includes the USS registration fee, three team t-shirts, two H2A silicone swim caps personalized with swimmer’s last name if registered by September 7, 2019 or two H2A silicone caps without personalization if registration date is after 9/7/2019, and annual administration fee and is paid at the time of registration along with the choice of the dues payment option.

If a swimmer is moved to a different practice group during the year, the family will be billed the revised amount for each remaining month in the contract period and the swim family may be subject to Volunteer and Family Fundraising minimum pledge requirements if their swimmer is advanced from Pre-Team to Bronze during the swim year.

Available Payment Methods:
Our bookkeeping is done by the team volunteer Treasurer and the club encourages all members to use a credit card payment method. This method substantially reduces the number of hours the Treasurer must devote to team business. Please set up your account on our team website, h2aswim.com, to process your Visa or Master Card payments. PayPal, Discover or American Express options are not available. All payments are automatically processed on the first of each month. By signing this agreement, you agree that your credit card information is current, available and in good standing for monthly invoice processing. *An automatic $25 late fee will be assessed to your account if your credit card is declined, missing or includes an invalid expiration date. 

If the credit card method is not a viable option for your family, then it is your responsibility to notify the team Treasurer and establish an alternative advance payment method. All costs associated with this alternative payment method will be your responsibility. The check payment method is an option, but the club requires check payments to be paid three (3) days prior to the end of the month. Check payments received after the 2nd of the month will be subject to an automatic late fee discussed below.  *There is a $25 charge for returned checks.

H2A welcomes new members to the team throughout the year. If your swimmer joins the team later in the season, you will be required to pay a full month of dues in addition to registration fees when registering. In the event that the registration date is after the 15th of the month, as a courtesy you may be receive a credit for prorated dues for the month of registration.

H2A understands that life can be unpredictable. If a swimmer or swim family finds that their obligations cannot be met please contact our Board Chair or Treasurer. All family information is kept confidential. 

LATE FEES CALCULATION
Late fees are assessed on all late payments, including monthly dues, meet fees, or other team-billed charges.  The fee is $25 per month, assessed after the 2nd of the month if payment is not received in full. It is your responsibility to notify the team Treasurer if you are experiencing some financial issues and need assistance with payment concerns.  H2A offers need based scholarships to families who meet our team’s financial assistance criteria.

*Failure to pay dues, meet fees, or fundraising fees within 60 days of the invoice date shall result in delinquent accounts and may result in the charges of late fees and nonparticipation in any USA Swim meets or team practices until member fees are current.

REGISTRATION FEE
The non-refundable, annual registration fee is $183 and is due at the time of your swimmer’s registration. The registration fee covers three team t-shirts, two H2A silicone swim caps personalized with swimmer’s last name if registered by September 7, 2019 or two H2A silicone caps without personalization if registration date is after 9/7/2019, team administrative fee, and the USA Swimming membership. Each year-round swimmer is required to register every year in August/September. Year-round swimmers who join during the season, will pay the registration fee at the time of membership and again on the first August/September of their next membership year.

Every athlete who competes or practices in a USA Swimming sanctioned event must register annually with and become a member of USA Swimming, Inc. This membership fee is paid through H2A's registration fee. Included with this membership fee is excess medical accident insurance that covers the athlete at any sanctioned event or supervised practice.

MEET FEES
Meet information is located on our website under the EVENTS tab. You will need to sign-in at h2aswim.com and “Commit” your swimmer for all meets your swimmer plans to attend prior to the stated deadlines.  H2A encourages all swimmers to attend meets their group is eligible to swim.  Swimmers’ meet participation is crucial to maintaining their focus and an opportunity to measure their practice and skill performance.

All meet fees will be billed to your team account during the month of or shortly after the meet date.  However, once H2A has submitted the team entry file to the meet host, no changes can be made to your attendance.  Meet hosts do not issue refunds and you will be responsible for entry fees whether or not your swimmer participates in the meet.   In addition to the meet entry fees, your account will be charged $25 per swimmer for coaches' travel and $4 per swimmer for merit travel for each meet your swimmer attends. (Coaches’ travel fees are not charged for local meets held in Hilton Head)

FUNDRAISING PLEDGE

Revenue from fundraising, corporate sponsorships and swim meets constitutes a significant part of the H2A operating budget.  ALL swimmers are required to participate in our annual fundraiser.  The minimum pledge for the 2019-2020 season for all Bronze, Silver, Gold and Senior swim families is $300 per family.  Families with only Pre-Team swimmers are required to participate but do not have a minimum pledge amount; we ask those families to raise an amount equal to their family’s ability.  You may satisfy your minimum by raising $300 for the Hour of Power Swim FUNraiser inclusive of any monies raised for corporate sponsorships. Monies not raised by the completion of the fundraiser will be billed to your account on October 31, 2019 and a $25 processing fee will be assessed.

 

Pledges, corporate sponsorships and fundraising amounts received by H2A qualify as charitable contributions and are deductible on your appropriate tax forms.  Please review the information on the Corporate Sponsorship tab for additional information and guidance. Although we ask for a $300 minimum pledge, H2A welcomes any additional fundraising assistance to help fund program needs. 

 

To accommodate mid-year registrations or swimmer advancement dated after December, minimum fundraising pledges will be prorated.  Please contact the Team Treasurer for additional guidance regarding your fundraising pledge for mid-year registrants.

H2A VOLUNTEER REQUIREMENTS

Parent involvement is extremely important for our team to be successful.  All H2A families are expected to provide volunteer time to the team and must work in some capacity at our team-hosted swim meets.  (See chart below).

Bronze, Silver, Gold and Senior Families, are expected to volunteer a minimum of 20 hours per year. H2A families are required to help with our home hosted meets even if they have already reached their minimum volunteer hours (see chart).  Families with only a Pre-Team swimmer are expected to provide a volunteer for each team-hosted swim meet but are not subject to the 20 hour requirement.  Family volunteer hours are tracked by utilizing the H2A Team Unify website Job Sign Ups.  We are scheduled to host 4 home meets in the 2019-2020 swim year.   Parent volunteer jobs at swim meets are inclusive of but not limited to: timing, officiating, working the timing system equipment, set up and tear down, and working at the concessions tent.   Swim meet volunteer requirements can also be fulfilled by donating food items for swim meet concessions and hospitality.  Please contact our Board Secretary with committee membership requests. If your volunteer minimums are not met by July 20th, 2020, you may be assessed a fee of $25 per hour for unfilled hours.

*Senior & Gold families are required to work at least one hosted Grand Prix developmental meet.

Participation is important to the development of your swimmer(s) and provides wonderful team-bonding opportunities for swimmers and parents alike. Swimmer participation at our hosted meets is strongly encouraged by our coaches.  At the conclusion of short and long course seasons, family volunteer hours will be reviewed by the Board to determine whether family volunteer requirements have been satisfied. Failure to satisfy family volunteer minimums and/or meet service requirements may result in financial sanctions levied by the Board.

 

TEAM SWIM APPAREL AND EQUIPMENT NEEDS
All swimmers are asked to purchase the team designated suit chosen by the Head Coach. All team equipment needs are categorized by group and apparel may be found on our website, www.h2aswim.com, click on the TEAM GEAR tab; User name is hiltonhead and password is terps.
