MONTEREY BAY SWIM CLUB MEMBERSHIP AGREEMENT 2025-2026

With my payment of the registration fee entitling my child or children to participate in the competitive swim program of the Monterey Bay Swim Club (MBSC), I agree to abide by the regulations and policies of MBSC as set forth by the club. 
I understand that it is my responsibility to read and familiarize myself with all of the following rules and regulations as well as information contained on the club’s website, including the Swimmers Code of Conduct and the Parents Code of Conduct which can be found in our Safe Sport section.

Specifically, I agree to adhere to the following established payment policies: 

1) Monthly Dues: Monthly dues are charged to your MBSC account on the first day of each month. A $15 late charge will be assessed if dues are not collected by the 20th of the month. When joining MBSC the registration fee will be charged at check out, dues for that month will be manually added to your account within 24 hrs. MBSC will send an email each month, by the 25th, with a link to your monthly statement detailing all charges (including dues, registration fees, swim meet fees, other team related fees, etc.). The charges will occur on the first day of the following month. MBSC requires all accounts to have a credit/debit card set for auto payment. We do not accept cash or checks for payment. Accounts past due by 60 days will be placed on suspension.  Accounts that are habitually late will be placed on suspension at 30 days past due.

2) Partial Months: MBSC does not prorate dues for partial months (excluding the 1st month you join).

3) USA Swimming Registration Fee ($90.00): An annual USA Swimming membership registration fee is required of all team swimmers. Registration fees are per calendar year (Jan-Dec). USA Swimming registration fees drop to $57 on April 15.  MBSC retains none of this fee. The USA Swimming initial registration is done on-line, a link for registration will be sent after MBSC registration. All new members will be required to set up a new USA Swimming account and pay directly online prior to their first practice. Renewal of USA Swimming for existing members will be done in a ‘bulk renewal’ by MBSC and billed to your MBSC account on the October statement. 

4) Team Registration Fee ($150): Swimmers joining the team and returning swimmers will be charged a MBSC Team Registration fee of $150 per swimmer each swim year. The MBSC Team Fee for 2025/2026 includes: MBSC hoodie, T-shirt, socks and silicon team cap. New MBSC members will also receive a team kickboard, one time only. This $150 fee applies to all MPC and PGHS groups. This will be billed on the September billing statement. 

 

Carmel Valley (seasonal swimmers) will be charged a $50 Team Registration fee upon joining or restarting which will include a latex team cap.   

Swimmers who join the team after March 31st of each year will be charged a Team Registration fee of $100 per swimmer.  This will include a MBSC silicon cap and kickboard. Swimmers joining the team in July and August will be charged $75. This will include a MBSC team cap and kickboard. MBSC registration fee is a non-refundable fee. This fee is for the September 1, 2025 - August 31, 2026 swim season. 

5) Perpetual Swim Program: MBSC is an ongoing swim program. Membership will continue until MBSC receives a Notice of Intent to Quit/Withdraw by email. An active swimmer does not need to register each year, but will still be billed the MBSC Team Registration Fee of $150 per swimmer in September. 

6) Withdrawal: A notice of intent to quit/withdraw email must be sent to MBSC via the ‘Contact Us’ button/tab on the main page of our website no later than the 28th of the month to avoid being charged for the following month ([email protected]). Phone notification and/or verbal conversations with coaches and/or emails to other individuals are not a valid form of notification. If you fail to notify us of your intent to withdraw before the 1st of the month a $50 fee will apply when your refund is issued (i.e… you forget to email us that you are leaving the team and ask for a refund on the 2nd of the month after the billing has taken place). No refunds will be given after the 10th of the month.

A swimmer who elects to withdraw and then return in the same swim year (September 1 - August 31) will be subject to re-activation fee of $50 fee. Returning swimmers in a new year will also be subject to the regular team registration fees There are no exceptions. 

7) Hold/Pause: A swimmer may place their account on hold/pause if they wish to take a break from the program. This can only be done for FULL calendar months (no partial months). Accounts will be charged a $50 re-activation fee per swimmer when they return to the program. This can only be done one time in the same swim year (September 1-August 31). Additional holds/pauses in the same swim year will also be subjected to the registration at that time. Re-activation in a new swim year is also subject to the annual registration fee. Medical holds are not subjected to the re-activation fee. Volunteer hours will not be prorated. Requests to pause/hold your account must be sent to MBSC via the ‘Contact Us’ tab/link on the main page of the website no later than the 28th of the month ([email protected]). Phone notification and/or verbal conversations with coaches and/or emails to other individuals are not a valid form of notification. 

8) Terminating Membership: MBSC reserves the right to terminate the membership of any member whose actions are considered detrimental to MBSC’s welfare as set forth in the teams policies. I agree that upon withdrawing from MBSC, our account will be paid in full prior to my swimmer’s departure from the team. 

9). Entering Unapproved Swim Meets: A $100.00 penalty fee will be assessed to each

swimmer entering meet(s) not listed on the MBSC Meet Schedule posted online without the approval of the head coach or the head age group coach.

 

10) MBSC Fall Break: MBSC takes an annual 1-2 week break in late July/August. Monthly dues are not prorated for this break. There will be optional limited swim practice offered for all groups.

10) Swimmer Pick Up: Swimmers must be picked up from practice on time. After the scheduled end of practice accounts will be charged $25 for every 15 minutes the swimmer is left unattended.

11) Designated Championship Meets: Swimmers attending any championship meet, Central California AG Champs and higher, will be charged a $50 flat fee per swimmer for age-group championship meets and $75 for senior championship meets. Age Group Championship meets: Central California AG Champs (Feb & July), PacSwim AG Champs (March, July, December), Far Westerns (Spring & Summer). Senior Championship meets: WZones (July), Winter Championships (December), Sectionals, Futures and Nationals. Championship meets are subject to change.

12). CVAL (Coast Valley Aquatics League): CVALs is our summer league. It is made up of 8-9 local teams. The CVAL championship meet is usually near the end of July or beginning of August. This is a required meet for ALL competitive groups, from The Otters - to the Performance Group. Parents are also required to work at this meet. Please plan accordingly. The exact date of CVALS will be disseminated to all families the first part of 2026.

13). Competition: MBSC is a competitive USA Swim team. 

Swimmers in the Performance Group, the Gold Group, the Silver Group, and the Polar Bears are required to attend all 6 USA Swimming meets on our team calendar. 

Swimmers in the Senior Group, the Bronze Group, the Seals and the Otters are required to attend 2 USA Swimming meets per year; the Brian Mallick meet in January and CVALS in July. 

Block party meets are optional and strongly encouraged for all groups but they do not count towards meet requirements. 

14). Volunteer Hour Requirement: Each family on the competitive team has a yearly volunteer hour requirement. (September 1, 2025 - August 31, 2026). All groups, with the exception of Cub Club, are considered competitive. Any unworked volunteer hours will be billed at the rate of $50 an hour on your September 2026 bill. No exceptions.

Volunteer hours are in place to support MBSC, they allow us to host and co-host USA Swimming meets, co-host Zone meets, co-host CVALS and run smaller block party meets for our swimmers. Hours also allow MBSC to participate in community fundraising events like the Big Sur International Marathon and the Big Sur Half Marathon. 

Timing is an important part of the commitment of the sport of swimming. When you enter your swimmer in a meet, you are also agreeing to time at that meet as part of the meet entry. Timing at meets counts towards volunteer hours, however it is not optional, even if your MBSC volunteer hours have been fulfilled. If you sign your child up for a swim meet you are also agreeing to time at that meet.

Volunteer hours are assigned on a per family basis for the highest level swimmer. Families may complete their volunteer obligation at any time within the swim season (September 1 - August 31) at any swim meet MBSC participates in and at any community event/fundraiser that MBSC participates in.

The MBSC Volunteer Obligation for 2025-2026 swimming year (September 2025-August 2026) are as follows (based on highest level swimmer): 

Otters: 6 hours per year

Seals: 8 hours per year 

Polar Bears: 12 hours per year
 

Bronze Group: 10 hours per year 

Silver/Gold Group: 14 hours per year 

Senior Group: 12 hours per year
 

Performance Group: 16 hours per year

*All families attending CVALS are required to work at least 2 hours even if you have fulfilled your volunteer commitment. 

Becoming a USA Swimming Official will fulfill all your volunteer hours for the entire season. 

Hours may also be earned each year by taking the Athlete Protection Training online. 2 hours for one adult in your household and 2 hours for every swimmer over the age of 12.  Please note; this can only be taken once a year and your certificate of completion must be emailed to MBSC to receive credit.  *Returning members that took this in 2024/25, please renew when you receive notice from USA Swimming that it is expiring and email your certificate of completion to receive hours. APT is accessed via your USA Swimming portal that is set-up after you register your swimmer w/USA Swimming. You can follow this link to our WEBSITE for detailed instructions.

ADDITIONAL VOLUNTEER OBLIGATION HOUR INFORMATION 

The swimming year is broken into 4 quarters for volunteer hour billing purposes, in the event that you join or leave the club mid-year. Volunteer hours can be done at any event we host during the current season. If you leave or join the Club during the season your volunteer hours will be prorated by quarter. 

If a swimmer leaves during the season and returns, the family must complete the full volunteer requirement for the year, regardless of any time away from the program. 

15). Timing at meets: Timing is an important part of the commitment of the sport of swimming. When you enter your swimmer in a meet, you are also agreeing to time at that meet as part of the meet entry.  Timing at any meet counts towards MBSC volunteer hours, however it is not optional, even if your MBSC volunteer hours have been fulfilled. If you sign your child up for a swim meet you are also agreeing to time at that meet. 

Sign-ups for timing are posted on the website approximately one-week prior to each meet. Parents are expected to sign up for one hour each day you have a swimmer competing. If you fail to show for your timing shift, you will be charged $50.00 for a NO SHOW. If you time at a meet but did NOT sign up online you must email MBSC to receive credit.

16) Safe Sport: All parents MUST review our USA Swimming SafeSport information page and our MAAP Policy. By registering your swimmer with MBSC you are agreeing and acknowledging this policy.
