SJAC Team Cancellation and Refund Policy 

The SJAC I Practice Groups are scheduled to practice Sept-to-May or September-to-August (Year Round).  SJAC also offers SJAC II teams that have seasonal 12-week options (10 weeks in the summer).  SJAC allows its members to pay their dues in full or spread them out over a 9-month period.  However, that does not mean this is a month-to-month program.  Spots in each practice group are limited and often have waitlists.  Coaches, lane space and other team fees are based the number of swimmers in each group.  So if your child decides to withdraw before the end of the season, they are taking a spot from someone else that was ready to commit to the entire season and placing a financial burden on the team.  Because of this, we have adapted the following Refund/Cancellation policies: 

  • Anyone that has committed to the team and decides to withdraw within the month of September, with the exception of the SJAC II Seasonal team (see seasonal team policies below), may do so without incurring any additional penalties but will forfeit their non-refundable deposit.

    • Please note that Credit Card processing and ACH batch withdrawals often start several days before the 1st of the month and the email account is not monitored 24/7.  So if you email within 5 days of September 30th you may still be charged on October 1st.  

  • Anyone who wishes to withdraw or switch groups must do so by sending an email to [email protected] at least 5 days prior to the next billing cycle or the changes will not be reflected in your next bill.  Telling your coach does not constitute a withdrawal notice and your team fees will continue until you email [email protected].

SJAC I group

  • The SJAC I groups are offered Sept to May or Sept to August. For many of the groups, April and May practices give the swimmers an opportunity to stay in 'swim shape' without being obligated to attend a certain number of practices. However, most of the annual team fees go toward the Winter portion of the season.
  • To withdraw from October to January there is an $85 withdrawal fee to cover the uniform and admin fees and any fees that have already been paid will be forfeited (Platinum will be charged $160 for uniform/admin fees). 
  • To withdraw From February to May, you will be charged the balance of your dues upon withdrawal (for example, if you withdraw in February and are on the 9-month payment plan, you will still be charged your March, April and May fees.)
  • If a swimmer would like to switch to the Seasonal (12-week) II teams, they must wait until the start of the next session and register for the seasonal team. Fees will continue until that time and an $85 uniform fee will be added to the account.
  • If a coach decides that a swimmer needs to be moved to another practice group, then we will make that change at no charge. However, if they switch to a seasonal team, a $80 uniform fee will be added to the account

SJAC II – Sept to May and Year Round 

  • If you decide to switch to Seasonal or withdraw, you will be charged an $85 withdrawal fee to cover uniform and admin fees.  Any fees that have already been paid will be forfeited.  

SJAC II registration - Seasonal 

  • ​​We do not pro-rate for missing less than 2 weeks at the start of the season.
  • If you withdraw within the 1st 2 weeks of the session, we do not refund the $200 deposit unless we can fill your spot on the team.  If the spot can be filled, a $30 cancellation fee will be assessed to your account and the balance from your deposit will be refunded.
  • We do not pro-rate the fees for less than 2 weeks. After that, we will pro-rate by week and charge a $30 administrative fee. 

Swim Meets

  • Meet entries are due to Mid Atlantic and/or the host team several weeks before the swim meet and the team is charged based on those entries.  Because of this, if you sign up to swim at a meet, but withdraw after the deadline, you will still be charged for the meet entries. 

Injuries and Illnesses

  • We do not pro-rate by week, only by month.  If your child will miss more than a month of swimming due to injury or illness, we will pause your team fees and restart them when they return. 
  • Due to the swim meet policies listed above, if your child becomes sick or injured after the deadline and cannot attend a swim meet, you are still responsible for the meet fees.

Financial Policies

  • All Account changes made by SJAC will incur a $30 administrative fee
  • The $200 paid at registration is a NON-REFUNDABLE Deposit and will not be refunded unless outlined in the policies above.
  • If you paid by credit card but wish to have a check refund, or if it is beyond 60 days and a credit card refund cannot be issued, we will assess a $30 adminitrative fee to issue a check
  • Payments are due on the 1st of the month for team fees and at the time of registration for lesson fees.
  • SJAC offers a 9-month payment plan or you have the option to 'Pay in Full' for Sept to May or Year Round swim team programs. 
    • 9-Month Payment Plan: At the time of registration, a non-refundable $200 deposit must be made to reserve your spot on the team.  If you select 9-mo plan, that deposit is deducted from your team fees and the remainder of your fees, along with your uniform fee, will be divided over 9-months.  
    • Pay In Full - A non-refundable $200 deposit must be made at the time of registration to reserve your spot on the team.  If you select to Pay in Full, the balance (minus the deposit) along with your uniform fee will be withdrawn on Sept 1st for those starting in the fall, or on the 1st of the following month for Seasonal or Mid-season registrations.  
  • NL Aquatics membership cancellation requires 30 days written (email) notice and you are required to pay any fees assessed during that time.  Many families have children or adults taking lessons or participating in other SJAC programming, therefore, the NL Aquatics membership fees do not automatically stop when your child stops swimming on the team.  To cancel your NL Aquatics Membership, please email [email protected]

ADDITIONAL FEES:
  • NL Aquatics Membership - Please not that the NLAquatics Membership is a separate system and does not end when your child stops swimming.  
    • Each family must maintain an NL Aquatic Center Family Membership while on the team. NL Aquatics offers a discounted membership to swimmers on the SJAC Swim Team, Masters team and/or lesson program.  You can sign up for membership by CLICKING HERE or downloading the app. Please select ‘ SJAC Family Membership (Single Child)' ($35/mo) for families with 1 child; and ‘ SJAC Family Membership (multi-child)' ($45/mo) for families with 2 or more children.

  • USA Swimming Registration:  Swimmers will be required to maintain a USA Swimming Registration. USAS Registration opens Sept 1 st and a link/instructions to register will be sent at that time.  YOU MAY NOT PARTICIPATE IN PRACTICES UNLESS YOU ARE REGISERED WITH USA SWIMMING. 
  • Service Hour Fee: SJAC swim families will be required to complete volunteer hours if your child competes in meets at the NL Aquatic Center.  This policy is set by the SJAC Parent Committee and more information can be found here - VOLUNTEER POLICIES.
  • Administrative Charge: A $30 Administrative fee will be charged for any changes made after registration has been processed... i.e. changing groups, cancellations, refund by check, pro-rated team fees, etc.
  • Swim Meets - All fees associated with swim meets (except for the Team Travel Fees) can be found by selecting the meet from the 'MEETS/EVENTS page’, and then clicking the link under 'Forms/Documents'
    • Meet Fees - all Swim Meets charge a fee per event.  Depending on the meet and the venue, there may also be a 'per swimmer' charge (in lieu of charging admissions at the event), a facility fee, travel fee charged by the host team, etc.  
    • Travel Fees - To help us offset the expense of travel meets, we will be assessing a team travel fee of no more than $30/swimmer/day for all swimmers attending travel meets.  This is in addition to any fees assessed by the host team or team meals hosted by SJAC.  For more information on Travel Fees and policies, CLICK HERE
  • Credit Card and ACH Transaction Fees:  Credit Card fees are currently at 2.95% + $.30/transaction; ACH Fees are currently $1.30/transactions There is no fee to pay by check.
