It takes a village to run our CCA Swim & Dive program. Anyone who has been to even one swim/dive or mini meet knows that it takes much effort on the part of parent volunteers to make it happen. Approximately 20-25 parent volunteers are needed for each home/away swim meet and approximately 7-8 parent volunteers for each home/away dive meet. We will be looking for help from every family during the season, and we are sure that everyone can find a job they enjoy doing.
A description of the volunteer positions jobs is provided below:
SWIM TEAM: (Number of people)
Boys Swim Meet Director (1): The Director oversees all boy’s swim meets (both home & away). They will contact parents asking for help fulfilling all volunteer positions.
Girls Swim Meet Director (1): The Director oversees all girl’s swim meets (both home & away). They will contact parents asking for help fulfilling all volunteer positions.
Announcer (1): This is a great job for someone with a strong voice. You announce the names of the swimmers in each event, and work with the Starter Referee to keep the meet moving quickly and smoothly.
Backup Timer (1-2): - You use a stopwatch on every race and provide a backup to a lane timer if their watch malfunctions during a race.
Deck Parent (2-3): The deck parent helps the coaches organize the younger swimmers scheduled for upcoming swim events and get them psyched up for their swim.
Finish Judge (1): These judges stand at the end of the pool and observe the end of the race. They help decide the order in which the swimmers finished the event (i.e., who won). No technical knowledge of swimming is required, but it does require a keen ability to focus your attention for close races.
Runner (1): After each race, the runner collects the times from the timers in each lane and takes them to the scoring table. You stay on the move throughout the meet, so it’s great exercise.
Scoring Table - Computer Operator (1): The job requires knowledge of the computer program (Meet Manager) used for the computerized scoring system. The home team will operate the computer program while the away team provides a ‘Scorekeeper’ to read the (timer sheets) results after each race which track the team scores.
Scoring Table – (Scorekeeper) Timer Sheets (1): This position will read the times of each race per lane to the Computer Operator.
Scoring Table - Timing System Operator/DAK (1): This job is for someone who likes to play with electronic gizmos. The timing system uses an electronic signal from the starter’s device and the touchpads in the pool to determine the swimmers’ times and order of finish. This information is displayed on the scoreboard and is fed into the computer program used by the scorekeeper that keeps track of the official results.
Snack Bar (1-2): Ideally this will be run by a family that can attend ALL home meets. They may need to have both boy swimmers and girl swimmers. This person will coordinate with students from the PWHS Honors Society (via Sign Up Genius). The PWHS students will work the snack bar, while the adults will manage the stock of food/drinks and store those items (if necessary) inhouse between each meet.
Starter Referee* (1): This is the most technically demanding job. The Starter Ref runs the events in the meet by ensuring that the swimmers start simultaneously and oversees all the other meet officials. This is a leadership position that requires experience and a take-charge personality. It is up to the Starter to keep the meet moving. *You must hold the role of Stroke & Turn Judge for 1 year before becoming a Starter Ref, and you will “apprentice” with someone who has done it before..
Stroke & Turn Judge (1-2): These judges determine whether a swimmer touched the end of the pool during a turn and whether the technical aspects of the swimming stroke were legal. It requires knowledge of the US Swimming stroke regulations, and a willingness to fairly disqualify swimmers when appropriate. We provide a training program, online videos to review each stroke, and you will “apprentice” with someone who has done it before.
Timer (9-16): This is the most popular meet job among both new and experienced swim parents. You use a stopwatch to time the swimmer in your assigned lane. There are three timers per lane, and the median of the times is used as the official time (or as backup for electronic timing systems).
Other duties – outside of meets:
Pre-Team Swim Meet Director (1-2): The Pre-Team Meet Director will work with the Pre-Team Coach to determine the schedule for mini swim meets (2-3 a season), attend the mini meets and coordinate volunteers.
Mentor Manager *(1): The Mentor Manager will preferably be a parent of a high school student. They will contact students, coordinate with coaches, and create a schedule for students to work with coaches/swimmers during practices. May require occasional visits during CCA practices * Must have clearances on file with CCA board members.
Banquet Coordinator (1): The Banquet Coordinator will organize the entire process, from set up and break down. They will (with reimbursement) purchase any necessary items for the banquet, and coordinate with the board/coaches.
Banquet Assistants (3): Assist with set-up and break down during the banquet.
