Meet Handbook

The 2024 YMCA Long Course National Swimming Championship Handbook provides information for coaches, swimmers and parents to prepare, enter, attend, and compete in the championship.  The format of this year's handbook has been streamlined.  Meet operations details have been moved to the separate appendix document.  Updates to the handbook will be made when additional information is available.  Latest Version of Handbook last updated 07/20/24.  Appendices to LC Handbook last updated 06/02/24.

Building Access and Parking 

On Sunday and Monday, access to the facility will be through the main lobby doors at the front of the building.  On Tuesday through Saturday, the back gate located behind the facility will be open for athletes with bag tags and coaches with credentials from 6:45AM to 8:00AM and 3:45PM to 5:00PM.  At other times, entry is available through the main lobby doors.

Parking is free at FAST.  We recommend that teams use the parking area behind the building for drop-off and for parking large busses or vans.   There will be additional parking available for spectators and teams in the front of the building.

New this Year: Pre-Meet Coaches Meetings

The Coaches Meeting was held Wednesday, July 24 at 8:00 PM EDT. Recording posted HERE.  

The only on-site meeting for coaches is the New Coaches Meeting (those new to YMCA Nationals).  It will be on Monday, July 29 at FAST.

Submitting Insurance

Each YMCA represented in the meet must have a current Certificate of Liability Insurance filed with YMCA of the USA. See SAMPLE that includes the exact wording required. New this year: The COI is filed by your YMCA's MOYP Administrator or CEO in the Data Collection Hub. This is the same place they submit your YMCA's annual report. If they do not see the COI Submission portal, they just need to go into MOYP and edit role assignments then access the COI Submission as association data steward. Send questions to Meredith Griffin.

Coach Authorization Form

For YMCA teams that will not have a certified, registered and approved coach on deck with their athletes for part or all of the meet. Complete this form and bring to Meet Check-in.

Planning to Swim at FAST on Sunday?

For those athletes who arrive on Sunday, FAST will allow YMCA swimmers to swim in the pool from 12 noon to 7 PM.  The cost to swim will be  $5/swimmer.  Athletes under 17 & under must have a waiver form signed by their parent.  Athletes 18 and older must sign an adult waiver form.

The Swimcloud entry system will open for entries on July 1, 2024.   Documentation for using the Swimcloud entry system is available here.

Meet Qualifying Times

The Qualifying Times for the 800/1000 Freestyle and 1500/1650 freestyle were changed on 5/23/2024.  The new Qualifying Times are the old Bonus Qualifying Times.  The bonus time standards have been eliminated. The period for achieving the Qualifying Time Standard  is April 1, 2023 through the entry deadline.  List of Time Standards

Important Notes:

1) Please use exactly the same name on the entry and the attestation. When a swimmer's (or coach's) name is different on the entry than what is used on the attestation, the individual does not show as having submitted an attestation and there is a delay at Check-in.

2) If your team is an association team, your CEO needs to complete the Declaration Form and use the association's association number. If your team is a branch team, your branch Executive Director needs to complete the Declaration Form and use the branch's association number. Do not have a CEO complete one Declaration Form for multiple branch teams.

Eligibility Waiver Request 

To request a waiver of one of the eligibility requirements for a swimmer, the head coach completes and submits this electronic form with as much detail and supporting material as possible. Submit no later than Monday, July 22 (entry deadline).


Volunteers

Officials 

If you are willing to volunteer as an official at the meet, please complete this form.

Timers 

Volunteer timers are needed for all sessions of the meet.  Timers: Use this link to sign up. Those who work at least five sessions receive a shirt and an all-session spectator pass. Hospitality will be available for timers at the sessions they work.

All volunteers are required to register in the YMCA National Youth Event Volunteer Registration system, as well as to complete a Y-USA or USA Swimming background check within the past two years, Athlete Protection Training within the past year and read and sign the Y-USA attestation form including a Code of Conduct with Youth.

Swim Officials Trainings

YMCA Swim Officials Level I, Level II and Trainer level courses will be offered prior to the start of the meet. Level I and Level II will be on Monday, July 29, 8:00 am-Noon. Trainer will be Sunday, July 28, 1:00-6:00 pm and Monday, July 29, 8:00 am-Noon. See the course descriptions and prerequisites here. Athlete Volunteers - Reflections & National Anthem

Athletes are invited to offer a Reflection or perform the National Anthem prior to the start of a meet session. National Anthem performers must have experience performing the National Anthem in front of a large group and may be asked to submit an audio sample before being selected. Apply HERE.

Athletes - Apply to Carry Your State Sign in the Parade of Athletes

Athletes or coaches may use this link to apply to carry your state's sign in the parade. Assignments will be made on a first come-first serve basis and if the sign is lost or damaged, your YMCA will be charged $50 for replacement.


Spectator Admission Wristbands - Purchasing Site Now Live

Before you decide to purchase Spectator Admissions Wristbands, have you thought about volunteering as a timer?  Perks for timers working a mininum of five sessions include free admission for all sessions not worked as a timer.  If interested, see the Timers item in the Volunteers section.

All purchases of Spectator Admission wristbands will be made online through the Hometown Tickets website. Please note: Ticket processing fees are added at checkout.

Spectators who purchase their Spectator Admissions prior to 7 PM EDT on Friday July 26 will receive Earlybird pricing.  All Spectator Admissions puchased after 7 PM on July 26 will be at the Standard price.  See the Meet Handbook for pricing information.

Seat Saving 

Spectators for whom seats are being saved must be in their seats by 8:30AM.  At 8:30AM each morning of competition, our announcer will ask anyone saving a seat to please remove whatever they may be using to do this.  Then, those saving seats will be asked to either move in or out so someone else may sit in the spot which was being saved.  We are hopeful that our parents and friends will help us maintain a respectful environment.

Pre-Order Event Merchandise

Official merchandise for the meet may be purchased in advance through Metro Swim Shop. Pre-orders will be available for pickup at the meet. Items not picked up at the meet will be shipped to the buyer and additional shipping fees will apply.

Athlete Travel Assistance 

Up to $600 is available to athletes who would not otherwise be able to travel to the meet through the YMCA Athlete Travel Assistance Program.  The athlete's head coach submits the application and payment is made to the athlete's YMCA.  Athlete must be receiving financial assistance from their local YMCA.  Deadline to submit is July 22.  Full information and application submission link is HERE.

Senior Recognition

As part of our Senior Recognition at the meet, we are creating a presentation.  If you are a graduating senior and would like to be included in the presentation, please submit your information before July 19.   Details for submission.

Moment of Remembrance

During the meet, members of our YMCA Swim Community who we have lost since we last met in April 2024 will be remembered in a Moment of Remembrance.  We are preparing a slide show to recognize these individuals.  If you would like to have an individual included, please send their name, their connection to YMCA swimming and their picture to Bob McDowell at [email protected].

College/University Coaches Invitation

College/University coaches are welcome at all YMCA National Swimming and Diving Championships.  We encourage you to come see the talent that can be part of your future team.  We do request that all college coaches check-in at meet registration/coach check-in with their business card or school identification and a photo ID.  You will receive complimentary admission, complimentary heat sheets and a listing of attending teams, coaches and swimmers.  You may use this form to pre-register.
