Meet Handbook

The 2024 YMCA National Short Course Championship Handbook provides information for coaches, swimmers and parents to prepare, enter, attend, and compete in the championship.  The format of this year's handbook has been streamlined.  Meet operations details have been moved to the separate appendix document.  Updates to the handbook will be made when additional information is available.  Latest Version of Handbook last updated 02/26/24 with correction to entering intact relay section.  Appendices to SC Handbook last updated 03/27/24.

Estimated Session Timelines

For your planning purposes only, these are the unofficial estimated timelines (without scratches) for each day's prelim, Tuesday (updated 3/29) and final sessions.  

Change to Time Trials Start Time on Wednesday

It was published that Time Trials would not start before Noon on Wednesday.  However, to avoid a long wait after the conclusion of the morning prelim sessions, the Wednesday Time Trials will start at ~11:15 AM.

New Order of Events for this year 

Our coaches have recommended a new order of events and their recommendation has been implemented for 2024.  The changes primarily involve the days the relays are swum.  Also, the order of two events on Day 5 has been flipped to give the 100 freestylers additional time between their individual event and the 400 freestyle relay.  New order of events, with changes highlited in yellow.

Meet Qualifying Times

The period for achieving the Qualifying Time Standard  is February 1, 2023 through the entry deadline.  List of Time Standards

Athlete Dinner with Olympian Ashley Twichell

Athletes and coaches are invited to have dinner and hear from Olympian Ashley Twichell following the meet session on Tuesday, April 2. 

Tuesday, April 2 - 6:30-7:30 PM
Special Events Center, Hall B (next to Athlete Village)
Menu: Lasagna, Vegetarian Lasagna, Salad, Bread, Lemonade, Cookies/Brownies
*If any coach or athlete on your team has food allergies or dietary restrictions, contact Laurie Dubrick.
Cost: $25 per person - register and pay as part of your team entry to the meet (click here for instructions)
Ashley will be available for photos and autographs before and after the dinner.

Entry Information

ENTRY DEADLINE: Monday, March 25 at 9:00 pm ET

The Swimcloud entry system will open for entries on March 1, 2024.  Documentation for using the Swimcloud entry system is available here.

If you experience problems while using the Swimcloud entry process you can ask for help.

A swimmer having only the bonus qualifying standard in the 1000 freestyle or 1650 freestyle may enter that event and may be selected to compete in that event if the event does not fill (maximum 32 entrants) with swimmers having the regular qualifying time in either event. Coaches will be notified at meet Check-in.

Also continuing this year, there are additional qualifying standards for the 200 Medley Relay and 200 Free Relay. May use 400 Medley Relay and 400 Free Relay times to qualify when a 200 time can not be proven. Will be seeded last as non-conforming time.

Submitting Insurance

Each YMCA represented in the meet must have a current Certificate of Liability Insurance filed with YMCA of the USA. See SAMPLE that includes the exact wording required. New this year: The COI is filed by your YMCA's MOYP Administrator or CEO in the Data Collection Hub. This is the same place they submit your YMCA's annual report. If they do not see the COI Submission portal, they just need to go into MOYP and edit role assignments then access the COI Submission as association data steward. Send questions to Meredith Griffin.

Customized list of YMCAs in the meet (as of 4:15pm ET on 3/30/24).  If you don't find your YMCA in the customized list, then use the full Current list (as of 6:45am ET on 3/30/24) of all YMCAs. 

Attestation & Declaration Forms

Find the required attestation and CEO/Executive Director declaration forms on the Championship Forms page. Deadline is March 29.

*Coaches, please have your athletes share their attestation confirmation email with you so that you can track who has and has not submitted*

Eligibility Waiver Request - To request a waiver of one of the eligibility requirements for a swimmer, the head coach completes and submits this electronic form with as much detail and supporting material as possible. Submit no later than Monday, March 25 (entry deadline).

Coach Authorization Form - For YMCA teams that will not have a certified, registered and approved coach on deck with their athletes for part or all of the meet. Complete this form and bring to Meet Check-in.


Athlete Travel Assistance

Up to $600 is available to athletes who would not otherwise be able to travel to the meet through the YMCA Athlete Travel Assistance Program. The athlete's head coach submits the application and payment is made to the athlete's YMCA. Athlete must be receiving financial assistance from their local YMCA. Deadline to submit is March 25. Senior Recognition

As part of our Senior Recognition at the meet, we are creating a presentation to be shown on the video screen at the Greensboro Aquatic Center.  If you are a graduating senior and would like to be included in the presentation, please submit your information before March 23.  Details for Submission.

Athlete Volunteers - Reflections & National Anthem

Athletes are invited to offer a Reflection or perform the National Anthem prior to the start of a meet session. National Anthem performers must have experience performing the National Anthem in front of a large group and may be asked to submit an audio sample before being selected. Apply HERE.

Athletes - Apply to Carry Your State Sign in the Parade of Athletes

Athletes or coaches may use this link to apply to carry your state's sign in the parade. Assignments will be made on a first come-first serve basis and if the sign is lost or damaged, your YMCA will be charged $50 for replacement.

YMCA Swimming Coach of the Year

The recipient does not need to be present at the meet, but this award will be announced during the 2024 YMCA National Short Course Championships. Nominations are due by March 15.

Moment of Remembrance

During the meet, members of our YMCA Swim Community who we have lost since we last met in April 2023 will be remembered in a Moment of Remembrance.  We are preparing a slide show to recognize these individuals.  If you would like to have an individual included, please send their name, their connection to YMCA swimming and their picture to Bob McDowell at [email protected].


Spectator All SessionTM Admission Passes

Before you decide to purchase admission passes, have you thought about volunteering as a timer?  Perks for timers working a minimum of 4 sessions include free spectator admission for sessions not worked as a timer and free parking.  If interested, see the section Timers and Officials needed.

All SessionTM admission passes will be available through an online purchase. Ticketmaster will charge a $7.00 fee for each order placed online. Thus, it is advantageous to purchase your All SessionTM admission passes in groups. Ticketmaster will offer an Earlybird price for passes purchased prior to 12 noon on Tuesday, March 26. The Earlybird price for All SessionTM admission passes are $89 per adult (provides both admission pass and a heat sheet for all nine sessions) and $50 per child (8-18 years old, provides admission for all 9 sessions). Passes purchased after 12 noon on March 26 revert to the Standard price. The Standard prices for All SessionTM admission passes are $115 per adult and $60 per child (8-18 years old). During the order process you will be presented several seat options, you may choose any of the options as they are all the same. There are no assigned seats despite what Ticketmaster might print on an admission pass. All seating is general admission.  Link to purchase passes.

Spectator Purchases Onsite at the Meet

Daily admission and single session-specific admissions can be purchased each day at the Box Office next to the spectator's entrance to the pool prior to and during competition sessions.  All sales are non-refundable.  The Onsite prices are $16 Single Session Adult (provides an adult both admission and a heat sheet for a single session); $7 Single Session Child (provides a child admission for ages 8-18); $29 Daily Adult (provides an adult admission and a heat sheet for the prelim and finals sessions on one day); $12 Daily Child (provides a child admission for the prelim and finals sessions on one day); $6 Short Session (provides admission to the Tuesday session).  There is no charge for children 7 and under. All Session admission passes are available for purchase at Standard prices through noon on Thursday April 4, 2024. This purchase includes an admission pass and a heat sheet for all nine sessions.

Purchase Event Merchandise

Metro Swim Shop will accept online orders for their Event Merchandise. The deadline for ordering online for pick-up at the meet in Greensboro is Thursday, March 28. Link to Merchandise.

Timers and Officials Needed

Volunteer timers and officials are needed for all sessions of the meet. Officials: Use this link to sign up. Timers: Use this link to sign up. Those who work at least four sessions receive a shirt, complimentary parking pass and an all-session spectator pass.

All volunteers are required to register in the YMCA National Youth Event Volunteer Registration system, as well as to complete a Y-USA or USA Swimming background check within the past two years, Athlete Protection Training within the past year and read and sign the Y-USA attestation form including a Code of Conduct with Youth.

College Coaches Forum

Athletes, parents and coaches are invited to attend a forum which will cover the opportunities to swim in college and the search and recruiting processes. The forum will be hosted by Glenn Neufeld and will include college swim coaches from Colby, Duke, Fordham and the U.S. Naval Academy. The forum will be held on Tuesday, April 2 from 11:00 AM to Noon in Hall B of the Special Events Center. This event is free.

Team Dinners at the Greensboro Aquatic Center

The Greensboro Aquatic Center will be providing the opportunity of team meals (Dinner) again this year at YMCA Short Course Nationals. We will be offering team meals Wednesday, April 3rd – Saturday, April 6th.  The order deadline will be Wednesday, March 20th.  More Information, last updated February 29 with menus for each day.

College/University Coaches Invitation

College/University coaches are welcome at all YMCA National Swimming and Diving Championships.  We encourage you to come see the talent that can be part of your future team.  We do request that all college coaches check-in at meet registration/coach check-in with their business card or school identification and a photo ID.  You will receive complimentary admission, complimentary heat sheets and a listing of attending teams, coaches and swimmers.  You may use this form to pre-register.
