Request a Meet Sanction

  • A Club Admin must request a sanction through SWIMS 3.0 at least 21 days prior to the date entries will be accepted for the meet.
    • Go to Club->My Club->Administrative->Meets->Request a Meet Sanction.
    • Enter the basic meet information. The year and the name of the LSC is already included so omit these from the meet name. Make sure you include a copy of the Meet Announcement, which must include all of the requirements of the Meet Announcement Checklist. If you use the Meet Announcement Template, it will reduce the amount of time for the sanction to be approved.
    • All info fields are required. Meet Classification-Invitational is usually used for only invited team while Open is open to any swimmers/teams registered with USA Swimming.
    • Enter all sessions. This information ties into OTS, and the Meet Refs will need this to enter their information accurately.
    • Enter the Meet Staff. You will need to know the ID of the Meet Director, Meet Ref, and Meet contact or you can look them up by name and LSC.
  • Send an electronic copy of the Meet Announcement (PDF or Word) and TM Event File to Trish Grant at least 21 days prior to the date entries will be accepted for the meet for posting on the Ozark website.
  • Sanction Fees:
    • IF your club does NOT have an Ozark TU account, send payment to: Ozark Treasurer, c/o Trish Grant, 3733 S State Rte 159 #235, Glen Carbon, IL 62034
    • IFyour club DOES have an Ozark TU account, you WILL be invoiced as soon as your sanction request has been approved.
    • If sanction fees are not received, the host club will not be in good standing and will not have any further meet sanctions approved.

Request an Open Water Sanction

  • Step-by-Step Instructions:
    • The Meet Director/Club Admin completes the online Sanction Request through SWIMS 3.0 at least 30 days prior to the date entries will be accepted for the meet. Make sure to include a copy of the Meet Announcement with all the requirements.
    • The Meet Director completes the USA Swimming Open Water Meet Application located HERE at least 21 days prior to the date entries will be accepted for the meet. A copy will automaticaaly be sent to the Meet Director, Ozark LSC Sanction Chair, and USA Swimming.
    • Ozark Swimming and USA Swimming will review the application and make suggestions as needed.
    • Once changes are made and/or if the application complies with requirements, it will be signed by Ozark Swimming and/or USA Swimming.
    • The Ozark Sanction Chair signs off and issues a valid sanction number, approving it in SWIMS 3.0.

Meet Announcement Checklist

  • The Meet Announcement Checklist Word  PDF  is updated to reflect the current USA Swimming rule book and Ozark Swiming policies and applies to all sanctioned meets. Please ensure all items are completed before submitting a sanction or use the Meet Announcement Template: Word PDF
  • LSC Sanctioned Meet 360-a guide for meet directors/meet hosts/meet refs to comply with MAAP and the new amendment USA Swimming Rule 202.4 concerning a quality control system.

Pre-Meet Recon

  • Pre-meet reconciliation of entered athleteds is critical for identifying non-registered athletes or any other errors such as improper transfers, wrong birth dates, wrong names, athletes 18 and over that have not completed APT, and identifying meets left for Flex athletes. All meet hosts are required to submit a USA-S Registration File from the meet at least one week prior to the start of the meet. Please send this to Karen Butz.
    • Please do not send a meet backup, as this slows down the process.
    • To create a USA-S Registration File, Open the Meet Manager meet. The go to File->Export->USA-S Registration. Then save the file.

Membership Verification

  • Anyone requesting deck entry must show proof of membership. These are acceptable methods:

    • A valid USA Swimming app Member Card

    • A Club Roster Printout from the USA Swimming Club Portal.

    • Direct Verification from the Registrar (in cases of emergencies)

  • Athlete verification will be determined through the Pre-Meet Recon. Any Recon errors must be reconciled before the meet. Any unregistered athletes swimming will result in a $100 fine charged to the entering team, not the meet host.
