Swim Team Parent's Committee (STPC)
The STPC will be made up of a cross representation of interested parents from the entire team (i.e. boys, girls, younger and older swimmers, experienced and less experienced swimmers). The responsibility of the STPC will be assisting the BCLY staff in making the competitive swim program the best it can be. The STPC is made up of parents of the swimmers and works to assure the program is meeting the guidelines established as well as provide leadership to the parents and support to the coaches.
Roles and Responsibilities of the STPC
- Running dual meets
- Securing meet officials and getting parents trained to officiate
- Operation of the snack bar stand
- Banquet planning and support
- Support at invitational events, leagues, districts, states and nationals
- Support in running the BCLY Hot Cocoa Mini Meet in Janaury.
The STPC is not a policymaking Board/Committee or has control of YMCA Operations. All Operational decisions related to any and all YMCA programs are the responsibility of the YMCA staff (District Executive Director, Branch Executive Director, Regional Director of Competitive Aquatics and Head Coach). The STPC is not legally responsible and cannot make any decisions to bind or obligate the YMCA.
- Volunteers on the STPC will meet five times between September to March.
- The Chair & Vice Chair will have a term of two years.
- They will always be from opposite branch locations.
- All other positions will be a year term (September-July)
- We ask that each parent sit on the STPC for that entire time period.
- The Chair, Vice Chair, Secretary, Officials Coordinator and Snack Bar Coordinator must have swimmers on the winter and summer teams, as the coaching staff will need their assistance throughout the summer.
STPC Members:
- Chair: The Chair, with input from the head coach, will set the Agenda for each monthly meeting and run each meeting.
- Vice Chair: Works with the Chair and head coach to set the Agenda. Runs STPC meetings in the absence of the Chair. If the Secretary is unable to attend a meeting will take the meeting minutes in their absence.
- Coach Representative: A representative from the coaching staff, either the Regional Director of Competitive Aquatics or the Associate Head Coach.
- Secretary: Takes the meeting minutes of the STPC Monthly Meetings.
- Official’s Coordinator: Is the lead official and representative for the team. Keeps record of all certified officials for each season. Ensures each dual meet or hosted invitational has the proper amount of officials.
- Snack Bar Coordinator + Assistant: A lead parent to determine wants/needs of the snack bar. Prepare the sign up genius for home dual meets and invitationals. An assistant to help organize and work with coordinator to ensure we have volunteers and items to sell at our dual meets and hosted invitationals. Will assist in snack bar set up and breakdown. Will also be available to work at the snack bar during home dual meets and hosted invitationals.
- Social/Banquet Coordinator: Someone to help plan the banquet and possible social events. We would like to set up a possible bonfire at an orchard in October or November for the swimmers. Maybe bowling over Christmas or in January. We try to have 2 people, one from each branch.
- Volunteer Coordinator: Someone to ensure that we have enough volunteers at our dual meets and invitationals that we host. Track who has volunteered 2 dual meets for the winter. Also will assign jobs to families that have not volunteered if there are slots open 24 hours before a meet.
- Level/Groups Representatives (one per group per branch – 10 total): These members are liaisons to swimmer families in their level/groups to ensure the program is running smoothly. Also help put together raffle baskets for our end of the season banquet. Proceeds for this raffle are donated to the Safety Around Water program and our custodial account.
