Hello everyone,
The meet committee has some notes that apply to both the whole team and specific areas. We hope by sharing this information we can answer some questions before they arise and also get everyone on the same page to run a successful meet.
A couple specific worker areas are addressed first, followed by some notes that pertain to the entire team. Please scan below for information that applies to you.
| Meet Marhsals-- We provide a red t-shirt for all meet marshals to wear. You may want to dress accordingly with a lightweight t-shirt to wear underneath. We plan to station one marshal (Karolina Filon for the AM session, PM session will be determined at meet) near the Y front desk during each warm-up session to help direct incoming teams. We also plan to have one or two marshals on deck at all times to keep swimmers behind the timers prior to their events. Other marshals will be rotating to check areas of the Y, locker rooms, etc. Ken Baumgart can run through other marshal duties and assignments with you at your start time. Look for him on deck. Timers-- AM timers check in at 8:15am on deck near the pool office. PM timers 12pm. After everyone is checked in we will group new and veteran parents together. There will be a meeting following check-in. One thing that was noted from the Mock Meet is that many of the people pressing the electronic timing button at the end of the race had a slight delay which results in a lot of extra work in the computer room. Keep in mind that you stop your watch and press the electronic button at the moment any part of a swimmer's body touches the wall at the finish of the race. One timer will have both a stopwatch and the electronic button and the other timer will only have a watch. A third person will have a clipboard and also hand out "Heat Winner" ribbons when needed. Also we want to remind the person who has the clipboard and is writing times down that we would like your help in checking the swimmer's names as they approach their turn to swim. Once a race has started, confirm the name of your next swimmer (all names will be in order on your clipboard). While it is the swimmer's responsibility to get to their race we try to help as much as we can in locating any swimmers who are nearby but may not realize they are up next. This will be especially helpful to newer swimmers on our team and visiting teams. Information for All Workers
- Meet Director--Ken Baumgartis our Meet Director all day. If problems or questions arise look for him. He is often on deck but will also be moving around the Y periodically to check on things. Feel free to ask other GBY parents if you have questions as well.
- All workers should check in at the worker sign-in tableupon entering the meet on Saturday. You will sign in so we know you have arrived and this list will also determine whether you get charged entry fees for the meet.
- Nametags--Also at the worker sign-in table, please fill out and put on a name tag. This helps identify you as a meet worker and also helps us get to know all of our new families. We will have a veteran team member on hand for those who may have questions!
- Apparel pick-up--Our apparel order is in! This is separate from anything you may have purchased from Walters Swim Supply. You may pick up your apparel order at the worker sign-in table upon arrival during warm-ups for both the AM and PM sessions. Once the meet starts all orders will be put away until the PM warm-up begins. After the PM warm-ups are complete all remaining apparel will be moved to the Awards room for the remainder of the meet.
- Wear GBY colors--Our team colors are navy blue and red. Whether you have GBY apparel or not feel free to wear our team colors. This is not required, but will help us identify team members as well as promote team unity.
- Haven't signed up for a job yet? Find Ken Baumgart prior to the start of your session--preferably at least one hour before the meet starts. Remember providing a worker for each session in which you have a swimmer is required. Not providing a worker results in charging your escrow account double entry fees. Those providing a worker at our home meets swim for free. Paying double your entry fees is a last resort--we need your help to run our meets.
- Workers needed AM session--We are still in need of Timers and Food Service workers on the AM session. The Clerk or Course would also like additional helpers. If anyone can provide an additional worker on the AM session be sure to find Ken Baumgart at the meet.
- Reminder--Heat Sheets--Don't forget to print these at home and bring to meet. There will be limited heat sheets for sale (located at Food Service) and you don't want to end up buying one when you can get one for free by printing it at home beforehand! Please note that you are able to print out AM session, PM session, or both. If you are only here for one session make sure you print the correct one. Heat Sheets can be found on the website under "GBY Meets and Events" and "GBY Sprint Meet."
- Get out your Sharpies! The day of a home meet is busy for us, the host team. It will help if you mark your swimmer's event number, heat number, and lane number on their arm with a Sharpie the night before the meet. For new swimmers you may also want to write the name of the event (50 free, etc.) next to the event number. The easiest way to find all of your swimmer's events is to pull up the "Entry list with heats and lanes" document that is located under "GBY Meets and Events" and "GBY Sprint Meet." The pages on this document are numbered and you are able to print off only the page you need for your swimmer. Still print a heat sheet to bring to the meet!
- Everyone--Please arrive at your worker assignment by the time listed on the worker sheet. All AM workers should plan to help with any set-up that is needed prior to the start of the meet. As our team has the early warm-up, your swimmer will have time to grab breakfast (or lunch during the PM session) after they warm up, so please plan on supporting our food service after warm-ups. All PM workers should plan on helping clean up their area after the meet.
- Major change for AM session---Our Clerk of Course(the staging area for all of our 6&U and 8&U's) has moved! It will be in the downstairs hallway off of the pool deck. Please make sure your swimmers are aware of this. With the nature of our meet (all sprint events) your 8&U swimmer will have about 10 minutes after they swim each event before they need to return to the Clerk of Course to get ready for their next event--if they are swimming back-to-back events. Please help us by getting your swimmer here with ample time. With this change please also let your 9&10 year olds know that this hallway will no longer be open for them to play foosball and DDR. It will not be a hangout area and they should plan to use the gymnasium to congregate.
- Gymnasium--The YMCA gym is opened up and used as a rest area for all swimmers and their families during our home meets. Many swimmers bring sleeping bags, blankets, and fun things to do in between events. Do not leave any expensive items unattended. Parents often bring in folding chairs. This will be a busy area as we have a large number of swimmers at the meet.
- Be on Time--AM swimmers and parents should report to the pool deck at 7AM to help set up. Warm-ups begin at 7:30AM. PM swimmers should be at the pool by 11:30AM in case the AM session concludes early. If the AM session is still in progress, please do not hang out near the start end of the pool.
- Behind the blocks--We will be asking all 9&10 year old swimmers as well as all swimmers in the PM session to remain behind the timers until they are the next person up to swim. A marshal will be on deck to enforce this.
- Awards--Will be located in Room 1D. This room can be accessed by walking through the gym (follow the path to the door) or walking to the end of the long hallway that overlooks the pool deck. Awards are ribbons for 1st-12th place in individual events. The winner of each heat will receive a "Heat Winner" ribbon from their timer.
- Walters Swim Supply--Joe from Walters will be on hand selling suits, caps, goggles, and a lot of other fun swimming-related items. Stop in to do some Christmas shopping for your swimmer! He will be located in the same room as Awards.
- Food Service--Will be located in the YMCA lobby. While food will be sold in the lobby we will still have some tables downstairs in the room at the bottom of the main YMCA stairwell for those who would like to eat down there.
