Photo & Video Policy

Purpose

We recognize that photographs and videos are an important part of celebrating swimmers’ achievements and sharing memories. However, we also understand that images of children must be handled responsibly. While most images are taken in good faith, there is always the possibility of misuse. This policy sets clear guidelines to protect our swimmers, families, and community.


General Policy

  • No photos during practice: Parents and swimmers may not take photos or videos during practice hours inside the YMCA facility.

  • Consent required: Publishing any image or video of a swimmer under 18 (such as in an article, on a notice board, in a press release, or via video streaming) requires parental consent, which is collected through the registration agreement.

  • Right to refuse: Parents/guardians have the right to refuse permission for their child’s image to be used. Exercising this right does not affect a swimmer’s ability to participate in practice or competitions.


Competitions & Meets

  • At open meets or other competitions where the host club has arranged for an official photographer, this will be clearly communicated in the meet information.

  • Parents will always be given the opportunity to withhold consent for their child’s images to be used.


Standards for All Photos & Videos

To ensure safety and respect, all images must follow these standards:

  • Action shots should highlight the sport itself and celebrate participation—not be sexualized in any way.

  • Images should never be taken or kept if they show torn/displaced swimsuits.

  • Photos should not be taken:

    • from behind the blocks at the start of a race,

    • of swimmers climbing out of the pool,

    • or in locker rooms/bathrooms.


Coach Photography & Video Use

Why does Coach Adam take photos and videos?

  • As explained at annual parent meetings, Coach Adam has permission from the YMCA to capture images and videos for Lone Star Aquatics (LSAC) swimmers only.

  • A designated area is used for filming during practice to ensure swimmers in YMCA swim lessons are not included.

  • Photos/videos are taken while Coach Adam is in LSAC-issued uniform, so staff and members recognize this as part of LSAC programming.

These images are used exclusively for team purposes, such as skill analysis, team communications, and celebrating LSAC swimmers.
